Overview

InstaDispatch is delivery-management software for courier, logistics, freight-forwarding and e-commerce teams. It suits operators that need to coordinate dispatch, drivers and delivery evidence in one system, particularly across multiple vehicles. Its broad workflow is a strength, but shipment and driver caps, plus paid add-ons, make plan fit central to the decision.

Order booking, automated dispatch and job allocation lead into route planning, proof of delivery and customer updates. That makes it more relevant to teams managing deliveries end to end than to businesses seeking only a routing tool.

Key features

Dispatch and route planning: Automated dispatch, job auto-allocation and multi-vehicle planning can help teams coordinate work across a fleet. Route optimization and ETA are paid add-ons, however, so businesses that depend on those capabilities should account for extra cost.
Digital proof of delivery: Drivers can record signatures, OTPs, barcodes, photos, comments, timestamps and geo-coordinates. This range is useful when a delivery record needs more than a simple completion status.
Customer notifications: Email, SMS and WhatsApp updates can be sent at delivery milestones. SMS is priced at 4p, so frequent messaging adds a usage cost.
Integrations: The integrations page names carriers and services including DHL, UPS, FedEx and DPD, alongside Shopify, Magento, Amazon, WooCommerce, QuickBooks and Stripe. The number of integrations included depends on the plan; e-commerce integrations are also marked as a paid add-on.
Driver app: Android and iOS apps support offline work, saving delivery and proof data locally until a connection returns. That is practical for drivers working in areas with intermittent connectivity.
Service and infrastructure: The company describes its cloud service as having 99.9% uptime, encrypted data and backups. It also says it provides onboarding sessions, dedicated account management and 24/7 customer support.

Pricing

InstaDispatch is freemium, with a 14-day trial. The pricing note says paid plans start at $129/mo, while the detailed plan prices below are stated in USD per month. The Free plan is shown at 0.00 USD per free, but no shipment allowance is given for it.

Plan	Price	Included capacity	What it means
Free	0.00 USD per free	Shipment allowance not stated	A no-cost starting point, but the published plan comparison does not give a volume cap to assess its suitability for regular operations.
Small	200.00 USD per month	500 shipments/month, 1 warehouse/hub, 1 integration, 5 drivers	Designed for a compact operation. It permits no additional shipments, and branding plus website integration carry a one-time $300 cost.
Medium	300.00 USD per month	2,000 shipments/month, 2 warehouses/hubs, 5 integrations, 10 drivers	A more capable step up for growing volume; each additional 100 shipments costs $15, and branding is free.
Large	600.00 USD per month	5,000 shipments/month, 5 warehouses/hubs, 10 integrations, 25 drivers	Fits larger fleets and hub networks; extra blocks of 100 shipments cost $12, with free branding.
Enterprise	1200.00 USD per month	10,000 shipments/month, 10 warehouses/hubs, 10 integrations, unlimited drivers	Offers the greatest stated shipment and hub capacity and removes the driver cap; additional 100 shipments cost $12, with free branding.

The cheaper paid tiers trade capacity for lower monthly spend: Small stops at five drivers and 500 shipments, while Medium raises those limits but still caps drivers at ten. Route optimization and ETA, customer invoicing and e-commerce integrations are paid add-ons, so compare the full cost of the required workflow rather than the plan price alone. A Small customer also needs to factor in its one-time branding and website-integration charge.

Platforms

InstaDispatch is available on the web, Android and iOS. The driver app’s offline storage is a useful safeguard when connectivity drops during a delivery, though the software remains a cloud-based system.

Who it's for

Domestic and international couriers, last-mile and same-day delivery businesses, freight forwarders and white-glove delivery operators are the intended customers. Teams coordinating several vehicles can benefit from automated allocation and multi-vehicle planning; organizations with multiple depots or higher shipment volumes should examine the hub, driver and shipment allowances closely. It is a less natural fit for a small operation that needs advanced optimization or extensive integrations but wants those included in its base plan.

Pros and cons

Pro: Booking, dispatch, route planning, customer updates and delivery evidence form a connected workflow, rather than leaving teams to join those steps across separate tools.
Pro: Proof-of-delivery records can include several evidence types, and the driver app retains them offline until connectivity returns.
Pro: Plans scale from a free option to an Enterprise tier with unlimited drivers, making capacity tiers clear for growing fleets.
Con: Shipment and driver caps can constrain smaller paid tiers, and Small allows no overage shipments.
Con: Route optimization and ETA, customer invoicing and e-commerce integrations are paid add-ons, while SMS is charged at 4p.
Con: Small has a one-time $300 branding and website-integration cost, and the Free plan has no stated shipment allowance.

Alternatives

Choose RutaLive if you want a freemium alternative available on web, Windows, iOS and Android. Traksend is another freemium option with a web platform and a Starter plan at 25000.00 NGN per month for 150 deliveries; its pricing page describes delivery credits as one-time purchases without recurring lock-in. Numus may suit API-focused needs: its free plan allows 10 orders a month, one driver and five routes, while its Starter plan allows 300 orders, five drivers, 30 routes and one team member.

QuickE is a freemium web alternative. Datatrac, Locus Last-Mile Delivery Software, FinalMileOS and Hauloop are paid alternatives.

Verdict

InstaDispatch is a strong candidate for courier and delivery operators that want booking, dispatch, driver proof and customer updates within one system, with offline-capable mobile apps for drivers. Its main appeal is the breadth of that operational workflow; its main drawback is that capacity limits and paid extras can raise the cost of the features a team needs. Choose it when its plan limits match your shipment volume, fleet and hub structure, and look elsewhere if essential optimization or integrations must be included at a lower base cost.
