Overview

Indico is an open-source system for running events, preserving their materials and coordinating shared rooms. It is best suited to universities, research institutes and companies with recurring event programs and the capacity to manage their own software. Its breadth is valuable, but the self-hosted model makes operational ownership part of the decision.

Key features

Indico covers seminars, meetings, workshops and conferences, and can gather an institute’s events into one system. Conference workflows include registration and abstract submission, storage for papers and materials, and participant badges. Registration forms, ticketing, attendee email and onsite check-in extend that coverage into event-day administration, making Indico more useful to organizations that want the records and logistics together than to teams seeking only an abstract-review tool.

Hierarchical categories, resource protections and event roles provide layered ways to manage access. That can help institutions divide responsibility across events and teams, though it also calls for configuration to match local practices. The room-booking module supports delegated management, approval workflows and audiovisual equipment management, a substantial advantage for organizations coordinating shared rooms.

Zoom integration lets participants join video conferences with one click. Indico can be customized through its configuration file and extended with plugins; the project lists plugins for Zoom, PayPal payments and Amazon S3 event-file storage. Authentication uses Flask-Multipass and supports compatible providers including LDAP and SAML. The HTTP Export API exposes category contents, events, rooms and bookings, which gives organizations a way to retrieve this information programmatically.

The project began in 2002, and CERN adopted it as its event-management solution in 2004 and has financed development since. CERN says it uses Indico to manage more than 900,000 events and 200 meeting and conference rooms. That institutional use is notable context for organizations assessing its scope, but Indico still requires a deployment they can operate: installation instructions are provided, and support channels include email, IRC, Matrix and a community forum.

Pricing

Indico is free open-source software, with a self-hosted plan priced at 0.00 USD per free. There is no free trial because no paid tier is presented as the entry point. The price applies to the software; organizations need to take responsibility for setting up and configuring an instance. No seat or event quotas are stated for the plan.

This model suits institutions that want control over deployment and can manage it themselves. It is less suitable for teams that want a hosted service or a paid plan to take deployment work off their hands.

Platforms

Indico supports web, Android and iOS access, as well as self-hosted deployment and an API. The self-hosted option is central to the decision: organizations choose the software without a stated per-seat charge, but must handle instance setup and configuration.

Who it's for

Indico is a strong fit for universities, research institutes and companies running recurring seminars, conferences or other events alongside room scheduling. It is especially relevant where shared spaces need delegated booking and approvals, or where event materials should remain alongside registration and abstract workflows. A team needing a ready-to-use hosted event service, rather than software it can install and configure, should look elsewhere.

Pros and cons

Pros

Broad event coverage: Registration, abstract submission, ticketing, attendee email, check-in and material storage support both conference workflows and event operations.
Room coordination: Delegated management, booking approvals and audiovisual equipment management address practical needs for organizations sharing rooms.
Flexible integration: Plugins, compatible LDAP and SAML identity providers, and an HTTP Export API offer routes to adapt Indico and connect organizational systems.
No software charge: The open-source self-hosted plan costs 0.00 USD per free, with no stated event or seat cap.

Cons

Self-hosting demands ownership: Organizations must set up and configure an instance, so a no-cost license does not remove operational work.
Configuration is part of adoption: Access controls and customization can serve complex institutions, but teams seeking a lightweight tool for a single event may not need that breadth.

Alternatives

For a free local installation limited to smaller non-commercial events, ConfTool offers a free license on request for up to 150 participants, but includes no support. If abstract volume is the main constraint, Fourwaves has a free Starter plan with 25 abstract submissions per year, unlimited registrations and events, and a 3% service fee. HotCRP is another option.

Congressio may suit a small event team wanting a free hosted workflow: its free plan allows one active event, 100 submissions and three team seats, with forms, review, decisions, program and email. For a submission-only budget with a hard cap, EasyChair offers a free plan for up to 20 submissions and no technical support. Oxford Abstracts offers a free Basic plan with unlimited submissions, review and decisions, ticketing, and customizable forms and emails, making it an alternative when those functions are the priority.

Sciencesconf is a free service intended primarily for scientific events, with event creation requests subject to validation. SimplyConf offers a free Core plan with unlimited events, submissions and users for those who want an alternative self-hosted option.

Verdict

Choose Indico if your institution needs event workflows, archives and shared-room bookings in one open-source system and can operate a self-hosted instance. Its breadth and lack of software fees are the core case for it; the need to handle deployment and configuration is the reason to choose a hosted or narrower tool instead.
