Overview

Zoho Flow connects more than 1,000 apps, including Zoho CRM, Slack, Google Sheets, QuickBooks, and WordPress. Flows can begin with app events, webhooks, schedules, URLs, RSS or Atom feeds, or email, which gives teams options for automating work that does not start with a typical app event.

The drag-and-drop builder supports multi-step workflows with conditional branching, delays, custom functions, and reusable subflows. Plain-English workflow creation, Zia utilities, and agentic actions add AI capabilities. Teams can connect cloud services to apps on a private network through the On-Prem Agent, a useful distinction for organizations with systems that are not publicly accessible.

Key features

Conditional steps let a workflow route tasks according to changing conditions, while delays and reusable subflows help structure longer processes. Custom functions are reserved for paid plans, so users who need to tailor workflow behavior beyond the Free tier will need to budget for an upgrade.

Flow history shows exchanged data and errors; users can rerun failed steps and review workflow versions. Professional adds automatic reruns, which can reduce manual recovery work. Team roles and shared app connections let colleagues collaborate without exchanging account credentials. Sensitive connection parameters are encrypted at rest, multi-factor authentication is supported, and Zoho states that Flow is GDPR compliant.

Support is available by email, with an option to provide contact details to request a call. The iOS app can turn flows on or off, rerun failed steps, manage roles, and send real-time activity notifications. That makes it useful for basic oversight away from a desktop, though the listed platforms are iOS and web.

Pricing

Zoho Flow uses a freemium model, with a 15-day trial and paid plans starting at $25/mo billed annually. The Free plan is free and allows five flows, 100 tasks/month, 15-minute polling, 30-day history, and base apps. It is a sensible fit for small experiments or light automations, but 100 monthly tasks can be restrictive for workflows triggered throughout the day.

Standard has custom pricing and can be billed monthly or annually. It provides unlimited flows, plans starting at 5,000 tasks/month, 15-minute polling, 60-day history, base apps, and custom functions. It suits teams that need more workflow capacity and customization; the 15-minute polling interval remains a constraint for time-sensitive work.

Professional also has custom pricing and monthly or annual billing. Plans start at 10,000 tasks/month and include unlimited flows, five-minute polling, 90-day history, premium apps, on-prem integrations, and automatic reruns. It is the stronger fit for higher-volume or more time-sensitive processes, but its added capabilities come with a custom-priced plan. The paid starting price is $25/mo billed annually; compare the quoted tier and task allowance with your expected workload.

Platforms

Zoho Flow is available on web and iOS. The mobile app supports flow toggles, failed-step reruns, role management, and real-time activity alerts, while the web platform serves as the other listed access point.

Who it's for

Zoho Flow fits organizations building workflows across Zoho One apps, third-party services, and teams. It is particularly compelling when a workflow needs conditional paths, multiple trigger types, shared connections, or links between cloud apps and software on a private network. Solo users with only a few low-volume automations may find the Free plan adequate; teams needing faster polling, longer history, premium apps, or on-prem connections should consider Professional.

Pros and cons

Pros: More than 1,000 integrations and varied triggers give teams many ways to connect apps and start workflows.
Pros: Conditional branching, delays, custom functions, and reusable subflows support more structured automation than simple one-step tasks.
Pros: History, error visibility, reruns, and version review help users diagnose and recover from workflow failures.
Pros: The On-Prem Agent connects cloud apps with private-network apps, and role-based access supports team sharing without credential sharing.
Cons: Free is capped at five flows and 100 tasks/month, which can limit even a small set of frequently triggered workflows.
Cons: Free and Standard poll every 15 minutes, making them less suitable when workflows must react quickly.
Cons: Standard and Professional pricing is custom, so buyers cannot compare their exact costs from the listed starting price alone.
