Overview

Smart Assistant can draft messages from keywords, prepare replies from details you supply, summarize selected emails, and find to-dos for Mailbutler Tasks. Smart Improve suggests spelling and grammar changes to written drafts. It does not send messages automatically, so users keep control of what goes out.

Generated text can be tuned for format, length, style, tone, and language, giving users more control than a one-shot draft. Mailbutler says Smart Assistant uses OpenAI GPT-4o. For processing, email subjects and bodies go through Microsoft Azure OpenAI Service in the EU, with personal data redacted before submission to the underlying model. Mailbutler says it is ISO/IEC 27001 certified and GDPR compliant, and that backend data is encrypted.

Key features

Compose and reply: Keyword-based drafts and detail-guided replies can reduce routine writing, though the user still reviews and sends each message.
Writing controls: Adjusting tone, style, length, format, and language is useful when a draft needs to fit a particular audience or purpose.
Summaries and tasks: Summaries and to-do detection help with inbox triage; detected tasks can be added to Mailbutler Tasks.
Smart Improve: Spelling and grammar suggestions help polish a draft without replacing the user's own writing.
Mailbutler ecosystem: Mail Merge can draw on Apple, Google, or Outlook Contacts, HubSpot or Salesforce, and CSV data. CRM tracking sync is listed for HubSpot and Salesforce.

Pricing

Starter is free forever at no cost, but it is not a free Smart Assistant tier: sent emails include a visible Mailbutler watermark, and Smart features require a Smart or Business subscription after the 14-day trial.

Professional: 7.00 USD per month billed annually, or 9.00 USD per month with monthly billing. It covers email tracking, templates and mail merge, inbox collaboration, and signature marketing, but not Smart Assistant.
Smart: 11.00 USD per month with yearly billing, or 14.00 USD per month with monthly billing, per user. It adds Smart Assistant and Smart Follow-ups alongside tracking, mail merge, and inbox collaboration. This is the entry plan for people who specifically want AI composition, summaries, and task finding.
Business: 24.00 USD per month with yearly billing, or 32.00 USD per month with monthly billing, per user. It includes Smart Assistant, Smart Follow-ups, CRM tracking sync, custom subdomain, and IP blacklisting; it suits teams that need CRM sync and business-level sending controls.

Annual billing lowers the monthly rate, while monthly billing costs more per user. Professional is the cheaper paid choice for tracking and collaboration, but it gives up Smart features. Business costs more than Smart and is worthwhile when its CRM sync and custom options matter.

Platforms

Mailbutler lists Apple Mail support on macOS Tahoe, Sequoia, Sonoma, and Ventura. Gmail works on macOS, Windows, and Linux. Mobile apps support iOS 15 or later and Android 7 or later. The service lists web and extension platforms as well as macOS, Windows, Linux, iOS, and Android, but the stated Smart Assistant email clients are Apple Mail, Gmail, and Outlook.

Who it's for

Choose Smart Assistant if you work in one of its supported email clients and want drafts, replies, summaries, and task extraction in the same Mailbutler offering as tracking and mail merge. It is a weaker fit if you only need basic email tracking, want a free AI assistant tier, or expect messages to be sent automatically. Mailbutler says its support team answers queries 24/7 and provides a Support Center.

Pros and cons

Pros: Multiple writing controls let users tailor generated text; summaries and task finding address inbox organization as well as composition; EU processing and redaction are part of Mailbutler's described AI data handling.
Cons: Smart Assistant is absent from the free Starter and Professional plans; Starter emails carry a visible watermark; automatic sending is not included.

Alternatives

For a narrower focus on tracking, Mailtrack has a free plan with unlimited tracked emails and first-open logging, plus 100 campaign emails and 10 link-tracked emails; it does not offer a free trial. Boomerang is a better fit for Gmail or G Suite users who want scheduling and reminders: its free Basic plan includes 10 message credits per month, Send Later, and Boomerang Reminders. Mixmax may suit users focused on tracking and sequences, with 20 tracked emails per month and up to 50 sequence recipients on its free plan; Inbox Copilot costs 29.00 USD per month.

KudosCRM is an alternative with a free CRM plan for up to three users and 1,000 contacts. Right Inbox has a free plan limited to five emails per month for solo use. Streak offers a free plan with 50 mail merge sends per day. Apollo has a free plan with 900 credits per seat per year, granted monthly. EmailSavy has a free plan with 50 tracked emails per month, open and reply tracking, and a seven-day history.

Verdict

Mailbutler Smart Assistant is a sensible choice for Apple Mail, Gmail, or Outlook users who want writing help and inbox triage alongside email workflow tools. The main reason to choose it is the combination of adjustable drafting, summaries, and task finding. Look elsewhere if a free assistant, automatic sending, or tracking-only service is the priority.
