Overview

HiveRef keeps its focus on employment references, which suits organizations that want consistent feedback without building a process from scratch. It does not cover criminal-record or credit screening, so teams needing those checks will need another tool or service.

HiveRef says GDPR informs its global design baseline and that it reflects Australian Privacy Principles where Australian law applies. Reference data is stored in a Sydney-region database by default, an important consideration for teams with regional data requirements. The reports support human review: HiveRef says it does not make automated hire or no-hire decisions, leaving hiring accountability with the reviewer.

Key features

Questionnaires and follow-up

A job description can be used to generate a tailored questionnaire, which users can edit; a template library offers another starting point. Automated reminders follow up with referees, who complete mobile-friendly forms typically in 2 to 3 minutes. That combination can reduce administrative chasing for lean teams, although requests go by email rather than multiple reference channels.

Reports and integrity signals

Reports bring together an AI-assisted summary, integrity signals, a timestamped audit trail and PDF export. Signals such as IP address, submission timing, email type and network context give reviewers additional material to assess, not an automated verdict. This is useful for documenting a human-led process, but responsibility for interpreting the signals remains with the hiring team.

Workflow connections and support

Zapier can trigger automations when checks are created or completed and generate pre-filled check links. API access is also available; the Zapier integration page documents API-key authentication and endpoints for hooks, check lists and prefilled check wizards. HiveRef says it aims to respond within one business day and that customers speak with someone who built the product, a potentially useful support model for small teams without in-house HR or technical depth.

Pricing

HiveRef has a free plan and free trial, alongside these published paid options:

Plan	Price	Included usage	Best fit
Pay as you go	4.00 AUD per once	$4 per candidate check; up to 10 referees; credits never expire	Occasional hiring without a monthly commitment
Core	29.00 AUD per month	8 candidates/month, 2 users, up to 10 referee responses per candidate	A small team with modest, recurring hiring
Growth	49.00 AUD per month	20 candidates/month, 4 users, up to 10 referee responses per candidate	Teams that need more monthly checks and seats
Scale	98.00 AUD per month	50 candidates/month, unlimited users, up to 10 referee responses per candidate	Higher-volume teams sharing access broadly
Velocity	298.00 AUD per month	160 candidates/month, unlimited users, up to 10 referee responses per candidate	Organizations with substantial monthly hiring

Every plan allows up to 10 referee responses per included candidate check, and extra candidate checks cost $4.00 each on every plan. The pay-as-you-go option avoids expiring credits but has no monthly allowance; Core and Growth cap seats at 2 and 4 respectively, while Scale and Velocity remove that seat limit. The monthly tiers trade higher fixed spend for larger candidate quotas, so teams should compare their hiring volume with those caps rather than assume unused capacity carries over.

Platforms

HiveRef supports web, Android and iOS, and offers API access. That gives teams several ways to fit reference checks into their workflows, while email remains the reference-response channel.

Who it's for

HiveRef is aimed at office managers, founders and people and culture leads working without a dedicated HR department. Its templates, automated reminders and reporting make it a sensible choice when the main need is a repeatable employment-reference process. It is less suitable for employers seeking criminal-record or credit screening, or for teams whose data-location requirements do not work with Sydney-region storage by default.

Pros and cons

Structured questionnaires: job-description-based generation and editable templates help standardize reference questions.
Less manual chasing: automatic reminders and short mobile-friendly forms address the follow-up burden on lean teams.
Reviewable records: summaries, integrity signals, audit trails and PDF export support documented human assessment.
Clear operating limits: included checks, response allowances and seat caps are explicit on paid tiers, with extra checks priced at $4.00 each.
Narrow screening scope: it handles employment references, not criminal-record or credit checks.
Regional data consideration: the default Sydney-region database may not fit every organization's location needs.

Alternatives

Browse the Reference Check Software directory if you want to compare more options. Credibled is worth considering for API-oriented use: it has a free sandbox account for testing without real checks and an NGO reference check priced at 4.50 CAD per once. VerifyRef may suit teams that prefer one-off credit packs, including 5 Credits at 33.00 USD per once and 20 Credits at 119.00 USD per once, with credits that never expire.

Vervoe is an alternative for buyers prioritizing enterprise-grade security, SSO, regional data storage, guaranteed uptime and priority support SLAs. TurboCheck is oriented to digital ID verification, with a Monthly Subscription at 150.00 USD per month for up to 100 searches. Careerlink AI-Powered SMS Reference Checker, HiPeople, OpusHire and RefAssured are also alternatives to consider.

Verdict

Choose HiveRef if a small or medium business needs a defined employment-reference workflow with automated follow-up and reports that support accountable human review. Its focused scope and tiered check allowances make the fit clearest for teams that can forecast reference-check volume; look elsewhere if you need criminal-record or credit screening, or cannot use Sydney-region storage by default.
