Overview

The product combines pay-structure analysis with payroll-audit support. Teams can examine differences across gender, role, or department, then carry findings into an internal review process covering budgets, responsibilities, central approval, and documentation. This is a more purposeful choice for compensation governance than a general HR platform, but buyers seeking a broad suite should look elsewhere.

Key features

Analysis and benchmarks

Built-in visualizations help expose salary patterns across groups, while real-time market salary data gives teams an external comparison point. Together, these tools can inform pay decisions; they are most valuable when the organization has a defined review process and ownership of its pay data.

Review controls and records

Workflows support approval, employee visibility, range governance, and internal review. Step-by-step documentation and audit-ready reports help preserve evidence for legal requirements and internal guidelines. That combination favors teams that need traceable decisions, though it does not replace the work of setting compensation policy.

Connections, security, and privacy

Heartpace offers more than 20 ready-made HR and payroll integrations, from file transfers to automated connections. Named payroll connections include S&P Payroll, Kleer, Hogia, Agda PS, Payap, and Twine; an open API supports custom integrations. This breadth can reduce friction for organizations connecting compensation processes to existing systems.

Heartpace says the service is ISO/IEC 27001 certified, encrypts data in transit and at rest, and hosts customer data on AWS in Stockholm. GDPR-related controls include role-based access, audit trails, data minimization, retention settings, consent management, and employee self-service. Support through an online library, email, and live chat is included in subscription fees.

Pricing

Heartpace Pay Management: custom pricing, charged per user per year and dependent on selected modules. Organizations with more than 50 users need a quote. There is no published entry price to use for budgeting, so smaller buyers should confirm module scope and total annual cost before comparing it with alternatives. The ability to use the service for a department, team, or project without accounts for everyone may help contain seat requirements.

Platforms

Heartpace supports web, iOS, Android, and API access. The mobile app is described for iOS and Android, while the open API offers a route for custom integrations.

Who it's for

Heartpace is a good fit for compensation and HR teams that need controlled salary reviews, internal pay analysis, market comparisons, and records for compliance. It can suit a focused department or project rather than requiring company-wide accounts. It is less suitable for buyers who need a transparent public price or are primarily shopping for a broad HR suite.

Pros and cons

Pros: Analysis by gender, role, and department helps identify pay differences that can inform review decisions.
Pros: Budgets, assigned responsibilities, central approval, and documentation support a traceable internal process.
Pros: More than 20 ready-made integrations plus an open API give teams options for connecting HR and payroll systems.
Cons: Module-dependent per-user annual pricing requires buyers to obtain a quote, making cost comparisons less direct.
Cons: Organizations above 50 users must request a quote, adding a sales step for larger deployments.

Verdict

Choose Heartpace Pay Management if your team needs to connect pay analysis with structured approvals, market benchmarks, and compliance records, especially when access can stay limited to the people involved. Look elsewhere if public pricing or a broader HR platform is the priority; its strongest case is focused governance, not predictable upfront cost.
