Overview

Jotform is a form-building service with companion products for apps, documents, and workflows. It suits organizations that need more than basic data collection, especially those connecting forms to payments or other services. Its breadth is a strength, but free usage caps and the lack of multiuser access below Enterprise may rule it out for growing teams.

Key features

Forms can handle quizzes, file uploads, payment collection, conditional logic, and multiple embed options. That makes Jotform useful for varied collection tasks, though the free plan’s 10 monthly payment submissions can quickly constrain payment use. The product range also includes Jotform Apps, Tables, Inbox, Mobile App, Sign, Workflows, and AI Agents, alongside document templates, audit trails, user authentication, API access, and webhook triggers.

Jotform advertises more than 20,000 templates. Integrations span CRM, storage, payments, email, and automations; the homepage cites more than 150, while the product specifications state 200 native integrations. That breadth can help connect forms to existing services. Jotform says it hosts on Google Cloud and AWS and complies with GDPR and CCPA. Data is encrypted for HIPAA-enabled forms and submitted PHI; HIPAA features are available on Gold and Enterprise.

Pricing

The free Starter plan costs 0.00 USD per free and requires no paid subscription. It allows 5 forms, 100 monthly submissions, 100 MB of upload space, 1,000 monthly form views, 500 stored submissions, and 10 monthly payment submissions. Starter forms and signed documents carry Jotform branding, and users must upgrade to increase Starter limits. It is a practical entry point for modest needs, not a durable fit for rising volume or unbranded documents.

Bronze costs 39.00 USD per month, billed monthly. It raises the caps to 25 forms, 1,000 monthly submissions, 1 GB of space, 100,000 monthly views, 10,000 stored submissions, and 100 monthly payment submissions. This is the lowest-priced paid tier and suits users whose first constraint is the free plan’s low quotas.

Silver costs 49.00 USD per month, billed monthly, and provides 50 forms, 2,500 monthly submissions, 10 GB of space, 1,000,000 monthly views, 25,000 stored submissions, and 250 monthly payment submissions. Its larger quotas suit small to mid-tier businesses handling more submissions, though it still does not add multiuser access.

Gold costs 129.00 USD per month, billed monthly. It includes 100 forms, 10,000 monthly submissions, 100 GB of space, 10,000,000 monthly views, 100,000 stored submissions, and 1,000 monthly payment submissions. It offers the highest limits outside Enterprise, optional HIPAA features, and group approvals; it is the relevant step up for organizations needing those capabilities, but still not a multiuser plan.

Enterprise has custom pricing, unlimited forms and use, unlimited submissions, and unlimited Jotform Teams. It is the only multiuser plan and adds enhanced security, custom domains, SSO, and the option of a dedicated support team. This is the clear choice for organizations that need centralized administration, but its custom pricing makes it a different buying proposition from the fixed tiers.

Subscriptions are available monthly or yearly and renew automatically unless canceled. Charges are in U.S. dollars or euros depending on location, and cancellation within 30 days of payment qualifies for a full refund.

Platforms

Jotform is available on the web, iOS, and Android. That reach supports use across desktop and mobile, without changing the plan limits that govern form volume and storage.

Who it's for

Jotform is a strong fit for organizations that want forms alongside document and workflow tools, particularly when they need conditional logic, payments, uploads, or integrations. Small users can begin on Starter, while higher-volume collection needs a paid tier. Teams requiring multiple users, SSO, or custom domains should look directly at Enterprise. It is less compelling for a small team that needs shared access but cannot justify custom-priced Enterprise.

Pros and cons

Pro: Forms support quizzes, uploads, payment collection, conditional logic, and several embed options, covering more than straightforward questionnaires.
Pro: The product suite and broad integrations can connect collection with adjacent document and workflow tasks.
Pro: Gold and Enterprise offer HIPAA features, while Enterprise adds security and administration controls for multiuser organizations.
Con: Starter’s caps on forms, submissions, storage, views, and payment submissions can make free use short-lived as activity grows.
Con: Branding remains on Starter forms and signed documents, so an unbranded experience requires moving beyond free.
Con: Enterprise is the only multiuser plan, leaving teams that need shared administration with a jump to custom pricing.

Alternatives

For HR workflow automation, consider HR Workflow Automation Software; for field-oriented form needs, compare Mobile Forms Software. If the priority is automating form handling, see Form Automation Software; for board-based task tracking, browse Kanban Software. Readers focused on digital forms in PDFs can compare PDF Form Software, while document-centered processes may fit Document Workflow Software better.

Requester is another freemium option, with a free plan for 50 requests per month, three approver seats, unlimited submitters, and five templates; consider it when those request and approval limits match the job. Atwork offers a free plan for up to five members, with unlimited tasks and documents, making it a candidate for a small HR workflow group. Sanka Flow has a free plan with no Flow-specific limits stated, or a contact-sales plan.

Pipefy offers a free Starter plan with five processes, 10 users, and 50 cards created per month, so it may suit a small process-based team that values those defined user and card limits. Newployee is another freemium web option. Drag is a paid alternative with a free trial and a Starter plan billed annually at 12.00 USD per month, including shared inboxes in Gmail and Kanban, list, and preview board views. ServiceNow HR Service Delivery and Cflow are also alternatives for readers comparing HR service delivery or workflow software.

Verdict

Choose Jotform when you want flexible forms connected to a broader set of document and workflow tools, and your organization can work within the plan caps or pay for higher capacity. Its strongest case is breadth: forms, integrations, and adjacent products in one suite. Look elsewhere if your team needs multiuser access without moving to a custom-priced Enterprise plan, or if Starter’s quotas and branding are too restrictive.
