Overview

EGroupware is open-source groupware for teams that want shared calendars alongside video meeting support. It suits organizations that can work in a browser or desktop environment and whose needs fit its concurrent-user and storage limits. Its breadth is useful, but the lack of mobile apps and some paid plans’ minimum commitments narrow its appeal.

Key features

Shared calendars and two-way sync: Teams can coordinate through shared calendars, with calendar changes syncing in both directions. That is a practical fit for collaborative scheduling, though no specific calendar services are identified.
Video meeting support: Meetings sit alongside the groupware tools, which may suit teams seeking fewer separate collaboration products. No particular meeting service is identified.
AI features: AI is included in the feature set, but no tools or workflows are specified. Buyers with a particular AI use case should confirm it meets their needs before choosing EGroupware.
Open source: The Community Edition gives open-source software seekers a plan option; its price is custom pricing.

Pricing

EGroupware offers a free plan and a 30-day trial. Paid plans vary substantially by storage and concurrency, so an unlimited user count does not always mean a small team can start without a minimum seat commitment. Prices are plus VAT where stated.

eCloud NGO: €21.90 per month, billed monthly, with a discount for annual payment; 20 GB storage, unlimited users and a minimum of 2 concurrent users. This is the lower-priced hosted option for eligible organizations that can work within the storage cap and concurrency floor.
eCloud: €24.90 per month, billed monthly, with a discount for annual payment; 20 GB storage, unlimited users and a minimum of 2 concurrent users. It offers the same stated capacity and concurrency as eCloud NGO at a higher monthly price.
eFlat School: €1,295.00 per year, plus VAT, with 100 GB storage, unlimited users and unlimited concurrent users. Schools needing more storage and no concurrency ceiling may find the annual price easier to assess than the custom-priced alternatives.
eFlat: Custom pricing, with 100 GB storage, unlimited users and unlimited concurrent users. It fits teams needing the higher storage allowance and unrestricted concurrency, though the price must be established directly.
Community Edition: Custom pricing, with unlimited users. No storage or concurrency allowance is stated for this plan.
EPL Smart: €62.50 per month, plus VAT, with a minimum of 10 concurrent users and a minimum 12-month term; annual payment is discounted. The commitment makes it a poor fit for small or uncertain deployments, while larger teams able to use the concurrency minimum may find it appropriate.
Universal: Custom pricing, unlimited concurrent users and a minimum 12-month term. It removes a concurrency ceiling but still requires a year-long commitment.

Platforms

EGroupware supports web, Linux, Windows and macOS. There are no mobile apps, so teams that need dedicated phone or tablet apps should look elsewhere.

Who it's for

EGroupware is strongest for organizations that value open-source groupware, shared scheduling and video meetings in one environment, and can match a plan’s storage and concurrency terms. It is less suitable for mobile-first teams, small groups facing minimum-seat requirements, or buyers who need a defined AI workflow or a specific meeting integration.

Pros and cons

Pros: Shared calendars, two-way sync and video meeting support bring core collaboration capabilities together.
Pros: Plans include options with unlimited users, and some offer unlimited concurrent users.
Cons: No mobile apps limits access for teams that rely on phones or tablets.
Cons: Storage is capped at 20 GB on the two eCloud plans, while eFlat School and eFlat offer 100 GB.
Cons: Minimum concurrent-user counts and the 12-month EPL Smart and Universal terms can make paid plans inflexible for smaller or short-term needs.
Cons: Most plan options do not have a stated price, complicating cost comparisons.

Alternatives

For project-centered work management, Nifty has a free plan with unlimited members, 100 MB storage and 2 active projects, while its Pro plan is $10.00 USD per month; choose it when those project limits and a stated entry-level paid price are a better match than EGroupware’s groupware focus. Asana offers a free Personal plan for one or two people, capped at 2 users and 100 MB per file, and a Starter plan at $10.99; it is a fit for very small project teams prioritizing that free tier.

Basecamp has a free plan limited to 1 project, 1 GB storage and 5 users, plus a Freelancer plan at $25.00 USD per month; choose it when a small project count and fixed user cap are acceptable. ClickUp gives free users unlimited tasks and members but only 60 MB storage and one form; it suits teams prioritizing task volume over storage.

Hive offers a free plan with up to 10 workspace members, unlimited tasks, 200 MB storage and 1,000 AI credits per month, making it an option when those task and AI allowances fit. Wrike has a free plan with unlimited users, 2 GB storage per account and 200 active tasks per account; choose it when those project-task limits suit the team.

Teamwork.com has a free plan for 5 projects and 5 users, with 100 automations; it may suit a small team that can stay within those caps. Binfire has a free plan for 3 users and 2 GB storage, a fit for small groups that need a clearly capped free tier.

Verdict

Choose EGroupware if your organization wants open-source groupware with shared calendars, two-way sync and video meeting support, and its storage and concurrency terms fit your team. Look elsewhere if mobile apps are essential, you need a specific AI or meeting workflow, or minimum seats and contract terms would force you into more capacity than you need.
