Overview

DojoTrack is a martial arts studio management platform for schools that want student administration and lead tracking in the same system. It is best suited to studios looking to monitor attendance and payment patterns as well as manage classes and billing; the free tier is useful for a small operation, but its low caps and paid plans starting at $95.00 USD per month make growth a cost to consider.

It serves disciplines including Taekwondo, Brazilian Jiu-Jitsu, Karate, MMA, Kung Fu, Muay Thai, Judo, and kickboxing. That focus makes it a more natural fit for martial arts schools than a general gym-management tool.

Key features

Studio administration

DojoTrack brings student and lead records, classes, billing, attendance, and belt progress into one platform. Member import, digital signatures, and kiosk mode are also listed, making it relevant to studios consolidating enrollment and routine administration. The free plan's 10-class and 3-staff limits may be restrictive even before the student cap becomes an issue.

Free users get 90 days of attendance history, two email templates, and one waiver template. That is a bounded starting set, not a deep archive: schools that rely on older attendance records should account for the retention window. DojoTrack's privacy policy says attendance records are deleted three months after creation, and accounts may be deleted after six months of inactivity.

Lead and retention tools

The free plan includes a pipeline for up to 25 leads, one website form, and AI lead scoring. DojoTrack also analyzes attendance and payment patterns to flag students who may be at risk of leaving. Those signals can help a school follow up proactively, although the facts do not establish how alerts are delivered or what action the platform takes on a flag.

Billing, app, and communications

Paid plans include Stripe billing, and the student app is also reserved for paid users. The app includes belt curriculum, a studio store, and push notifications, so paying can extend the system beyond staff administration to student-facing features.

Gmail integration and Twilio options for email and SMS are named. The phone-number add-on costs $2/month plus $0.017 per text; connecting an existing Twilio account costs nothing extra from DojoTrack. Those messaging charges matter for studios that expect frequent outreach.

DojoTrack says it uses encryption in transit and at rest, security assessments and updates, access controls, and secure data centers. It says it responds to inquiries within 24–48 business hours and provides support at support@dojotrack.com.

Pricing

The Free plan supports up to 50 students, 25 leads, 10 classes, and 3 staff, with 90 days of attendance history. Its two email templates and one waiver template round out a limited but concrete entry tier. It suits a small school testing whether the combined administration and lead tools match its workflow, but the student app and Stripe billing are paid-plan features.

Paid plans are priced by student count: Launch costs 95.00 USD per month for up to 100 students; Scale costs 125.00 USD per month for up to 200; Expand costs 165.00 USD per month for up to 300; Grow costs 195.00 USD per month for up to 500; and Master costs 245.00 USD per month for 501+ students. Launch is the step-up for a studio that outgrows the free cap, while the larger tiers suit schools with progressively larger rosters. DojoTrack includes 5 staff seats on paid plans, compared with 3 on Free. A 14-day trial is offered.

SMS can add a separate usage cost: renting a DojoTrack number is $2/month plus $0.017 per text, while connecting an existing Twilio account has no additional DojoTrack charge. Schools should weigh the paid-plan price and messaging use against the student-facing app and billing features they need.

Platforms

DojoTrack is available on Android, iOS, and the web, giving staff and students access across mobile and browser platforms. The student app is a paid-plan feature.

Who it's for

DojoTrack is aimed at martial arts schools, from single-discipline studios to schools teaching several styles. It is a stronger fit for operators who value lead scoring and attendance-based retention signals alongside student, class, billing, and belt administration. It is less compelling for a very small school that can work within free limits but does not need paid billing or the student app, or for a growing studio that cannot justify the jump to $95.00 USD per month.

Pros and cons

Pros: The free tier combines a 25-lead pipeline, one website form, and AI lead scoring with core student and class management, giving a small school a way to organize both prospects and members.
Pros: Attendance and payment analysis can flag possible drop-off risk, a useful addition for schools focused on retaining students.
Pros: Android, iOS, and web access, plus a paid student app with curriculum, store, and push notifications, covers both staff operations and student-facing needs.
Cons: Free is capped at 50 students, 10 classes, and 3 staff, with only 90 days of attendance history; a studio that exceeds those limits must move to paid plans.
Cons: The lowest paid tier starts at $95.00 USD per month, and Stripe billing and the student app are paid features, which may be a steep step for smaller schools.
Cons: Renting a phone number and sending texts adds recurring and per-message costs unless the studio connects its own Twilio account.

Alternatives

Gym Admin is worth considering when a school wants a free tier for up to 50 active students with billing, attendance, rank tracking, and student app access; its Starter plan is 0.00 USD per free. Its paid Pro Plan is 59.00 USD, below DojoTrack's entry price, though the plan facts do not give a student limit for Pro.

PushPress may suit a school that prioritizes a no-monthly-fee entry tier and unlimited leads, admins, members, and staff. Its Free plan charges 4.99% + .30 CC and 2.89% + .30 ACH, so transaction costs rather than a subscription are the trade-off; DojoTrack instead publishes fixed monthly tiers and a capped free plan.

For waiver-focused needs rather than a full studio platform, WaiverDrop has a free plan with 10 waivers per month, unlimited templates, document packets, and kiosk and touchless mode. WaiverChaser is another option when a defined waiver quota is central: its Starter plan is 15.83 USD per year, billed $190/year, for 250 waivers per month, with additional waivers at $0.10 each.

WaiverForever offers a free starter tier with 20 submissions per month, while SignShield offers a web-only free tier limited to one event, 10 waivers per month, 200 MB of storage, and one team, with no kiosks. Choose these when waiver handling is the priority rather than DojoTrack's broader student and class management.

RhinoFit Sign-In Kiosk is an alternative to consider for sign-in kiosk needs. WaiverFile is another waiver-oriented option, with a booking plan that has no monthly fee but adds a 6% booking fee rounded up to the nearest whole dollar at checkout, plus Stripe processing fees. For a broader waiver-software shortlist, see Gym Waiver Software.

Verdict

Choose DojoTrack if your martial arts school wants student, class, and lead management together, especially if attendance and payment signals could help staff intervene before students leave. The free plan is a sensible starting point for a small studio, but the short attendance history and capped staff, class, and student counts narrow its runway. Look elsewhere if you need a lower-cost paid step, or if waivers and check-in matter more than a broader studio-management system.
