Overview

ComplyFlow is software for managing contractor compliance across companies, Workers, sites, and safety processes. It is best suited to organisations that coordinate contractors across multiple sites and operational steps; the broad scope is less compelling for teams that only need a checklist or inspection app.

Founded in 2009 and headquartered in Sydney, Australia, it serves sectors including construction, mining, manufacturing, government, healthcare, utilities, transport, and facilities. Its lifecycle coverage is substantial, but client-platform costs are quote-based and contractor charges can apply even when registration is free.

Key features

Compliance from onboarding through site work

Modules cover prequalification, workforce compliance, training and induction, site access, visitor sign-in, site documents, permits, inspections, plant and equipment, incidents, and risk management. That breadth can keep contractor records and site processes within one platform, while assignments, recurring schedules, and photo and signature evidence support continuing work. It is a stronger fit for organisations joining up several compliance processes than for those seeking only a focused inspection tool.

AI-assisted document review

AI can compare uploaded documents with configured requirements, identify missing information, and help draft review criteria. The company says its team makes the decisions, so the AI supports review rather than replacing human judgement. AI-reviewed prequalification has a separate annual charge when a Client requests it.

Mobile access and integrations

Free native iOS and Android apps cover two distinct tasks: Live Access signs Workers in at gates and checks compliance, while the Inspection app supports offline checklists and syncs findings after connectivity returns. The offline workflow is useful at sites with unreliable connections, though the mobile tools are specialised rather than a single general-purpose app.

Native connectors include Microsoft, Okta, Yardi, TechnologyOne, KeyWatcher Australia, Unicard, Torus, intelliPermit, hsi, solv, Power BI, and CoreVision. A REST API and MCP server are also offered; the API reads every module and supports writes for staff, sites, work orders, inspections, and competencies. Implementation help covers system mapping through go-live, with phone support; white-glove and enterprise support packages are separate options.

Security and permissions

ComplyFlow says it has been ISO 27001 certified since 2019 and hosts data in Australian AWS data centres, encrypted at rest and in transit. Permission schemes can be set by module and site, with separate controls for personal information. External tokens inherit user permissions and can be read-only, giving administrators a way to constrain integration access.

Pricing

ComplyFlow uses a freemium model, but free company registration is not the same as a free client platform. The contractor-side charges are clear; organisations buying the client platform should expect custom pricing and account for site, user, module, and contractor fees.

Plan	Price	What it means
Contractor company registration	0.00 AUD per free	Register a company, add Workers, and hold documents at no charge. This is the entry point for contractors, but it does not remove the separate Worker licence charge.
Contractor Worker licence	35.00 AUD per year	Billed AU$35 a year per Worker on site. One licence per Worker is valid with every Client on ComplyFlow, which avoids a separate licence for each client relationship.
AI-reviewed prequalification	100.00 AUD per year	Billed AU$100 a year for standard AI-reviewed prequalification, charged only if a Client asks for one.
Client platform	Custom pricing	First 5 internal users free, then $35/user/year; optional modules are $24/user/year per module; first 5 sites free, then $200/site/year. Contractor and Worker fees are also listed in the pricing calculator.

The client-platform structure makes costs scale with users, modules, and sites, so larger deployments should budget beyond the free thresholds. Contractors benefit from free registration, but ongoing site participation can incur an annual licence per Worker.

Platforms

ComplyFlow is available on web, Android, iOS, and through an API. The native mobile apps are free on iOS and Android; the Inspection app's offline checklists are particularly relevant to field teams that cannot rely on continuous connectivity.

Who it's for

ComplyFlow suits contractor-heavy organisations that need to connect worker records, site access, training, permits, inspections, and broader safety processes. Its listed sector reach includes construction, mining, manufacturing, government, healthcare, utilities, transport, and facilities. It is less suitable for buyers who only need a small standalone checklist workflow and do not need contractor compliance management.

Pros and cons

Broad lifecycle coverage: prequalification, site processes, inspections, incidents, and risk management sit within one platform, which can reduce the need to stitch together separate compliance workflows.
Useful field support: free mobile apps handle gate sign-in and offline inspections, with findings syncing when connectivity returns.
Integration flexibility: native connectors, an API across all modules, and scoped external tokens support integration while allowing permissions to be constrained.
Costs can accumulate: worker licences, requested AI reviews, per-user and per-site charges, and optional module fees can all affect the total cost.
Client pricing is quote-based: buyers cannot judge a full platform cost from a single published price and need to account for their deployment structure.

Alternatives

For a narrower inspection or checklist use case, Checklist Software may be a better starting point than adopting a full contractor-compliance platform. Property operators comparing vendor workflows can also browse Property Management Vendor Management Software.

Choose myInspections when landlord inspections are the priority: its Landlord plan costs 8.00 USD per month and includes unlimited inspections and properties, one seat, templates, branded reports, and assisted setup. Safety Reports is an alternative for teams seeking features such as JSAs, scans, forms, custom checklists, and API access in its Premium plan.

SafetyCulture (now Mitti) is worth considering when a capped free inspection-and-operations plan is the better fit: its Free plan allows up to 10 seats and five active inspection templates. For form and survey workflows, Survtapp offers a forever-free plan capped at three users, 100 responses a month, three forms, and 120-day data retention.

Safesite may suit teams that want unlimited members and guests on a free plan, accepting that reporting is restricted to the last 30 days. DuloProof and AssignRight are also alternatives. Choose Tervene if a paid platform available on web, Windows, iOS, and Android better matches the requirement.

Verdict

ComplyFlow is a strong choice for organisations managing contractors across sites and needing compliance to span onboarding, access, inspections, and safety processes. Its main advantage is that breadth, backed by offline mobile inspections and integrations; its main drawback is a cost structure that layers Worker and optional review charges onto custom-priced client access. Look elsewhere if the need is limited to standalone checklists or inspections.
