Overview

ClientLoop is a branded client portal for service businesses that need clients to send documents and complete forms. It suits teams handling repeat requests and reviewing submissions together. Its appeal is a connected request-and-review workflow; the main constraint is that even paid plans cap uploads and storage.

Key features

Clients use a magic link to upload files and fill in forms without creating an account or installing an app. Reusable document sets and forms with tables, file fields and signatures help standardise repeat requests. Teams can preview submissions, request changes, approve or reject them, and message clients on the request itself, keeping review and follow-up tied to the work.

Automatic reminders and recurring requests can reduce manual chasing. The portal also connects directly with Calendly, Asana and Slack, and supports connections through Zapier, n8n, Make, REST API and webhooks. API access and webhooks begin at Pro, which supports creating requests, reading submission status and approvals, and receiving events about submissions and workflow changes. Teams that need those programmatic connections must budget for Pro.

ClientLoop says uploads are virus-scanned, files are encrypted and stored in the UK, and the service provides GDPR erasure, activity logs and role-based access. Its developer documentation says connections use TLS/HTTPS, workspaces are isolated, and API access uses a workspace-specific key. Under its privacy policy, customers generally act as controller for workspace content and ClientLoop as processor; it says it does not sell personal data.

Pricing

The Free plan costs £0.00, forever, and includes unlimited document and form requests, but is limited to 5 clients and 1 team member. Its 1 GB storage, 100 uploads per month, six-month file retention and 90-day activity history make it a useful small-scale trial, not a roomy long-term workspace.

Essentials costs £35.00 per month, billed monthly, excluding VAT. It raises the limits to 100 active clients, 2 team members, 50 GB and 1,000 uploads per month, with files kept for a year after the client's last activity and one year of activity history. Packs, reusable templates, automatic reminders, recurring requests and a custom domain make this the practical tier for small teams standardising ongoing intake. The trade-off is a two-seat ceiling.

Pro costs £69.00 per month, billed monthly, excluding VAT. It allows unlimited clients and 5 team members, with 100 GB storage, 2,000 uploads per month, five-year file retention while on Pro and five-year activity history. REST API and webhooks are included, so this is the appropriate plan for teams that need integrations beyond the built-in connections. It is a substantial step up from Essentials, and upload volume remains capped.

Scale costs £149.00 per month, billed monthly, excluding VAT. Its 15 team members, 500 GB and 5,000 monthly uploads suit larger teams with heavier document traffic; priority support is included. It does not remove the upload cap. Enterprise has custom pricing for a tailored build for larger organisations.

Platforms

ClientLoop is available on the web and through an API. Clients do not need an app to submit documents or forms. The company is based in York, England, and operates as a trading name of Pleesys Technology Limited.

Who it's for

ClientLoop is positioned for client-heavy service work, including accountancy, bookkeeping, agencies, law firms, mortgage brokers, financial advisers, recruitment and consulting. It is strongest where teams repeatedly request, review and follow up on client paperwork. A solo user with only a handful of clients may manage on Free; teams needing more seats, upload capacity or retention will need a paid tier. It is less suited to organisations that need uncapped upload volume.

Pros and cons

Pros: Magic-link submissions avoid requiring clients to create accounts or install an app.
Pros: Reusable requests, reminders and contextual review tools bring collection and follow-up into one workflow.
Pros: UK file storage, encryption, virus scanning, role-based access and activity logs address important document-handling concerns.
Cons: Free is restricted to five clients and one team member, with just 1 GB of storage and 100 uploads monthly.
Cons: Every paid tier has a monthly upload cap, and the API and webhooks require the £69.00 Pro plan.
Cons: Essentials is limited to two team members, while Scale still caps uploads at 5,000 per month.

Alternatives

For a broader shortlist, see Client Intake Software.

Intake is worth considering when its free allowance of 10 clients or its Android and iOS apps better fit your needs.
FlowyForm is a web option if unlimited forms and submissions on its free Standard plan matter more than a dedicated client-portal workflow.
FormsHQ may suit teams focused on published forms and responses, with its free Starter Form allowing one form and 50 responses per month.
Onvoy is another onboarding-focused choice, with a free plan for five onboardings per month and one team member.
PlatoForms is worth comparing if a free plan with one live form, 100 submissions per month and two members meets your needs.
Portico may fit teams that want a free onboarding plan with three active onboardings per month and unlimited team members.
Captorra Intake is an alternative for users comparing intake software with paid plans for up to five users or unlimited users.
Dispatch is another paid client-intake option to consider.

Verdict

Choose ClientLoop if your service team needs a branded place to collect, review and follow up on recurring client paperwork, especially when magic-link access and reusable workflows matter. Its integrated review tools and reminders make it more complete than a simple form, but tight free limits and paid upload caps are real constraints. Look elsewhere if you need generous free capacity, uncapped submissions or API access without moving to Pro.
