Overview

Onboarding blueprints, preboarding pages, learning resources, and automated timelines cover the process from before a hire starts through structured training and follow-up. Teams can tailor workflows by role, while task completion can trigger the next step. That makes ChiefOnboarding a practical fit where onboarding involves several people and recurring handoffs, rather than a single checklist owned by one manager.

Organizations can customize colors, logos, email layouts, and use their own domain. The maker says customer data stays under the customer's control when self-hosted, and that integration credentials are stored in encrypted fields. Error logging for users on its servers is opt-in and disabled by default.

Key features

Reusable workflows and preboarding

Blueprints combine tasks, resources, introductions, and rewards for different roles and teams. This supports consistency without forcing every new hire through an identical sequence. Preboarding pages can share information, files, lists, and custom forms before the start date, helping teams handle preparation in one organized process.

Timelines and learning

Timelines schedule tasks and messages, automate reminders, and trigger steps when earlier work is completed. That can reduce manual chasing across a distributed team, though the organization still has to design the right process for each role. Resources can be wiki-style pages or courses with questionnaires, giving teams a way to pair practical onboarding steps with learning content.

Integrations and API

The integration catalog includes account provisioning and webhooks, with Teamtailor, BambooHR, Azure Active Directory, Asana, Zendesk, Google, and Slack among the named services. The API can create new hires programmatically, but API access must be enabled and authenticated with a token. That makes it relevant to organizations connecting onboarding to their existing systems, while requiring setup for API-based workflows.

Pricing

The Free plan is self-hosted and includes community support through GitHub issues. It suits organizations able to operate the software themselves and accept a community-support route; it is not the managed-support choice.

Support costs 249.00 EUR per month, billed annually. It is also self-hosted, but adds priority email support with a best-effort response time generally under two hours. This is the better fit for teams that want a faster support channel while retaining their own hosting. No user-seat quota is stated for either plan.

Managed hosting has soft limits on email, text, storage, and bandwidth; the smallest server generally handles a few hundred active users per week. Teams expecting heavier usage should account for those limits when choosing hosting. The published Support price is annual-billed, so it is a substantial commitment compared with a free self-hosted start.

Platforms

ChiefOnboarding is available as a web product and can be self-hosted; an API is also available for programmatic integration. New hires can use Slack or a web portal. The platform mix favors organizations building onboarding into their existing work environment rather than teams seeking a standalone mobile app.

Who it's for

ChiefOnboarding is a strong fit for remote-first organizations where HR, IT, managers, buddies, and new hires share responsibility for a structured process. Role-specific blueprints, preboarding, learning resources, and completion-triggered steps are useful when that process has multiple stages or recurring handoffs. It is less compelling for organizations that do not want to manage self-hosting and need a free option with priority support.

Pros and cons

Pro: Reusable blueprints and completion-triggered timelines help standardize multi-step onboarding while allowing role-specific variation.
Pro: Preboarding pages and course-style resources cover preparation and training as well as task tracking.
Pro: Self-hosting keeps customer data under the organization's control, according to the maker.
Con: The free plan is self-hosted and supported through GitHub community issues, so it is not a hands-off or priority-support option.
Con: The Support plan is 249.00 EUR per month billed annually, and remains self-hosted.
Con: Hosted servers have soft usage limits, and the smallest server is generally sized for a few hundred active users per week.

Verdict

Choose ChiefOnboarding if your remote organization needs repeatable, role-aware onboarding and values the control of self-hosting. Its strongest case is the breadth from preboarding through learning and automated follow-up. Look elsewhere if self-hosting is a poor fit or if you need priority support without an annual-billed commitment.
