Overview

In-Form brings client records and service casework together for non-profits, with particular depth for housing and homelessness services. It is strongest for organisations that need structured case tracking alongside housing operations; substantial setup charges and per-user fees make it a considered purchase rather than a light-weight starting point.

Developed by Homeless Link, In-Form has been offered since 1999 and serves work spanning housing, family services, mental health, addiction, employment, refugees and veterans. Browse Nonprofit Case Management Software for more options in the category.

Key features

Casework and client records

In-Form records client interactions, casework actions, assessments and progress, and supports custom intake forms, service plan tracking, referrals and outcomes. A client portal is also available. This breadth suits services following a person’s work across multiple stages, rather than teams seeking only a contact database. Mobile access is through a browser, so the stated platform coverage does not establish a separate native-app workflow.

Reporting and housing operations

Community includes standard reports and dashboards, while Essential supplies more than 200 out of the box. That makes Essential the clearer fit for organisations that rely on broad reporting without commissioning bespoke work. In-Form Housing covers portfolios, compliance, tenant services, occupancy, rent, repairs, maintenance, assets and safety checks, giving housing providers a notably wider operational scope than casework alone; Rent adds cost on Enterprise.

Customisation, integrations and support

Enterprise supports bespoke recording and reporting, tailored access, automated processes and custom dashboards. Its listed integrations include Outlook, Conga, SMS Magic, Power BI, Einstein and FormAssembly, but third-party apps may add costs. The maker describes ongoing support, training and development; Enterprise support is through UK-based consultants on weekdays, 9am–5pm. The system is cloud-hosted on Salesforce and accessible through browsers and devices. The maker states that it performs daily backups and identifies Homeless Link as Cyber Essentials Plus and ISO 27001 certified.

Pricing

In-Form is freemium, with a 30-day trial and paid options. The per-user annual charges and setup costs are material, so organisations should compare total implementation and licence costs, not just the headline subscription.

In-Form Community: £360.00 per year, with additional licences billed annually, plus VAT. The first three licences are free; each additional licence costs £60 + VAT, up to 10 users total. It is restricted to Homeless Link members, and accounts are deactivated after 90 days of inactivity. Community is the entry route for eligible small teams, but its user cap and standard reporting make it less suitable for larger services or those needing extensive reporting.
In-Form Essential: £165.00 per user per year, billed annually, with set-up from £4,399. Recommended for organisations with up to 15 system users, it adds more than 200 reports and dashboards. It suits teams that need richer standard reporting, though the setup charge and per-seat billing raise the commitment beyond the subscription.
In-Form Enterprise: £300.00 per user per year, billed annually, with set-up from £9,199. This bespoke option is aimed at organisations needing tailored processes, access and reporting, or integrations. In-Form Rent costs extra, and integrations and third-party apps may also incur additional charges.

Platforms

In-Form is cloud-hosted and accessible from any browser and device, with Android, iOS and web listed as platforms. Mobile access is browser-based.

Who it's for

Housing and homelessness organisations are the clearest match, especially those combining client casework with property, tenancy and compliance duties. The wider service coverage makes it relevant to non-profits working in family support, mental health, addiction, employment, refugee services and veterans’ support. Community may work for a small Homeless Link member organisation within the 10-user limit; teams needing more reporting or bespoke workflows should consider Essential or Enterprise. It is a weaker fit for organisations that cannot absorb setup costs or need mobile access beyond a browser.

Pros and cons

Pros: Casework, assessments, referrals, service plans and outcomes are covered in one system, supporting a continuous view of client work.
Pros: Housing includes compliance, repairs, rent and safety checks, extending the product to property and tenant operations.
Pros: Essential’s 200-plus reports and Enterprise customisation provide a clear path from standard reporting to tailored operations.
Cons: Essential and Enterprise carry setup charges from £4,399 and £9,199 respectively, before annual per-user fees.
Cons: Community requires membership, caps accounts at 10 users and deactivates inactive accounts after 90 days.
Cons: Enterprise integrations and In-Form Rent can add costs, while mobile access is browser-based.

Alternatives

Primero is worth considering for organisations that want a free, open-source self-managed deployment and can rely on documentation and community support; its full-service SaaS tier is also an option.

WellSky Human Services is another paid option with a free plan and web access.

Collaborate may suit organisations that prefer custom pricing based on size, users and modules, with no per-seat licensing fees; it supports Android, iOS, web and API platforms.

TigernixClub is a paid alternative with web and API platforms.

CaseFlow is worth comparing if a fixed monthly entry package is preferable: its Base Package is $150.00 USD per month for two users, with a $1,995 setup charge and one custom workflow.

Transform is another paid web option, with a Tier 1 plan at $70.00 USD per month that includes intake and assessment, settings management, data export and basic reporting.

CaseWorthy and CHARMS are also paid alternatives.

Verdict

Choose In-Form if your non-profit needs casework built around client relationships and, especially, housing operations in the same system. Its reporting tiers and customisation give organisations room to match the software to their work, but setup charges, per-user licensing and potential add-on costs are the main reasons to look elsewhere.
