Overview

Brex brings corporate spending, expense workflows, budgets, and accounting tools into one platform for startups and growing companies. It is a strong fit for finance teams managing distributed or multi-entity spend; smaller organizations with simpler needs may not need its breadth.

Its central advantage is pairing configurable controls with expense automation and real-time budget tracking. The key constraint is tiering: Essentials is capped at two entities, while broader coverage moves to Premium or custom-priced Enterprise.

Key features

Policy controls and budgets

Finance teams can set rules by use case, level, department, or entity, then block specific merchants or categories or route them for approval. That makes Brex useful when spending authority varies across teams and entities, rather than relying on a single company-wide rule. Live Budgets gives department heads real-time visibility into allocations for people or teams, and Brex AI flags anomalous activity. These controls are most valuable when managers need to monitor budgets as spending happens.

Expense automation and accounting

Brex can collect expense documents, generate memos, fill in fields, assign departments and general-ledger codes, and match receipts using OCR across languages and currencies. That combination can cut routine coding and receipt handling for teams processing varied expenses. QuickBooks and NetSuite are named ERP integrations; accounting automation can also suggest coding rules and mappings. Brex says it has thousands of native integrations, including Slack, Rippling, Workday, and Xero, although some integrations may be add-ons.

Reimbursements, mobile, and security

Employees can receive reimbursements in local currency to bank accounts in 40 countries, with no per-transaction reimbursement fees. The mobile app supports expense tracking, travel booking and management, spending-limit requests, and payments, giving employees several common tasks away from a desktop. Brex states that it is SOC 1 Type II, SOC 2 Type II, and PCI-DSS compliant, and describes encryption, two-factor authentication, and fraud monitoring. Its fraud protection includes 24/7 support, reachable through the dashboard or mobile app.

Pricing

Brex uses a freemium model, with Essentials at 0.00 USD per month (billed $0 user/month). It includes up to two entities (1 global entity) and one local card program. That is a practical starting point for smaller companies, but the two-entity ceiling and single card program limit its fit for more complex operations.

Premium costs 12.00 USD per month (billed $12 user/month) and supports multi-entity operations in the US and internationally. It is the relevant step up for teams that outgrow Essentials' entity cap. Enterprise has custom pricing and includes unlimited US or global entities, making it the tier for organizations that need wider entity coverage. Smart Card also has custom pricing and offers local-currency cards in 50+ countries. Some integrations may be add-ons, so the subscription price alone may not cover every desired connection.

Platforms

Brex is available on web, Android, iOS, and API. The mobile app covers expense tracking, travel booking and management, spending-limit requests, and payments. Card issuance supports both virtual and physical cards.

Who it's for

Brex suits startups, scaled companies, and ecommerce brands whose founders, CFOs, or finance teams need company-wide controls, budgets, reimbursements, and accounting workflows in one system. It is especially compelling when spending spans departments, currencies, or entities. A small business that needs only basic expense tracking may find the multi-entity and automation breadth unnecessary.

Pros and cons

Pros: Policy rules can vary by department, level, use case, or entity, with blocking and approval options for specified spend.
Pros: Automated document handling, coding, and receipt matching can reduce manual expense administration across currencies and languages.
Pros: Local-currency reimbursement to bank accounts in 40 countries comes with no per-transaction reimbursement fees.
Cons: Essentials stops at two entities and one local card program, so organizations with wider needs must move up a tier.
Cons: Enterprise and Smart Card use custom pricing, and some integrations may cost extra.

Alternatives

Ramp AP is worth considering for smaller teams looking to simplify finances; its Free plan is 0.00 USD per free and it is available on Android, iOS, web, API, and extension. Float may suit teams that want a free starting point with card and accounting-export options: Essentials is 0.00 CAD per free and includes up to 20 physical and unlimited virtual cards, with QBO, Xero, or custom exports; conditions and fees apply.

Mesh Payments offers a no-cost Pro plan for up to 3 users and a Premium plan at 13.00 USD per month billed per user, per month. Moss is another free starting option: its Free Plans include up to 3 users, unlimited cards, up to 20 invoices per month, customizable approval and verification steps, and a debit-only Moss wallet. Rho is a free-plan alternative with $0 subscription, per-user, and platform fees, alongside a 1% foreign-currency transfer fee.

PEX may fit teams comparing card-account and reimbursement costs: Base includes up to 5 free card accounts, additional cards cost $8 each, and employee reimbursements cost $1 per ACH payment. Airbase and Corpay Complete are paid alternatives. For broader category comparisons, see Spend Management Software, Corporate Card Software, Expense Reimbursement Software, Travel and Expense Management Software, and Mileage Tracking Software.

Verdict

Choose Brex if your finance team needs configurable spend controls, automated expense handling, and visibility across budgets or multiple entities. Essentials makes it possible to start without a subscription, while Premium and Enterprise address broader entity needs. Look elsewhere if your operation is simple enough that this breadth is unnecessary, or if predictable pricing across expanded coverage and integrations is a priority.
