Overview

Requester combines reusable templates, collaboration, and approval workflows in one workspace. Requests can start from a template picker, AI-drafted chat, a public intake link, inbound email, a resubmission, or a linked sub-request. That range suits teams collecting work from employees and external parties, but it is more machinery than a team needs for a single, simple form.

The product is offered globally and operated from Sri Lanka. Customer data is processed by listed service providers in locations that depend on provider regions and configuration. Requester says its workspace data tables use row-level security, while public-link tokens are hashed and can be expired or revoked.

Key features

Intake and approval controls

The form builder has 27 field types and conditional field logic, which lets teams adapt requests to different answers instead of making every person complete the same fixed questionnaire. Approval steps can require any reviewer, all reviewers, or an M-of-N quorum, with multi-step routing for processes that need several decisions. This flexibility is useful for varied approval policies, though teams should decide how much routing complexity their process actually warrants.

External approvers can decide through single-use email links without accounts or seats. Their decisions are attributed in the audit log, so outside reviewers can participate without increasing the approver-seat count while retaining a record of who acted.

Automation and connections

Visual workflows support routing, branching, delays, service-level targets, and webhook steps. The integrations page lists Slack, Microsoft Teams, Discord, Google Chat, Telegram, incoming and workspace-event webhooks, and Zapier, as well as a per-workspace public API key. These options make Requester a plausible fit for teams that need requests to connect to existing communications or systems; the breadth alone does not establish that any particular connection covers a team's needs.

Audit, analytics, and exports

The audit log records the actor, timestamp, IP address, and user agent for actions, giving teams a detailed decision trail. Basic analytics are on Pro and advanced analytics on Business, so teams that need reporting must budget for a paid tier. Workspaces can be exported as one JSON file and request lists as CSV, useful options for retaining or working with records outside the workspace.

Pricing

Requester has a free plan and paid plans billed per approver seat. The minimum seat counts matter: Pro starts at three seats and Business at five, so their effective minimum monthly costs are $36/mo and $125/mo respectively. Submitters are unlimited on all three tiers, but request and AI-action quotas are pooled and scale with approver seats on paid plans.

Plan	Price and terms	Included limits and features
Free	0.00 USD per free; billed $0/forever	3 approver seats; unlimited submitters; 50 requests/month; 5 templates; 2 teams; 250MB storage; 150 AI actions/month, pooled. Community support.
Pro	12.00 USD per month; billed $12/approver/mo; minimum 3 seats	Unlimited submitters; 200 requests per approver seat/month, pooled; unlimited templates and teams; 10GB base + 2GB/seat; 3,000 AI actions per seat/month, pooled. Basic analytics and email support.
Business	25.00 USD per month; billed $25/approver/mo; minimum 5 seats	Unlimited submitters; 1,000 requests per approver seat/month, pooled; unlimited templates and teams; 50GB base + 5GB/seat; 5,000 AI actions per seat/month, pooled. Advanced analytics and priority support.

Free is a credible way to start a small process, but its 50 monthly requests, five templates, two teams, and 250MB storage constrain broader use. Pro removes the template and team caps and raises pooled request capacity, making it the practical fit for teams that need basic analytics and can work within its quota. Business offers substantially more pooled capacity, storage, advanced analytics, and priority support; its five-seat minimum makes it harder to justify for a small approval group. Requester offers no paid plan below the Pro minimum.

Platforms

Requester supports Android, iOS, and web. Its product page describes installing the PWA to a home screen and receiving web push notifications, giving mobile users a web-based route to access it.

Who it's for

Requester is aimed at finance, IT, operations, and people teams handling repeatable work such as purchase approvals, access requests, leave, vendor onboarding, expenses, and external intake. It makes sense when a team needs conditional forms, defined approval rules, and a record of decisions. Teams with low request volume can begin on Free; those needing broader capacity should weigh the per-approver cost against their approval group size. A team seeking only a basic form, or unable to meet the paid seat minimums, may be better served elsewhere.

Pros and cons

Flexible intake: 27 field types, conditional logic, and six request channels cover more than a single static form.
Configurable approvals: Any-reviewer, all-reviewer, and M-of-N rules support different decision policies and multi-step routing.
Outside decisions without seats: Single-use links let external approvers act without accounts, and the audit log attributes their decisions.
Paid cost follows approver count: Pro requires three seats and Business five, which can make paid tiers costly for a small approval team.
Free is capped: 50 requests a month, five templates, two teams, and 250MB storage may limit a growing operation.
Analytics are tiered: Basic analytics require Pro and advanced analytics require Business.

Alternatives

HR Workflow Automation Software is a useful category comparison for buyers focused on people-team processes, while Workflow Management Software broadens the search beyond request intake and approvals.

Jotform is another freemium option on web, iOS, and Android; its Starter plan is free with standard features and usage limits, including five forms and 100 monthly submissions, so it is worth considering when a smaller form-and-submission allowance fits.

Atwork has a free plan for up to five members and offers a free trial, making it an alternative for a small team comparing HR workflow options. Sanka Flow also has a free plan, with no further Flow-specific limits stated.

Drag is a paid alternative with a free trial and a Starter plan at 16.00 USD per month, for buyers comparing a paid option with no free plan. Pipefy has a free plan with a Starter allowance of five processes, 10 users, 50 cards created per month, and 2 GB storage, making it relevant when those stated limits match a team's needs.

ServiceNow HR Service Delivery is another paid HR service delivery option. Cflow is a paid alternative with a free trial; its Joy plan is 22.00 USD per month with a 10-user minimum and a maximum of 20 workflows. Rival Workflow is another web-based alternative.

Verdict

Choose Requester if your team needs flexible internal and external intake, configurable approvals, and a traceable workflow in one workspace. Its free tier gives a small team a way to begin, and paid plans add room for more volume and analytics. Look elsewhere if the approver-seat minimums or free-tier caps do not fit your team, or if your process does not need this level of workflow control.
