Overview

ActivTrak analyzes digital work activity to help organizations understand work patterns and identify opportunities to improve how teams operate. Real-time data refresh and custom dashboards support ongoing review rather than occasional snapshots. Founded in 2009, it combines workforce management, productivity analysis, and AI insights in one platform.

Its approach has a defined privacy boundary: ActivTrak says it does not use keystroke logging, email monitoring, camera access, personal-device monitoring, or video recording. Screenshots are not taken or retained by default; they are available only through the optional Screen Details add-on. For a broader category comparison, see Workforce Analytics Software.

Key features

Workforce and productivity analysis

Workforce Management covers real-time workforce visibility, productivity trends, schedule adherence, and location adherence. Productivity Optimization classifies time as productive, unproductive, or offline, helping teams spot patterns to address. These tools are useful for workforce planning and trend analysis, but they are not a substitute for direct evidence of the quality of an employee’s work.

AI insights

AI Insights measures AI usage and compliance, tracks adoption maturity and benchmarks, and assesses productivity impact. That makes the product relevant to organizations trying to understand whether AI is being adopted and how it affects work, not just whether teams have access to AI tools.

Integrations and data access

Native Microsoft Outlook and Google Calendar integrations bring in calendar and PTO data; Microsoft Entra ID and SCIM support user management. The ActivConnect add-on provides API or SQL access to live and historical data, plus pre-built templates for Power BI, Looker Studio, and Tableau. Teams already invested in those reporting workflows may find this useful, though API and SQL access requires the add-on.

Privacy and security

ActivTrak states that it holds SOC 2 Type 1 and Type 2 certifications and encrypts customer data in transit and at rest. The default absence of screenshots and the stated exclusions around personal devices and intrusive monitoring may suit organizations seeking workforce analysis with narrower monitoring practices.

Pricing

ActivTrak uses a freemium model, with a Free plan at 0.00 USD per free and a 14-day trial. Paid-plan prices are custom pricing.

Plan	Included limits and scope	Best fit
Free	30 days of data history; basic activity visibility limited to 3 people	A small team evaluating basic activity visibility
Work Activity Tracking	6 months of data history; 20 configurable work schedules	Teams needing more history and schedule configuration
Workforce Management	6 months of data history; 50 configurable work schedules	Organizations prioritizing workforce and schedule visibility
Productivity Optimization	1 year of data history; 50 configurable work schedules	Teams needing longer-term productivity analysis

The free plan’s three-person cap and 30-day history make it a narrow evaluation tier, not a practical fit for larger teams or long-range analysis. Free accounts with no login for 30 days are marked inactive and receive an email about pending deletion. Paid plans extend history and schedule capacity, but the price is custom, so buyers should weigh those differences against their required seat count and budget. A paid support plan is required for purchases involving more than 50 licenses.

Platforms

ActivTrak supports API, extension, Linux, macOS, web, and Windows. Agents are offered for Windows, macOS, and ChromeOS; the ChromeOS agent can run in Chrome on Linux systems without a native agent. The Assist Browser Extension works alongside the desktop agent on Windows and Mac to capture more detailed URL data.

Who it's for

ActivTrak is a strong fit for organizations that need real-time visibility into work patterns, schedule adherence, productivity categories, or AI adoption, particularly when they want stated limits on monitoring methods. It is less suited to buyers who need a generous free deployment: the free tier covers only three people and a month of history. Teams that require screenshots need the optional Screen Details add-on, and organizations buying more than 50 licenses must also plan for paid support.

Pros and cons

Pros: Real-time activity refresh and custom dashboards support ongoing workforce review.
Pros: Separate workforce, productivity, and AI-insight capabilities cover several related management questions.
Pros: Calendar, PTO, identity, and provisioning integrations connect workforce data with existing systems.
Pros: Screenshots are off by default, and ActivTrak states clear exclusions for several intrusive monitoring methods.
Cons: Free activity visibility is capped at three people, with only 30 days of history.
Cons: Paid-plan prices are custom, making cost comparison less direct.
Cons: Purchases above 50 licenses require a paid support plan, adding a required consideration for larger deployments.

Alternatives

Choose Worklytics instead if calendar-only analytics and meeting insights for up to 100 users on its free plan are a closer match than ActivTrak’s activity-based visibility. Qualtrics is an alternative for individuals seeking a free surveys plan with one user, three active surveys, and 500 total responses. Peoplelytics is another freemium, web-based option to consider.

Culture Amp may suit buyers looking for a paid platform with annual pricing based on employee count, product, and service tier. Choose Insightful instead if a paid workforce analytics plan with a stated price of 8.00 USD per month, billed annually, and screenshots is a better fit. Lightcast offers paid consulting, software, and data-delivery options for organizations seeking those approaches. One Model is a paid alternative for buyers focused on people-data infrastructure and data stories. Orgvue is a paid subscription alternative with annual advance invoicing and a committed subscription term.

Verdict

Choose ActivTrak if your organization needs a single platform for real-time workforce visibility, productivity patterns, and AI-use measurement, with defined limits on monitoring practices. Its combination of operational and AI insights is its strongest reason to choose it. Look elsewhere if a three-person free cap is too restrictive or if you need published paid pricing before evaluating cost.
