Windows 11’s most useful capabilities are often hidden behind keyboard shortcuts, hover menus, secondary Settings pages, or optional Microsoft utilities. The practical standouts are Clipboard History, Snap layouts, virtual desktops, Focus, voice tools, Phone Link, Nearby sharing, and PowerToys—not risky registry tweaks.

Menu names and availability can vary by Windows 11 build, language, hardware, account, region, and workplace policy. The paths below reflect current Windows 11 conventions; check your installed build if a label differs.

Five shortcuts worth memorizing

These shortcuts are not all exclusive to Windows 11, but they remain among the fastest ways to reach features many users overlook.

Clipboard History: recover more than your last copy

Normal copying replaces the previous clipboard item. Clipboard History keeps up to 25 unpinned entries, including supported text, HTML, and bitmap content, with a Microsoft-documented limit of 4 MB per item. Pinned items survive a restart.

Turn it on and use it

  1. Press Windows + V.
  2. Select Turn on if prompted.
  3. Copy several items, press Windows + V again, and select one to paste.
  4. Open an item’s menu to pin or remove it; choose Clear all to delete unpinned entries.

More controls are at Start > Settings > System > Clipboard, including Clipboard history across your devices and automatic or manual text synchronization.

Sync is a privacy choice

Cross-device history uses a Microsoft or work account and may be restricted by organizational policy. Clipboard content can include passwords, one-time codes, addresses, or private messages. Keep automatic sync off unless needed, use manual sync only for non-sensitive text, never pin credentials, and clear history on shared computers.

If it does not work

  • Open Windows + V and confirm the feature is enabled.
  • Copy plain text from Notepad to rule out a source application problem.
  • Restart the source application and check whether work or school policy blocks the feature.
  • For synchronization, verify the same Microsoft or work account is signed in on each device.

Snap layouts, Snap Assist, and Snap Groups

These names describe related but different behavior. Snap layouts choose an arrangement, Snap Assist suggests windows for the remaining spaces, and Snap Groups make a related snapped set easier to restore. They are not virtual desktops.

Choose a layout

  • Press Windows + Z.
  • Hover over a window’s maximize/restore button and select a layout.
  • Drag a window toward the top edge to open the Snap Bar, then choose a layout.
  • Use Windows + Left Arrow or Windows + Right Arrow for quick two-column snapping; the Up and Down arrows change maximize or minimize behavior within snapping.

After selecting a layout, choose other open windows to fill its remaining zones. Layout choices depend partly on display size and resolution, and some applications do not resize cleanly.

Control the behavior

Go to Start > Settings > System > Multitasking > Snap windows. Depending on the build, you can control suggestions after snapping, hover and drag-to-top layouts, snapped groups in the taskbar, Task View and Alt + Tab, and whether snapping activates before a window reaches the edge. Change individual options rather than disabling all snapping if automatic movement bothers you.

A disconnected monitor, changed resolution, or closed application can alter a previously arranged group; Snap Groups are not a permanent backup of an entire workspace.

Virtual desktops: separate work contexts

Use virtual desktops when entire categories of work should be separated, rather than when several windows simply belong together on one screen.

  1. Press Windows + Tab.
  2. Select New desktop.
  3. Open the relevant applications on that desktop and select another desktop from the strip to switch.
  4. Switch quickly with Windows + Ctrl + Left Arrow or Windows + Ctrl + Right Arrow.

For example, keep office work on Desktop 1, research on Desktop 2, personal browsing on Desktop 3, and communications on Desktop 4. Under Start > Settings > System > Multitasking > Desktops, choose whether taskbar windows and Alt + Tab show only the current desktop or all desktops.

Desktops are organizational views, not security boundaries. Applications, notifications, background processes, account sessions, and permissions remain shared. Closing a desktop moves its windows to another desktop instead of necessarily closing the applications.

Focus sessions and Do not disturb

Focus can run a timed session while reducing notification interruptions, hiding taskbar badges, and suppressing flashing taskbar alerts. It does not stop every background process or guarantee silence.

  1. Open Start > Settings > System > Focus.
  2. Select Start focus session and adjust the duration.
  3. Choose whether to show the timer in the Clock app, hide badges, hide flashing apps, and turn on Do not disturb.

Check Do not disturb exceptions if calls or priority alerts must still reach you. Clock integration and labels can vary by build. Microsoft’s focus and multitasking guidance is available here.

Voice typing versus Voice Access

Voice typing: speech into a text field

  1. Click inside a text field.
  2. Press Windows + H.
  3. Wait for the voice-typing panel and speak.
  4. Review and correct the transcription.

A microphone is required. Recognition, punctuation, supported languages, and internet requirements vary by language and configuration. For poor results, check Settings > System > Sound > Input, microphone permissions under Privacy & security, and test short phrases in Notepad. Background noise, accents, specialist vocabulary, and multiple speakers affect accuracy.

Voice Access: control Windows by voice

Voice Access is a separate accessibility feature for selecting, clicking, scrolling, switching windows, displaying commands, and dictating. Find it under Settings > Accessibility > Speech on supported builds. Language availability, offline behavior, commands, internet needs, and organizational restrictions differ by Windows version and display language, so consult the command panel on your PC rather than assuming identical support everywhere. It is useful for hands-free or accessibility workflows, but noisy shared spaces can make it impractical.

Phone Link and Nearby sharing

Phone Link

Phone Link can show phone notifications, messages, recent photos, and—in supported combinations—mobile apps on the PC. Capabilities vary substantially between Android devices, iPhones, manufacturers, Bluetooth support, Wi-Fi, companion software, and account requirements. It is a convenience layer, not a universal replacement for a phone.

Review notification previews before using it on a shared monitor, in a classroom, office, or livestream. Corporate policies may block pairing, and sensitive phone content can become visible on the PC.

Nearby sharing

Nearby sharing transfers compatible files or links between nearby Windows devices without emailing them or using a USB drive. Enable it in Windows sharing or nearby-sharing settings, choose who can discover the PC, and confirm the received-file location shown on your build. Bluetooth and Wi-Fi hardware, permissions, discovery, and network conditions affect reliability. Do not leave the computer discoverable to everyone indefinitely, and do not treat this convenience feature as an enterprise file-transfer system.

Multitasking settings people often miss

  • Choose whether Alt + Tab includes windows from the current virtual desktop or every desktop.
  • Choose whether taskbar buttons represent only the current desktop or all desktops.
  • Control Snap suggestions and snapped-group visibility.
  • Enable or disable title-bar shake, which minimizes other windows when the active title bar is shaken.

These controls are generally under Start > Settings > System > Multitasking, but managed PCs and later releases may show different labels.

PowerToys: a free optional Microsoft add-on

Microsoft PowerToys is free and open source, but it is not part of the default Windows installation. Install it through Microsoft’s official distribution channels, especially on a managed computer.

Workspaces can recreate a browser, editor, terminal, and chat arrangement with one action; see the official documentation. PowerToys adds capability but also settings, background processes, updates, and possible security-software conflicts.

Privacy and compatibility checklist

  • Disable clipboard synchronization unless cross-device copying is genuinely useful; never pin passwords or codes.
  • Review Phone Link notification and photo visibility on shared displays.
  • Check microphone permissions, language support, and internet requirements before relying on speech features.
  • Use a restricted Nearby sharing visibility option when possible.
  • Expect Microsoft or work-account requirements for synchronization and connected experiences.
  • Remember that schools and employers can disable clipboard, speech, phone, or add-on software features.
  • Verify build-specific behavior before documenting or deploying a workflow; feature labels change between Windows 11 releases.
