Use this Windows 11 cheat sheet as a practical reference for everyday navigation, keyboard shortcuts, File Explorer, maintenance, security, backup, and recovery. Menu names and available features can differ by Windows 11 release, Home or Pro edition, hardware, account type, language, and administrator policy. If a path does not match your screen, search Settings for the feature name.

Start with these 20 shortcuts

These are the controls most users need first. Shortcuts can be intercepted by an active app, remote-desktop session, laptop firmware, keyboard layout, or organization policy.

Know the main Windows 11 controls

Start, Search, and the taskbar

  • Start contains pinned apps, recommended items, your account controls, and power options.
  • Search finds apps, settings, files, web results, and troubleshooting pages. Press Win + S or press Win and type.
  • Taskbar holds pinned and running apps plus network, sound, battery, clock, and other notification-area controls.

Quick Settings and notifications

Press Win + A for network, volume, brightness, Bluetooth, accessibility, airplane mode, and device-specific controls. Press Win + N for notifications and the calendar. Available tiles vary by hardware and configuration.

Settings, Run, and Task Manager

Win + I opens the main configuration hub. Win + R launches commands such as systempropertiesprotection.exe. Task Manager (Ctrl + Shift + Esc) shows CPU, memory, disk, network, running processes, and startup impact.

Window, display, and desktop management

Use Win + Z or hover over a maximize button to see Snap layouts. Layouts depend on display size, Windows configuration, and whether the app supports the chosen arrangement. Closing a virtual desktop normally moves its open windows to another desktop rather than closing the apps.

For multiple displays, open Settings > System > Display or press Win + P to choose PC screen only, duplicate, extend, or second screen only.

File Explorer essentials

Open Explorer with Win + E. Current Windows 11 versions open to Home, where common folders and recent files may appear. Microsoft’s File Explorer guide documents the current command bar, Quick access, views, hidden items, extensions, and context menu.

Warning: Shift + Delete bypasses the normal Recycle Bin recovery path. A file inside OneDrive may be online-only, and deleting or moving a synchronized file can propagate that change to other devices.

Make files easier to find

  • Pin a folder by right-clicking it and choosing Pin to Quick access.
  • Use View > Show > File name extensions so an executable cannot masquerade as a document.
  • Use View > Show > Hidden items only when needed; avoid changing unknown system files.
  • Use View > Show > Navigation pane and View > Compact view to change Explorer’s layout.
  • Search from Explorer Home. Cloud-only files may require an internet connection and a signed-in, synchronized account.

Open This PC by default

  1. Open File Explorer.
  2. Select See more (…) on the command bar, then choose Options.
  3. Under Open File Explorer to, choose This PC.
  4. Select Apply.

See Microsoft’s current instructions for setting Explorer to open to This PC. The streamlined right-click menu places Cut, Copy, Paste, Rename, Share, and Delete near the top. Select Show more options for older shell commands or extensions that are not in the compact menu.

Labels can move after feature updates or be restricted on managed PCs. Searching Settings is often faster than following an older Windows 10 path.

Safe maintenance sequence

  1. Open Settings > Windows Update, select Check for updates, install what is offered, restart, and check again if a major update was pending.
  2. Inspect Settings > System > Storage when disk space is low. Remove known temporary files rather than deleting arbitrary system folders.
  3. Remove unused or suspicious programs from Settings > Apps > Installed apps.
  4. Review startup impact in Settings > Apps > Startup or Task Manager and disable only programs you recognize.
  5. Use Restart when diagnosing update or driver problems; it refreshes system state more reliably than repeatedly using sleep.

Storage cleanup is valuable when space is constrained or a known cleanup target exists. Deleting every temporary file is not a guaranteed performance fix.

Security and privacy checklist

  • Keep Windows and security-intelligence updates current.
  • In Windows Security, review Virus & threat protection, Firewall & network protection, App & browser control, Device security, and Device performance & health.
  • Use a unique account password and Windows Hello where available.
  • Review camera, microphone, location, and other permissions under Settings > Privacy & security.
  • Treat administrator prompts as security decisions; do not disable protections to bypass an unexplained warning.
  • Check whether Device Encryption or BitLocker is enabled before changing firmware, boot, storage, or hardware settings.

BitLocker uses encryption to protect data on a lost or stolen drive. Its recovery key is a 48-digit number, and Microsoft Support cannot recreate a lost key. See Microsoft’s BitLocker overview and instructions for finding the recovery key.

Save your recovery key now

Possible locations include your Microsoft account, work or school account, a printed copy, USB storage, or an organization-managed recovery system. Device Encryption may be automatic on some compatible PCs; full BitLocker management depends on edition and device configuration.

Backup without confusing sync for protection

Windows Backup

  1. Open Start and search for Windows Backup.
  2. Sign in with the Microsoft account associated with the PC.
  3. Review folder backup, app, settings, Wi-Fi, and personalization choices.
  4. Check OneDrive capacity before enabling large folders.
  5. Verify that important files actually appear in the destination.

Microsoft’s Windows Backup guidance lists Desktop, Documents, Pictures, Videos, and Music as folders that can be selected for OneDrive backup. Some functions require a Microsoft account and OneDrive storage. A local account remains useful for users who want less cloud dependence, but some synchronization and recovery conveniences require Microsoft services.

What it does not guarantee

  • A complete image of every program and system state.
  • Protection from deletion or ransomware when synchronization immediately propagates changes.
  • Restoration of every desktop application or local profile.
  • An independent offline copy.

For valuable data, use the general 3-2-1 approach: multiple copies, on different media, with at least one copy separated from the PC. OneDrive synchronization can complement, but does not replace, an offline or otherwise independent backup.

Choose the least-destructive recovery option

Microsoft’s recovery-options matrix distinguishes update removal, System Restore, Startup Repair, Reset, recovery drives, installation media, and rollback.

Reset this PC

  1. Open Settings > System > Recovery.
  2. Under Recovery options, select Reset PC.
  3. Choose Keep my files or Remove everything.
  4. Choose Cloud download or Local reinstall.
  5. Follow the prompts while connected to power.
  • Keep my files preserves personal files but removes apps and settings.
  • Remove everything removes personal files, apps, and settings.
  • Cloud download fetches a fresh image and is useful when local files may be damaged, but needs reliable bandwidth.
  • Local reinstall uses files already on the PC and can suit a slow connection, though the image may not contain the newest updates.
  • Clean data makes deleted files harder to recover when selling or donating, but Microsoft says it is not designed to meet government or industry erasure standards.

Before resetting, back up files, confirm account passwords and software access, export unsynchronized browser data, locate the BitLocker key, and keep the computer powered. Windows Recovery Environment (Windows RE)

Enter Windows RE from Settings > System > Recovery > Advanced startup > Restart now, or hold Shift while selecting Power > Restart. Repeated startup failures may open Automatic Repair. You can also boot from recovery media or Windows installation media.

Windows RE can provide Startup Repair, Startup Settings, Command Prompt, Uninstall Updates, UEFI Firmware Settings, System Restore, System Image Recovery, and Reset this PC. Some tools require the BitLocker recovery key. Microsoft lists the environment’s tools at Windows Recovery Environment.

Set up System Protection before trouble starts

System Restore reverses system files, installed applications, registry settings, and system settings; it does not back up personal files. System Protection may be disabled by default. Microsoft explains the feature at System Protection.

  1. Search Start for Create a restore point.
  2. Open the Control Panel result and select the system drive.
  3. Select Configure, then Turn on system protection.
  4. Set disk-space usage and select Apply.
  5. To create one manually, select Create, enter a descriptive name, and confirm.

You can open the same dialog with Win + R, entering systempropertiesprotection.exe, and pressing Enter.

If a shortcut or menu is missing

  • Try the command from the active app’s own menu; applications can override Windows shortcuts.
  • On laptops, check whether Fn or a manufacturer utility changes function-key behavior.
  • In Remote Desktop, determine whether the shortcut is being sent to the local PC or remote host.
  • For PrtScn, review screenshot settings because its action is configurable.
  • Search Settings by feature name when a path differs after an update.
  • If Explorer lacks a legacy command, choose Show more options; third-party shell extensions may not appear in the streamlined menu.
  • If an expected recovery point or media is absent, do not assume it can be recreated; use the next least-destructive recovery method and preserve data first.

Does Windows Backup back up everything?

No. Coverage depends on the selected folders and settings, Microsoft-account sign-in, and OneDrive availability. It is not automatically a complete system image or independent offline backup.

What is the difference between Reset and System Restore?

System Restore reverses selected system changes without serving as a personal-file backup. Reset reinstalls Windows and removes apps and settings; personal files are preserved only with Keep my files.

What should I do if Windows will not start?

Enter Windows RE and try Startup Repair first. If it fails, consider System Restore, update removal, recovery media, or Reset only after protecting data and locating the BitLocker key.
