Start with Settings → General → iPhone Storage (or iPad Storage). Follow Apple’s recommendations, then remove replaceable content such as downloaded videos, offline music, large files, message attachments and unused apps. If photos are the problem, either enable iCloud Photos with Optimize Storage or copy them to a computer or external drive—and verify the copy before deleting anything.
Do not confuse device storage with iCloud storage: buying more iCloud capacity does not increase the physical storage built into your iPhone or iPad.
First check which storage is full
Device storage is the fixed local capacity inside your iPhone or iPad. It holds apps, app data, photos, videos, messages, downloads, music, books and system files.
iCloud storage is separate online space used by services such as iCloud Backup, iCloud Photos, iCloud Drive, Messages in iCloud and iCloud Mail. More iCloud storage helps only when you use it to store or optimize content; it does not enlarge the device’s built-in capacity. See Apple’s storage explanation.

Use the built-in storage screen
- On iPhone, open Settings → General → iPhone Storage.
- On iPad, open Settings → General → iPad Storage.
- Review the recommendations and the ranked list of apps and categories.
- Tap an app to see its app size, documents and data, and available actions.
Recommendations can differ by device, language, installed apps and iOS or iPadOS version. Review what each recommendation will remove rather than enabling everything blindly. The storage display can also change after indexing, synchronization, deletion or a restart.
Free space quickly and safely
Start with data that is replaceable or already backed up. Free more space than the alert’s exact requirement because updates, backups and downloads need working room, and the required amount varies by device and update.
Remove downloaded media
Check downloaded movies and television episodes, offline music, podcasts, books, audiobooks and offline maps. Streaming and editing apps may also have their own Downloads, projects or media-management screens. Remove content there first when possible; deleting an app can remove local downloads, but behavior varies by app.
Offload or delete large apps
From the storage screen, tap an app and choose:
- Offload App: removes the app itself but keeps its documents and data so it can potentially be reinstalled later.
- Delete App: removes the app and its related local data, usually freeing more space.
Offloading is useful for rarely used apps. It is not a complete cleanup when the app’s documents, projects or cached downloads are the largest part of its storage. Confirm that important local data is synced or backed up before deleting an app. Deleting an app does not necessarily delete its account, subscription or remote cloud data.

Review Files and downloads
Open Files → Browse and check On My iPhone, On My iPad and Downloads. Remove large installers, PDFs, videos, exports and old project files. Also review downloaded email attachments and content saved by productivity or social apps.
Remove large message attachments
In current iPhone software, open Messages, open a conversation, tap the contact or group icon, choose a category such as Photos or Videos, then tap Edit → Select, choose attachments and tap Delete. You can also touch and hold an attachment, choose More, select items and delete them. Apple documents these steps in its Messages guide.
If Messages in iCloud is enabled, deletion can sync to your other Apple devices using the same Apple Account. Deleted messages may remain in Recently Deleted for up to 30 days. To remove them sooner, open Messages → Filters → Recently Deleted, select items and tap Delete. You can also find Settings → Apps → Messages → Keep Messages and choose 30 days or one year instead of keeping messages forever.

Photos, 4K video, HDR video, Live Photos, screen recordings and edited exports commonly consume the most space. Choose one of these approaches.

Option 1: iCloud Photos with Optimize Storage
- Open Settings and tap your name.
- Tap iCloud → Photos.
- Turn on Sync this iPhone or the equivalent iCloud Photos control.
- Select Optimize iPhone Storage or Optimize iPad Storage.
With iCloud Photos enabled, full-resolution originals are stored in iCloud while smaller versions remain on the device when space is needed. Uploading and optimization require sufficient iCloud capacity and may take time over Wi-Fi and power. An original may need to download again when you edit or share it, so this is not a fully offline archive. Apple’s iCloud Photos guidance explains the feature.
Important: iCloud Photos is a synchronization service, not an independent archive. Deleting a photo or video in Photos deletes it from other devices using iCloud Photos with that Apple Account. Do not delete photos to “remove them from the phone but keep them in iCloud.” If you need an archive, export or copy them first. See Apple’s deletion guidance.
Option 2: Copy photos to a computer
- Import or copy the photos and videos to a Mac or PC.
- Open several files, including videos and older images, and confirm the expected number and quality.
- Make a second backup in another location if the files are important.
- Delete only the verified items from the iPhone or iPad.
- Empty Photos → Recently Deleted only after confirming the backup.
Apple provides import instructions for transferring photos and videos to a computer. A device backup is not automatically the same thing as a browsable, independently verified photo archive.

Option 3: Use external storage
Through Files, compatible iPhones and iPads can transfer files to external drives, servers and cloud services. USB-C models can often connect directly to compatible storage; other models may need an adapter. Some drives require more power than the device supplies, so a powered hub or adapter may be necessary. A cable that charges may not support data transfer.

Compatible USB-C iPhone models can format external drives as APFS, ExFAT or MS-DOS (FAT), according to Apple’s Files guide. Formatting erases the drive. Never format a drive until its existing contents have been backed up and you have confirmed that it is the correct drive.
Remove local iCloud Drive downloads without deleting cloud files
A file can appear in iCloud Drive while also occupying local device storage. To remove only the local copy:
- Open Files → Browse → iCloud Drive.
- Select the downloaded files.
- Tap the More button and choose Remove Download.
Remove Download frees local space and keeps the file in iCloud Drive. Delete removes the cloud file and can affect other devices using the same Apple Account. Files deleted from iCloud Drive may remain in Recently Deleted for 30 days. See Apple’s iCloud Drive instructions.

System Data can include caches, logs, indexes, Siri voices, fonts, dictionaries and other system-managed files. Some cached and temporary data is removed automatically when iOS or iPadOS needs room, and there is no universal button for manually clearing all of it.

Do not rely on “cleaner” apps claiming to purge protected iPhone or iPad system files. Instead, remove the actual source of the growth—downloaded media, Safari files, message attachments, offline content or unusually large app data—then restart the device and check storage again. If the number remains abnormal, install an available system update or contact Apple Support rather than repeatedly deleting random files.
If the device cannot update or back up
Use this emergency sequence:
- Open Settings → General → iPhone Storage or iPad Storage.
- Delete one or two large downloaded videos, games or editing projects.
- Offload unused apps.
- Use Remove Download for local iCloud Drive copies.
- Delete large message attachments.
- Review long videos and screen recordings in Photos.
- Restart the device.
- Check available storage again, then retry the update, backup or installation.
If an over-the-air update still cannot proceed, use a Mac or PC as an alternative and follow Apple’s current computer-update instructions. Finder on Mac and the Apple Devices app on Windows can also show a storage bar, although computer categories may differ from the on-device view because cached media can appear as “Other.”
Manage iCloud storage separately
For an iCloud storage warning, open Settings → your name → iCloud. On iOS or iPadOS 17 and later, Recommended for You may identify old backups, large files, photos and other removable content. Possible actions include deleting old device backups, excluding unnecessary apps from iCloud Backup, and removing unwanted iCloud Photos, iCloud Drive or Messages content.

Archive or copy important information before deleting it from iCloud. A synchronized copy is not automatically a backup: deletion can propagate across devices. Apple’s iCloud recommendations and storage-management guidance provide the current controls.
Should you buy more iCloud storage or an external drive?

Exact cloud prices and availability vary by country and can change. Choose a larger plan only when the underlying need is clear; iCloud+ is most natural for Apple Photos and backups, while external storage is better for a manually maintained archive.
Prevent the warning from returning
- Check the device-storage screen periodically.
- Remove downloaded shows, podcasts, books, maps and music after using them.
- Review message retention and large attachments.
- Keep a separate, verified archive of irreplaceable photos and videos.
- Review large editing projects and app downloads before they accumulate.
- Leave reasonable free space instead of running the device at its limit.
Before deleting irreplaceable material, keep at least one verified copy outside the device—preferably a second copy in a different location or service. The safest cleanup is always the one that removes replaceable local data first.
