A native Google Sheets document has no conventional local file extension: it is stored in Google Drive as a Google Sheets file. You may see .gsheet for a desktop shortcut to an online spreadsheet. To make a portable copy, export it in a format such as .xlsx for Excel or .csv for simple data.

Google Drive identifies native Sheets documents by the MIME type application/vnd.google-apps.spreadsheet, rather than a conventional local filename suffix. See Google’s Drive API MIME-type list and export-format table.
What does a .gsheet file mean?
A .gsheet item is generally a shortcut or pointer to a Sheet stored in Google Drive, not the spreadsheet’s complete contents in a portable workbook. Google’s administrator documentation refers to .gsheet files in desktop and shared-drive contexts; a technical file reference also describes them as shortcuts. The exact representation can depend on the Drive workflow.

That distinction matters when backing up or sending a file. Copying only a .gsheet shortcut to a USB drive or attaching it to an email does not ensure that someone else can access the online spreadsheet. They still need the corresponding Drive document to exist and the necessary access. If the document is deleted, unavailable, or permission-restricted, the shortcut cannot provide the missing data. For an independent copy, export the spreadsheet to a real workbook or another suitable format.

How to download a Google Sheet as an Excel file
- Open the spreadsheet in Google Sheets on a computer.
- Select File → Download.
- Choose Microsoft Excel (.xlsx).
- Open or save the downloaded
.xlsxworkbook.
Google lists .xlsx as its Microsoft Excel export format. Menu wording or availability can vary with language, device, administrator restrictions, and encryption. For some encrypted files, Google documents a File → Download and decrypt → Microsoft Excel (.xlsx) route. See Google’s guidance on Excel files in Drive.
Which format should you choose?
- Excel editing or a portable, multi-sheet copy: Use
.xlsx. It is usually the most practical choice when the recipient works in Microsoft Excel. - LibreOffice or another OpenDocument app: Use
.ods, while allowing for differences in supported features and formula behavior. - Importing rows into a database, script, or data tool: Use
.csvor.tsvif you only need tabular data. Google’s documented CSV export covers the first sheet only; export other tabs separately or choose a workbook format. - Printing or read-only review: Use
.pdfwhen appearance matters more than editing. - Live collaboration, comments, permissions, and one current version: Share the Google Drive link instead of exchanging downloads.
What conversion preserves—and what it may not
An .xlsx export retains a workbook structure and is a better choice than CSV when you need multiple tabs or continued spreadsheet editing. But Google Sheets and Excel do not support every feature identically; inspect important formulas, charts, conditional formatting, pivot tables, and named ranges after conversion. Google warns that unsupported Excel features may be ignored in import workflows, so do not assume every feature round-trips unchanged.

It does not carry workbook tabs, spreadsheet formatting, charts, comments, permissions, version history, or real-time collaboration. A PDF preserves a view for reading or printing, not spreadsheet behavior. These formats serve different purposes; none is a universal replacement for the live Drive document.
Can you rename .gsheet to .xlsx?
No. Changing the suffix changes the displayed filename, not the file’s contents. Renaming a .gsheet shortcut to .xlsx does not create an Excel workbook; likewise, renaming a CSV does not convert its data into a genuine Excel workbook. Use File → Download in Sheets to export, or convert the file with an appropriate spreadsheet application.
Can Google Sheets use Excel files?
Yes. Google Sheets can open or import .xlsx workbooks, and supported workflows can convert one into a native Google Sheets document. Depending on the workflow, you may edit the Excel file in Sheets, create a Google Sheets version, or import its data into a spreadsheet. Those are not identical outcomes, and features unsupported by the destination may be omitted. Google explains the available Excel-file workflows in its Drive support documentation.
Bottom line by task
Use a Drive link for collaboration, .xlsx for a portable editable workbook, .csv for simple data exchange, and .pdf for a read-only copy. Treat .gsheet as a shortcut representation, not as a standalone spreadsheet backup.
