Microsoft 365 is Microsoft’s subscription service for productivity apps and connected services. Depending on the plan, it can include Word, Excel, PowerPoint, Outlook, OneNote, OneDrive storage, Teams, business email, security and device-management tools, and AI features. It is a family of plans—not one app—and what you get depends on whether you choose a personal, family, business, or enterprise plan.
Microsoft 365 in plain English
Think of Microsoft 365 as a bundle built around Microsoft’s familiar Office applications, with cloud storage and online services added around them. You can use it to create documents and spreadsheets, store and share files, manage email and calendars, hold meetings, and collaborate with other people. Some plans also include organizational security and administration tools or AI features.
It is not an operating system, and it does not mean every Microsoft app or feature is included. Microsoft’s plan comparison guidance distinguishes consumer plans from business plans; Microsoft’s business plan page shows that even business editions differ in desktop apps, Teams, storage, and security.

What can Microsoft 365 include?
Office apps
- Word for documents, letters, reports, and collaborative editing.
- Excel for spreadsheets, calculations, charts, and data analysis.
- PowerPoint for presentations and slide decks.
- Outlook for email, calendars, contacts, and scheduling.
- OneNote for digital notebooks and notes.
Whether you get full desktop apps or only web and mobile versions depends on the plan. For example, Microsoft describes Business Basic as including web and mobile versions of the core apps, while Business Standard adds desktop versions.
Storage, communication, and collaboration
- OneDrive stores and syncs files online so you can access and share them across devices. Consumer and business storage allowances differ; Microsoft lists 1 TB per user for several business plans.
- Microsoft Teams supports chat, meetings, calls, channels, and collaboration. Some business plans are offered with or without Teams, so check the exact edition.
- Exchange Online provides business email and calendaring in many business plans.
- SharePoint helps organizations create team sites and shared document libraries.
Other plan-dependent services can include Forms, Planner, Bookings, Clipchamp, Designer, Defender, and additional business, security, compliance, or administration tools. “Included with Microsoft 365” is therefore not specific enough to establish what a buyer receives; check the named plan and its regional availability.
Microsoft 365 vs. Microsoft Office
Office traditionally meant the productivity applications; Microsoft 365 is the broader subscription service. Many Microsoft 365 plans include Word, Excel, PowerPoint, and Outlook, but add cloud storage, online services, collaboration, and sometimes security or AI capabilities.
Office has not simply disappeared: the name remains in products and documentation, and Microsoft also sells non-subscription Office licenses in some circumstances. Free web versions of some Office apps are another option. They are not equivalent to a paid plan with desktop apps, all features, cloud storage, and business services.

Which plans are for whom?

Microsoft says its small-business plans are designed for organizations with up to 300 users; organizations above that scale or with complex regulatory needs should evaluate enterprise licensing rather than assuming Business Premium is simply the same package at a larger size.
Microsoft’s US business page displayed Business Basic at $7 per user per month and Apps for business at $10 per user per month with annual commitment in August 2026. Those are dated page signals, not universal prices: currency, tax, Teams inclusion, market availability, commitment, renewal terms, and promotions can change. Check the current regional Microsoft business pricing page before buying. Consumer prices should likewise be checked directly in the relevant market.
What is Microsoft 365 Copilot?
Copilot is Microsoft’s AI offering, but the name covers different experiences. Free Microsoft Copilot is a general consumer AI experience. Consumer Microsoft 365 subscriptions can add AI features in selected apps, subject to plan and usage limits. Microsoft 365 Copilot for work is an organizational product that can use Microsoft 365 app context and Microsoft Graph data, subject to licensing, permissions, configuration, and availability. Copilot Chat is not necessarily the same license as the full work-oriented Copilot product.
Do not assume that having any Microsoft 365 subscription grants every Copilot feature, or that a Family subscription shares the owner’s AI benefits with all members. For work accounts, AI access to company information depends on the user’s permissions and the organization’s setup; administrators should review licensing and readiness using Microsoft’s Copilot licensing guidance. Microsoft’s service description explains its Microsoft 365 integration. AI output can be wrong, so review it rather than treating it as authoritative.

No. A subscription is one way, not the only way. Depending on your circumstances, you may use free web versions with a Microsoft account, a license provided by work or school, a perpetual Office license where available, or another office suite. A Microsoft 365 subscription may be worthwhile if you need desktop apps, more storage, cross-device use, collaboration, ongoing feature updates, or plan-specific services. Compare the actual features you use: web apps, desktop apps, offline use, storage, and organizational controls are not interchangeable.
Personal account or work account?
A personal Microsoft account is used for consumer services such as Microsoft 365 Personal or Family and personal OneDrive. A work or school account is managed by an organization, typically within its Microsoft 365 tenant. The organization can control licenses, users, security, access, and data policies.
You can have both account types. Pay attention when signing in and saving files: OneDrive personal and OneDrive for work are distinct, as are personal and organizational Teams environments. Mixing them can lead to files being stored under the wrong account, activation problems, or loss of access to organization-managed data when you leave a job or school. Microsoft notes that some people appropriately maintain separate personal and business subscriptions to keep personal files apart from work data.
How to choose a plan
- One person, personal use: consider Personal if you want consumer apps and storage under your own account.
- Household sharing: consider Family if up to six people need their own access and storage. Check who receives any included AI benefits.
- Business email and browser apps: consider Business Basic if desktop Office is not required and the organization needs centrally managed accounts and services.
- Business email plus desktop Office: consider Business Standard if staff need installed Word, Excel, PowerPoint, and Outlook alongside cloud services.
- Security and device management: consider Business Premium if those controls are important to the organization, and verify that its specific features meet your needs.
- Desktop apps and storage without the wider bundle: compare Apps for business.
- Large, regulated, or complex organization: evaluate enterprise plans with the organization’s licensing and compliance requirements in view.
Before purchasing, confirm desktop versus web apps, user limits, storage, Teams status, email needs, account ownership, AI licensing, and annual commitment. A consumer Family plan may be fine for personal use but is not a substitute for managed business accounts and company data controls.
Does Microsoft 365 work offline?
Installed desktop apps can generally handle supported tasks offline, but they need periodic subscription validation. Offline work does not provide real-time collaboration, access to current cloud files, synchronization, Teams meetings, web apps, or most connected features. Cloud-stored files may need to be made available on the device before you disconnect. Do not assume every app or feature works offline.
What happens if you cancel?
Cancellation does not mean locally saved documents are immediately erased, but it can change what you can do with them. After subscription access ends, subscription-only desktop features may no longer be available for editing; you may need another compatible app or license. OneDrive files remain subject to Microsoft’s account and storage policies, and going over the applicable storage limit can disrupt uploads or syncing. Shared Family access and subscription-owner AI benefits can also change.
For a work account, the employer or school—not the individual subscription holder—controls licensing, retention, access, and offboarding. Before a business user leaves, the organization should plan who owns and can access that person’s files and mail. Check Microsoft’s current cancellation and storage terms for the specific account before acting; exact post-expiration handling can vary.
Advantages and trade-offs
Microsoft 365 can be a good fit if you rely on Office apps, want files available across devices, collaborate with others, or need business email and centralized administration. Ongoing updates and cloud-connected services are part of the subscription model.
The trade-offs include recurring cost, licensing complexity, dependence on account access and periodic validation, and differences between plans that can be easy to miss. Teams or Copilot may be excluded or licensed differently, and many cloud features depend on connectivity. If you only edit documents occasionally, a free web app or another office suite may be enough; if you want to avoid a recurring fee, investigate whether a suitable perpetual license is available.
