Google Takeout, also called Download your data, lets you export copies of data from supported Google products—such as Gmail, Drive, Photos, Calendar, Contacts, and YouTube—into archive files. You choose which products to include, then download the files or send them to a supported cloud destination.
Takeout makes a copy; it does not delete your Google data. It is useful for keeping a portable archive or preparing for a move, but it is not a complete account clone or a one-click, continuously updated backup. What you get, and how easy it is to use, depends on the product and the account.
What Google Takeout can export
Takeout exports data from supported Google products and categories. Examples include Gmail messages, Google Drive files, Photos media, Calendar data, Contacts, YouTube videos and related information, and some account activity or registration records. The selection and formats available are controlled product by product; Takeout does not promise a copy of every service or every account field.
On the product-selection screen, some services offer an All data included control. Open it if you want to narrow the export to particular categories. YouTube content may be associated with a Brand Account rather than the Google identity you first select, so check the relevant account if videos appear to be missing. What it is—and what it is not
- An export snapshot: Yes. It creates archive files containing selected data as prepared by each product.
- A continuous backup: No. The archive does not stay synced with your account. Scheduled exports, where offered, are described by Google as archives created every two months for one year—not incremental, real-time protection.
- A complete account clone: No. It does not recreate Google’s interface or guarantee that sharing, collaboration, version history, links, or other service behavior can be reproduced elsewhere.
- A direct migration: Sometimes useful as a source copy, but importing the archive into another service is a separate process and may require conversion or a product-specific transfer tool.
- Deletion of the original: No. Exporting does not remove source data from Google.
Google warns that changes made after an export request but before the archive is created may not appear. It specifically notes possible gaps involving Drive permissions and resolved comments, and Photos additions, deletions, or album changes. Avoid major changes while a critical export is being prepared; for important records, consider making a fresh export when the first one finishes.
Before you start
- Check the account. Confirm the profile avatar and select the personal, school, work, or Brand Account that holds the data.
- Plan storage. A local download needs enough computer or external-drive space for the archives and extracted files. A cloud destination needs enough quota. An archive placed in Google Drive counts against Google storage, which is shared across Drive, Gmail, and Photos. See Google’s storage details.
- Use a computer if possible. Large, multi-part archives are easier to download, extract, and inspect on a desktop or laptop than on a phone or tablet.
- Protect sensitive data. Gmail, private photos, identity documents, and account history may be in the archive. Use a private device and consider encrypting the archive or the drive holding it.
- Check account restrictions. A school or employer may disable Takeout or limit what can be exported. Ask the administrator if the option is unavailable.
Google does not charge a separate fee to request a Takeout export. However, cloud delivery can require paid storage if your available quota is too small. For example, Google says a personal account includes up to 15 GB shared across Drive, Gmail, and Photos; plan names, prices, and availability vary by country and can change. Check current Google One plans rather than relying on an old price quote.
How to create a Google Takeout archive
- Open Takeout. Sign in to the Google Account that contains the data, then go to takeout.google.com. Check the active account before proceeding.
- Select products. Google may preselect products with exportable data. Uncheck anything you do not need. For services with finer controls, open All data included and deselect unwanted categories, then choose Next step. For a large account, it is often easier to export major products—such as Gmail, Drive, or Photos—separately rather than requesting everything at once.
- Choose where the archive goes. Send download link via email is a practical choice for a local download. Depending on the current interface and account, options may also include Add to Drive, Dropbox, Box, or OneDrive. Cloud delivery requires authorizing the destination account and having enough space. Drive is convenient, but it remains within Google’s storage ecosystem and uses your quota.
- Choose export frequency. Select a one-time export for a personal archive, account closure, or one-off migration. If you choose scheduled exports, Google’s help documentation describes an archive every two months for one year. This is not a continuous backup; recurring exports can create several large archive sets that you must download, verify, and store.
- Choose the archive format and part size. ZIP is usually the easiest format for Windows and macOS. A TGZ (tar-based) archive may suit Linux or command-line workflows but can require separate extraction software. The size setting controls when an export is split into multiple files; it does not reduce the total amount of data. Choose smaller parts if downloads often fail or you need easier transfers, and keep every part from the same export together.
- Create the export. Select Create export. Google prepares the archive and may require an additional identity check or delay the request if account activity looks risky. Preparation time varies with the amount and type of data, so there is no reliable fixed completion time.
- Download and extract every part. Follow the completion email or open the chosen cloud destination. Download all files from that export to a dedicated folder, then extract them with enough free space available. Open

Choosing a delivery method

If an archive is too large for your computer’s available space, a cloud destination can be a useful handoff. For valuable data, though, do not treat a single cloud copy as sufficient protection: keep a second copy in a separate location, such as an external drive stored securely elsewhere.

What the exported files may look like
There is no single Takeout file format. Google services choose formats for their data, and one export can contain a mixture of media, documents, metadata, and explanatory files. Use archive_browser.html and open representative files from each important service before deciding the archive is usable.
Gmail
Gmail messages may be delivered in a mail-archive format rather than as individually readable PDFs or documents. Gmail labels are preserved in an X-Gmail-Labels header, but Google notes that mail clients do not recognize that header by default. A compatible mail client or specialist viewer may be needed to browse a large archive comfortably. Exporting messages is not the same as restoring a working Gmail inbox.
Google Drive
Drive exports can include native Google Docs, Sheets, and Slides converted into downloadable formats, alongside other files. Takeout is for exporting content, not recreating the complete collaborative state of Drive. Do not assume folder behavior, shortcuts, links, version history, sharing permissions, or comments will transfer exactly as they worked online. Google also warns that some permission changes and resolved comments made during preparation may not appear in the archive.

Google Photos
Photos exports can include original media files as well as separate metadata or organizational information. Album information may be represented separately from the photos themselves, and the way dates, locations, edits, or organization appear in another app can depend on how the items were uploaded and arranged. Large libraries may be split into many parts. If your goal is to move a photo library directly into another supported service, check whether a Photos-specific transfer option better fits than downloading and importing an archive.

Contacts are one example of service-specific formats: Google says they may be exported as vCard, which many contact providers support. Calendar and YouTube also use their own export structures; inspect the files and included documentation rather than expecting a universal format. If a YouTube export is missing content, confirm that you selected the account or Brand Account where that content lives.
How to check that your archive is usable
- Confirm that every archive part from the export downloaded successfully.
- Compare the extracted service folders with the products and categories you selected.
- Open sample files from each important service; an archive existing on disk does not prove that every expected item is present or easy to use.
- Check Gmail, Photos, and Drive individually, paying attention to formats and metadata.
- Make a second copy on a separate device or storage provider before deleting data, closing an account, or downgrading storage.
If you need a defensible record, keep the original export-completion email and note when the export was requested and downloaded. Treat the email and archive links as sensitive: anyone with access to them may be able to reach your data.

Troubleshooting a failed, incomplete, or missing export
The export fails or a download will not complete
Google recommends selecting fewer products, choosing a smaller archive-part size, trying a cloud destination, creating a new archive, or exporting one service at a time. Also check both local and destination storage, confirm the correct account, use a desktop browser and stable connection, and download individual files if the cloud destination presents them separately. If the archive still appears incomplete, create a fresh export rather than assuming a partially downloaded set is valid.
Recent files, photos, or changes are missing
An export may not reflect changes made after you requested it and before Google finished preparing it. This can affect recent Photos uploads or changes to albums, and some Drive permissions or comments. If the missing data is important, let the current request finish and create another export. Avoid reorganizing or deleting relevant content while a critical export is in progress.

Check the profile avatar and repeat the export while signed in to the account that owns the data. For YouTube, switch to the relevant Brand Account if the videos belong to one. A personal Google identity and a Brand Account are not necessarily the same export context.

You cannot see Takeout on a work or school account
Your organization’s administrator may have disabled or restricted user exports. Ask the administrator about access and retention policies. Organization-wide Google Workspace exports are a separate, administrator-controlled process in the Admin console; Google documents those tools for super administrators in its guides to choosing Workspace data to export and exporting an organization’s data.
Is Google Takeout the right backup method?
Choose Takeout when you want a portable copy of selected Google data, a personal archive, or source files for a migration. Choose a product-specific transfer tool when you are moving a particular collection directly to another supported service. For a small number of items, manual downloads may be simpler. For ongoing protection, Takeout requires you to repeat the export and manage each new set yourself; it does not automatically keep a backup current.
For irreplaceable files, use at least two copies in separate places—for example, an encrypted external drive and an off-site or independent cloud copy. For organizations that need scheduled, policy-based, or restorable protection, a dedicated Google Workspace backup service may be more appropriate than an occasional user export, but it brings separate costs, setup, permissions, and vendor considerations. Google describes Takeout as a way to export a copy of account content for backup or use outside Google in its Privacy Policy.

Security when handling a Takeout archive
- Use the official Takeout site; avoid third-party sites that ask you to upload an archive for conversion.
- Do not download sensitive account data to a shared or public computer.
- Encrypt the archive or the drive that stores it if it contains private messages, photos, identity documents, or account history.
- Review which Dropbox, Box, or OneDrive account you authorize before sending an export there.
- After checking your backup, remove temporary copies you no longer need, especially from shared devices.
- Keep the completion email and download links private, and expect Google to request extra verification for an action it considers risky.
