If Teams chat is blank, frozen, delayed, or won’t send messages on a Windows 11 PC, first check whether the problem is limited to the desktop app. Open Teams on the web with the same account: if chat works there, focus on the Windows app; if it also fails, check your account, network, organization, or Microsoft service status before deleting local data.

Identify the problem before changing anything

“Teams chat not working” can describe several different faults. Note whether Teams opens, whether all chats or just one are affected, whether you can read and send messages, any exact error, and whether coworkers have the same issue. Also note whether the problem started after a password, Windows, Teams, or VPN change. That information helps avoid unnecessary resets and gives your administrator something concrete to investigate.

What you see What it may indicate
Chat list is blank or messages do not refresh Synchronization, sign-in, local app state, network, or service problem
Messages stay on “Sending” or cannot be sent Connection, authentication, service, policy, or app-state problem
Chat works in a browser but not the desktop app Windows app data, installation, or user-profile issue
Desktop and web both fail for one account Account, sign-in, license, policy, network, or organization issue
Several people are affected at once Organization-wide configuration or Microsoft service incident
Only one conversation freezes A conversation-specific content, synchronization, or service-side issue
Chat works, but alerts do not appear Teams or Windows notification settings—not necessarily a chat-sync fault

Check the connection and whether Teams is having a wider problem

Open an ordinary website to confirm that the PC is online. If it is not, fix the Windows or Wi-Fi connection first. A VPN, proxy, firewall, or managed network can also affect Teams. If your organization permits it, testing an approved alternate network can help identify a network-path problem; do not permanently disable a VPN or security controls. Contact IT if the result changes when you connect through your organization’s network.

Compare the desktop app with Teams for the web, and, if available, another device. If coworkers are affected too, ask your organization’s Microsoft 365 administrator to check the service health page in the Microsoft 365 admin center; ordinary users may not have access. Microsoft also recommends checking its service-incident communications when Teams will not reconnect. A status report is useful evidence, but it does not by itself diagnose an individual account or PC.

  • On ear controls to adjust volume, start/end calls, and invoke Teams. Plus button controls for power, active noise cancellation (ANC), wireless Bluetooth pairing, and mute on/off or use the flip-to-mute mic feature.
  • Certified for Microsoft Teams ensures it’s easy to pick-up or answer Teams meetings, calls, messages, and notifications with a single press to the Teams button. Or apply a longer touch to invoke Cortana voice skills.
  • Web works, desktop fails: troubleshoot the installed app.
  • Both clients fail for you, but others are fine: check the account, sign-in, and organization policy with your administrator.
  • Several users or devices fail: investigate a tenant or service issue before asking everyone to reset their apps.
  • Only one chat fails: test that conversation elsewhere and preserve details for escalation.

Try fixes that do not delete local data

  1. Quit Teams fully and reopen it. Right-click the Teams icon in the taskbar notification area and choose Quit, then open Teams from Start. Closing only the window may leave the app running. If the icon is unavailable, use Ctrl + Shift + Esc to open Task Manager, end only Teams-related processes, and reopen the app.
  2. Sign out and back in. Select your profile or account icon in Teams, choose Sign out, then sign in again with the correct work, school, or personal account. If you use multiple Microsoft accounts, confirm you are in the one that owns the affected chats. A changed password or expired sign-in session may disrupt synchronization even if Teams still appears open.
  3. Test in a browser. Go to teams.microsoft.com and sign in with the same account. If the browser works only in a private window, browser cookies, cached sign-in, or an extension may be involved. If one browser works and another does not, compare their extensions and profiles.
  4. Restart Windows. This can clear a temporary client or system state problem. Recheck chat after the PC restarts.

Microsoft’s guidance for messages that do not load and for reconnection problems also recommends restarting Teams, checking connectivity, using the web version, and signing out and back in: messages not loading and reconnection troubleshooting.

Repair or reset Teams in Windows 11

If the web client works but the installed app does not, try Windows’ built-in app repair before clearing data or reinstalling:

  1. Open Settings → Apps → Installed apps.
  2. Find Microsoft Teams, select its More options button (…), then choose Advanced options.
  3. Select Repair, reopen Teams, and test chat.
  4. If repair does not help, return to the same screen and choose Reset. Sign in again and test.

Labels can vary slightly with the Windows build and Teams packaging. Repair attempts to fix the app without the more disruptive reset. Reset removes local app data and may clear preferences or require you to sign in again; it does not delete chat history stored in your organization’s cloud. Before resetting, copy any unsent message you need to keep and confirm it is not merely waiting to send. Microsoft’s Teams cache guidance points current Windows app users to Advanced options and Reset.

Clear the cache only with the right Teams version

Cache instructions differ between older and current Teams installations, so do not assume the legacy folder applies to every Windows 11 app. Microsoft’s reconnection article documents this legacy desktop path: %appdata%MicrosoftTeams. For an older installation that uses it, quit Teams completely, press Win + R, enter that path, and delete the folder’s contents. Then restart Teams and sign in again. Microsoft notes that this removes locally stored client data such as cache, thumbnails, display images, and add-ons; it does not uninstall Teams.

For the current Teams app, use the Windows Installed apps → Microsoft Teams → Advanced options route, particularly Repair and then Reset, rather than applying the legacy folder deletion blindly. Cache clearing may help damaged local app state, but it cannot fix an outage, account restriction, tenant policy, or network problem. Do not reset or delete local data until important unsent content is copied or confirmed sent.

Update or reinstall the app

Install pending Windows 11 updates, update Teams through the app or your organization’s supported software channel, and restart Windows before testing again. Microsoft documents Windows build and permission issues for particular new Teams launch failures, but those examples are not a universal Windows 11 compatibility threshold; see its new Teams launch troubleshooting for the specific cases.

Fixes by symptom

Chat list is blank or messages are not refreshing

Quit and reopen Teams, verify connectivity, sign out and back in, then compare with the web client. If the browser shows current messages but the Windows app does not, use Repair and then Reset. If both clients are stale, ask whether other users are affected and have an administrator check account and service health.

Messages will not send or remain stuck

Check that the PC is online, confirm the right account is signed in, and test the web client. Copy the message text somewhere safe before resetting or deleting cache data. If sending fails in both clients, or only your account is affected, contact your organization’s Teams administrator rather than repeatedly reinstalling.

Notifications are missing but chat works

Treat alerts separately from chat synchronization. Review notification preferences in Teams and Windows at Settings → System → Notifications. Check whether Do Not Disturb or Focus settings are suppressing alerts, and whether organization policy or background-app behavior is involved. Clearing cache is not a reliable general notification fix.

Only one chat freezes

Open the same conversation in the web client and, if possible, on another device. If it freezes across clients, repeatedly clearing the Windows cache is unlikely to help. Record the conversation name, approximate time, affected message or attachment, and what happens, then ask your administrator to investigate. A community report describes a similar cross-device, cross-client pattern, but it does not establish a confirmed cause: Microsoft Q&A discussion.

Teams will not open

Restart Windows, update the app and Windows, then try Repair. For new Teams launch failures, Microsoft lists specialized possibilities including AppData access or folder problems, installation permissions, policy, and Windows-build issues. These are administrator-level checks, not reasons for ordinary users to edit the registry or change enterprise policy. Share the exact error and whether the issue affects other Windows accounts or devices with IT.

When to ask IT or Microsoft Support

Escalate rather than continuing local resets when multiple people are affected, both web and desktop fail, the problem follows your account to another device, one conversation fails across clients, or reset and reinstall have not helped. For a work or school account, contact your organization’s Microsoft 365 or Teams administrator first; they can check service health, account status, licensing, policy, and managed-network configuration. For a wider support route, see Microsoft business support.

Include your Windows and Teams versions if available, account type (work, school, or personal), exact error, time the issue began, affected chats or actions, results in web and desktop, network/VPN comparison, and whether coworkers are affected. Avoid sending sensitive message content unless your organization’s support process requests it.
