Good Slack guidelines make shared work easy to find without turning every message into an interruption. Use clearly named channels with a stated purpose, keep project context in the relevant channel, choose public or private visibility deliberately, mention only people who need to act, and agree on notification and response expectations.
1. Give every channel a recognizable job
Organize channels around categories employees already understand: teams, departments, projects, locations, or announcements. Add a concise topic and description so a new member can tell what belongs there. Consistent prefixes such as help-, team-, proj-, announce-, triage-, and event- make channel lists easier to scan. Rename a channel when its work changes, and archive it when the work is finished or the channel is no longer needed. See Slack’s naming guidance at Create guidelines for channel names.
A useful channel description includes
- The work or audience covered
- What should and should not be posted
- Where durable reference material or next steps live
- Whether the channel is ongoing, temporary, or announcement-only
2. Decide who should be able to read the conversation

Slack documents these distinctions in What is a channel? Visibility is not a substitute for access control elsewhere: do not post information in a public channel merely because it is convenient if your organization requires restricted handling.
3. Keep project context with the project
Discuss a project and share its files in the project channel, rather than scattering decisions across unrelated direct messages. People who join later can then find the relevant conversation and material together.

Use threads for side discussions
Reply in a thread when a question or update belongs to an existing message. Slack recommends threads to keep discussions organized. Start a new channel message when the information is a separate decision or announcement that the whole channel should see. Guidance: Collaborate effectively in channels and What is a channel?.
Make messages scannable
- Put the decision or requested action near the top.
- Use short paragraphs, lists, and formatting for complex updates.
- Use a reaction for lightweight acknowledgment instead of a second “got it” message.
- Schedule a message when its timing matters, especially across time zones.
4. Channel or direct message? Use the smallest audience that preserves context

5. Match mentions to the action required
Use a direct mention when one person needs to review, decide, or act. Broad mentions interrupt people who may not need to respond.

Slack recommends using broad mentions sparingly and directly mentioning a specific person when only that person needs to act: Notify a channel or workspace. Admins can restrict broad-mention permissions. Slack may show a confirmation warning for these mentions in channels with at least six members. Enterprise organizations with 10,000 or more members have additional restrictions on who can use @channel and @here; check the current workspace and plan before documenting administrator steps. 6. Set notification and response expectations
Slack’s default notification types include direct messages, replies to followed threads, mentions, channel notifications, and configured keywords. Members can change their own preferences. A team guideline should state:

- Which channel, if any, is reserved for urgent matters
- When a direct mention is appropriate
- Whether an asynchronous response is acceptable
- What alternative to use for an emergency that cannot wait
Posting a message does not establish that it was seen. Avoid “urgent” broad mentions as a substitute for an agreed escalation path. Members can review settings in Slack’s Guide to Slack notifications.

8. A lightweight rollout checklist
- Inventory existing channels and identify duplicates, abandoned spaces, and unclear purposes.
- Set a naming pattern and add a topic and description to active channels.
- Choose public visibility by default when the information is broadly useful; document the reason for any private channel.
- Publish a one-page mention and notification policy, including the urgent-work path.
- Ask teams to keep decisions, files, and follow-up in the relevant project channel and use threads for related replies.
- Move durable reference, task tracking, and recurring processes into the appropriate Slack feature when available.
- Review channel membership and archive finished work on a regular schedule.
