QuickBooks is Intuit’s accounting software family, not a single app. For most U.S. small businesses, the main choice is QuickBooks Online: it combines bookkeeping, invoicing, reporting, and bank feeds, with capabilities that vary by plan. It can be a strong fit if your accountant, integrations, or growing operations rely on QuickBooks—but the subscription is only part of the cost, and automated bookkeeping still needs review.

What is QuickBooks accounting software?

QuickBooks is a family of business accounting products from Intuit. Its main small-business cloud product is QuickBooks Online. The name also applies to QuickBooks Online Advanced, QuickBooks Desktop Enterprise, and related services such as payroll, payments, and time tracking. Features and availability depend on product, plan, settings, and country.

At its core, accounting software helps maintain a double-entry set of books: transactions affect accounts such as cash, income, expenses, assets, liabilities, and equity. QuickBooks can help record income and expenses, connect financial accounts, create invoices and sales receipts, track bills and customer balances, and produce reports. Some plans include project and inventory capabilities. Payroll, payment processing, and other services may cost extra.

QuickBooks Online is cloud-hosted and can be accessed through a browser and supported mobile devices. Intuit’s QuickBooks Online product information describes access from PC, Mac, and mobile; mobile features are not necessarily equivalent to the full web experience. QuickBooks Desktop Enterprise is a separate product aimed at businesses with more specialized workflows, including advanced inventory, job costing, reporting, pricing, payroll, and time tracking.

QuickBooks Online plans and U.S. pricing

The following is a snapshot of prices displayed on Intuit’s U.S. pricing page on August 18, 2026. Prices, promotions, and terms can change. The promotional prices shown are for three months, not permanent rates; the page also advertises a 30-day trial. Confirm the current terms, renewal price, and eligibility before subscribing.

These prices are not a complete cost estimate. Payroll, payment processing, time tracking, expert setup, additional company files, third-party integrations, migration, and accountant or bookkeeper services may add cost. Payroll is optional and separate from accounting; its availability and functions can vary by state and setup. Check whether the payroll service covers tax calculations, filings and payments, contractor payments, benefits, workers’ compensation, and time tracking for your needs. The pricing page does not establish a single universal payroll price.

Which plan should you choose?

  • Simple Start: Consider it if one person handles the books and needs core income and expense tracking, invoicing, and standard financial reports. It is not a fit if several staff members need access or you need more developed bill, project, or inventory workflows.
  • Essentials: Consider it when additional users and bill management matter. Check the current plan comparison for time tracking and any particular workflow you need before relying on it.
  • Plus: A reasonable option to investigate for a growing small business that needs inventory tracking, purchase workflows, project profitability, or more users. QuickBooks Online inventory is not automatically a substitute for specialist warehouse or manufacturing software.
  • Advanced: Consider it when the business needs its higher user allowance, custom permissions, more sophisticated reporting and dashboards, custom fields or workflows, and advanced automation. At the displayed price, it is difficult to justify unless those added capabilities solve real operational needs.

Do not choose by the introductory discount alone. List the users who need access, the reports and workflows you require, and the add-ons you will actually use; then compare the recurring price after the promotion. Also confirm whether separate companies require separate subscriptions.

What QuickBooks can do—and what it cannot do for you

Bookkeeping, bank feeds, and reconciliation

QuickBooks can import transactions from connected bank and credit-card accounts, suggest categories based on prior decisions, and help match transactions already entered in the books. These steps can reduce data entry, but an imported transaction is not automatically a correctly categorized or reconciled transaction.

Keep these stages distinct:

  • Downloaded: A bank or card transaction has arrived in the feed.
  • Categorized: It has been assigned to an account, such as office expense or sales income.
  • Matched: It has been linked to an existing record, such as an invoice payment or manually entered expense, rather than recorded twice.
  • Reconciled: The book balance has been compared with a financial statement for a specified period and the difference resolved.

Review transfers, credit-card payments, loan payments, owner draws, payroll liabilities, sales tax, and unusual transactions manually. Common errors include treating a transfer as income, recording a credit-card payment as a new expense, duplicating a transaction entered by hand, and reconciling against the wrong statement date or an incorrect opening balance. If a feed stops importing, identify the last successful import, compare the bank statement with the register, reconnect the institution if needed, and carefully investigate duplicates before removing anything.

Invoices, bills, and payments

QuickBooks can help issue invoices and sales receipts, monitor amounts customers owe, keep vendor information, and manage bills. Payment processing is a related service, not the same thing as accounting; fees and availability depend on the service and terms. Before enabling recurring invoices or other automated transactions, verify the customer, amount, timing, tax treatment, and payment settings.

Reports

Depending on product and plan, useful reports include profit and loss, balance sheet, cash flow, accounts receivable and payable aging, sales by customer or product, expenses by category, sales tax, general ledger, trial balance, and project profitability. A report is only as reliable as the accounts and transactions behind it. Incorrect opening balances, inconsistent coding, unreconciled accounts, or poorly configured inventory can make polished-looking reports misleading.

Inventory and projects

Before choosing a plan, ask whether you sell physical products, need purchase orders, track cost of goods sold, or require project estimates compared with actual costs. Then check whether you need multiple warehouses, serial or lot tracking, barcodes, assemblies, manufacturing, complex landed costs, or high-volume fulfillment. Those requirements can exceed basic accounting inventory features. Intuit positions Desktop Enterprise for more advanced inventory and specialized operational workflows; verify the precise edition and functions with Intuit before buying.

Project profitability features can help eligible businesses organize income and costs by job, but they do not remove the need to record labor, materials, subcontractors, and overhead consistently. Contractors and service businesses should test their actual estimate-to-invoice process, not just confirm that a project feature exists.

Automation and AI claims

Intuit’s pricing page advertises automated categorization and AI-related capabilities, including financial insights and other assistance; some features are marked beta or depend on plan availability. Treat these as product capabilities to evaluate, not guarantees of accounting accuracy. Review recommendations and entries, especially around tax, payroll, loans, transfers, and inventory.

Do not assume every legacy Desktop edition is discontinued, supported, or available on the same terms: availability and support status depend on edition, country, and subscription. The official pricing material still references Desktop Enterprise, but does not settle the status of every older Desktop product. If moving from Desktop to Online, plan for data conversion, workflow changes, report differences, and accountant review rather than assuming a one-click move preserves everything exactly.

Who is QuickBooks a good fit for?

  • Freelancers and sole proprietors: A possibility if you need more than simple invoicing and want formal books, bank reconciliation, and accountant access. If you only bill clients and record a few expenses, a lower-cost tool may be better value.
  • Service businesses and contractors: Potentially useful for invoices, bills, project tracking, and job profitability on eligible plans. Confirm the detailed job-costing workflow suits your business.
  • Retail and product businesses: Consider it if the plan’s inventory functions and integrations meet your needs. Investigate specialist tools if you rely on warehouse, manufacturing, lot, serial, or fulfillment controls.
  • Growing employers: QuickBooks Online can provide an accounting base, but payroll is a separate decision. Verify state support, filing responsibilities, employee classifications, and costs before migrating payroll.
  • Accountant-managed businesses: Compatibility with a bookkeeper or accountant who already works in QuickBooks can reduce friction. Still compare the workflow and total cost against alternatives.
  • Nonprofits, multi-entity owners, and specialized organizations: Check fund, grant, consolidation, and reporting requirements explicitly. Do not assume a general small-business plan satisfies specialized accounting or regulatory needs.

When might QuickBooks be the wrong choice?

Look elsewhere if you need only basic invoicing at minimal cost, require a free accounting tier, cannot accept recurring subscriptions, or need a fully offline workflow. It may also be a poor fit for complex manufacturing, multi-warehouse or lot-controlled inventory, multi-entity consolidation, or international tax and payroll requirements that the U.S. product does not cover. QuickBooks is broad, but breadth can mean a more involved interface, higher plan costs, dependence on add-ons, and greater vendor lock-in. Bank feeds and automated categorization save effort only if someone reviews and reconciles the books.

Setup and migration checklist

  1. Choose the product and plan: Count ordinary users separately from accountant access. Confirm the number of companies, required integrations, inventory and project features, and renewal cost.
  2. Set up the company: Enter legal and business details, fiscal year, accounting method, and tax settings. Ask an accountant to review choices that affect reporting or filing.
  3. Review the chart of accounts: Tailor income, expense, asset, liability, and equity accounts to the business instead of accepting an unsuitable default structure.
  4. Verify opening balances: Have a qualified bookkeeper or accountant check bank and credit-card balances, receivables, payables, loans, fixed assets, equity, inventory, and tax or payroll liabilities.
  5. Connect accounts carefully: Confirm the financial institution and the last imported date. Decide how to prevent duplicates if you are also importing files or entering transactions manually.
  6. Configure records and workflows: Add customers, vendors, products and services, tax rates, payment terms, invoices, bills, recurring transactions, and approval rules as needed.
  7. Test a complete cycle: Create a representative invoice, record a payment, enter a bill, categorize a bank item, and reconcile a statement before relying on the workflow at scale.
  8. Review regularly: Reconcile accounts, inspect exception reports, and review financial statements. Ask an accountant to review setup and year-end adjustments.
  9. Plan for records and exit: Export key reports and transaction data periodically. Before cancellation or migration, verify current terms for data access and retention, connected services, payroll, and payment processing.

Do not assume a subscription cancellation leaves every connected service operating or guarantees ongoing access to all historical data. Confirm current Intuit cancellation and retention terms before ending service.

QuickBooks alternatives

  • Zoho Books: Worth comparing for a price-sensitive small business or one already using Zoho applications. Its U.S. pricing page showed a free plan subject to an annual-revenue threshold of $50,000, plus paid plans; features and price depend on tier. QuickBooks-specific accountant relationships or integrations can make switching less attractive.
  • Xero: A major cloud-accounting alternative to assess for collaboration and integrations. Compare the current U.S. plan limits and features directly; do not rely on expired promotions or assume payroll and other features work the same in every country.
  • FreshBooks: Relevant for freelancers, consultants, and service firms that prioritize client billing, estimates, and time-based work. Businesses needing deeper inventory or operational accounting should test its fit carefully.
  • Wave: May suit freelancers and very small businesses seeking a low-cost starting point. Confirm current pricing and which payment, payroll, and other services are separately charged; do not assume it offers QuickBooks-level inventory or controls.
  • Sage: Compare the specific product, not just the brand. Sage Business Cloud Accounting, Sage Intacct, and other Sage offerings address different needs and are not interchangeable.

Compare equivalent user counts, companies, billing terms, payroll, inventory, project tracking, payment processing, migration, and accountant access. A lower sticker price may not mean a lower operating cost if the features or integrations you need are missing.
