These free allowances are not directly comparable: each company counts different services against the quota. Check your account’s current usage before deciding that one has more usable space.

Choose OneDrive for Microsoft-centered workflows
OneDrive is the natural storage layer for Windows and Microsoft 365. It suits people who already edit Word, Excel, and PowerPoint files, use a Microsoft account, or need files available through Microsoft’s desktop integration. For business or school use, Microsoft directs customers to OneDrive for work or school, where administrators can apply organization policies and sharing controls.
Choose Google Drive for Google-centered workflows
Drive is tightly connected to Google Docs, Sheets, and Slides, as well as Gmail and Google Photos. If most collaboration happens in browser-based Google editors, keeping files in Drive avoids moving between unrelated storage systems. Google’s own switching guide documents corresponding tasks such as uploading, sharing, searching, handling versions, and enabling offline access; it is a migration aid, not an independent speed or usability benchmark.

How much free and paid storage do you actually get?
Free tiers
A Google personal account includes up to 15 GB at no charge, shared across Drive, Gmail, and Google Photos. A free Microsoft personal account includes 5 GB, shared across OneDrive files and photos, Outlook.com attachments, and Microsoft apps. A nearly empty Drive can therefore have less usable room than its headline number if Gmail or Photos already consume the quota.
Microsoft 365 storage
Microsoft 365 Personal and Family include 1 TB of OneDrive storage per subscription account. Family can share storage with up to five other people, with 1 TB allocated to each person. Microsoft does not describe this same per-person arrangement for Basic or Personal plans.

Google One upgrades
Google directs people who need more personal storage to Google One. Availability and pricing depend on country, currency, taxes, and the date you check out; Google notes country-specific price changes in 2026. Compare the capacity offered in your location with your account’s current usage rather than relying on an undated price chart.
Calculate effective capacity before upgrading
- Open your storage-management page in each service and record the space already used by mail, photos, attachments, and app data.
- Estimate the size of folders you will move, including duplicate media and shared files that you own.
- Check whether a family member or administrator controls the plan and its sharing rules.
- Compare the local checkout total, recurring billing terms, and the amount of storage left after existing usage.
Sharing: personal links, families, and organizations
Sharing individual files and folders
Both services support uploading files and folders, then sharing them with people or links. Permissions, link policies, and whether recipients can download or edit depend on the account type and administrator settings. Test a link with a non-owner account before distributing it widely.

Household allocation
OneDrive’s Microsoft 365 Family model is explicit: the subscription holder can share with up to five other people, and each person receives a separate 1 TB allocation. This is different from merely sharing a folder; each person manages their own files and quota.
Work and school controls
For commercial or institutional use, use the organization-managed edition rather than assuming a personal account offers the same retention, auditing, or access controls. Employer and school policies can change offline access, sharing, and recovery behavior.

Offline files and device behavior
Both products can make files available without an internet connection, but the exact behavior depends on the operating system, app, account, and administrator policy. Google’s comparison instructions explain marking files for offline use, primarily through the web experience.
On Windows, distinguish Microsoft’s backup-and-sync OneDrive app from the Microsoft Store OneDrive viewer. The viewer can display files but does not back up or synchronize them. Install and sign in to the syncing application when you need two-way folder synchronization.

- Confirm which account is signed in before marking files offline.
- Check that the device has enough local disk space for offline copies.
- After enabling offline use, open a file with networking disabled to verify that the expected version is present.
- For managed devices, ask the administrator whether offline files or external sharing are restricted.
Version history, deletion, and ransomware recovery
OneDrive recovery tools
Microsoft documents recycle-bin recovery for deleted personal files for 30 days. For work or school accounts, the documented period is 93 days unless an administrator changed retention settings. Items permanently deleted from the recycle bin cannot be restored.
Microsoft 365 subscribers can restore the whole OneDrive to a point within the previous 30 days. Microsoft also documents version history for all file types and, for subscribers, password-protected or expiring sharing links. These protections are subscription-qualified and do not replace an independent backup.
Google Drive recovery tools
Version handling differs between native Google Docs, Sheets, and Slides and other file types. Google’s bulk Restore file versions feature is labeled “Now in Beta!” and covers revisions from the previous 25 days. It rolls back multiple files at once and cannot select individual files; Google says Docs and Slides files are not affected by ransomware and will not appear in this tool.
What to do after suspected ransomware
- Stop changes from spreading: disconnect affected computers from networks and pause or disconnect the syncing account.
- Clean or rebuild the affected devices before reconnecting them.
- Use OneDrive’s eligible whole-drive restore or Google’s available revision-recovery tools, observing their subscription, time-window, and beta limitations.
- Inspect restored folders and file versions before resuming synchronization.
- Keep another copy of irreplaceable files elsewhere. Cloud synchronization mirrors deletions and corruption; it is not a complete, independent backup guarantee.
Which service is easier to move to?
Moving from OneDrive to Drive is most straightforward when your destination is Google Docs, Sheets, and Slides and you are willing to work through Google’s web-oriented migration steps. Moving from Drive to OneDrive is usually simpler for a household or workplace already standardized on Microsoft 365 and Windows. In either direction, inventory ownership, shared-folder permissions, file formats, and offline copies before deleting the source.

A safer migration checklist
- Export or copy files while both accounts remain active.
- Preserve folder structure and compare item counts and total sizes.
- Open representative Word, Excel, PowerPoint, Docs, Sheets, Slides, photo, and archive files.
- Recreate sharing permissions; copied files do not always retain the original link access model.
- Keep the original account until the new copy and recovery process have been verified.
How to decide
Pick OneDrive when
- You already pay for Microsoft 365 and can use its included 1 TB.
- You need the clearly documented Microsoft 365 Family allocation of 1 TB per person for up to six people total.
- Your computers and documents are primarily Windows and Microsoft 365 based.
- Whole-OneDrive rollback for eligible Microsoft 365 subscribers is more useful to you than Google’s beta multi-file revision tool.
Pick Google Drive when
- You collaborate mainly in Google Docs, Sheets, and Slides.
- You already rely on Gmail and Google Photos and prefer one Google storage pool.
- The free 15 GB allowance fits your combined Drive, Gmail, and Photos usage.
- You are comfortable buying additional capacity through Google One at your local price.
Keep both when your workflows are mixed
Using both can be sensible: keep Microsoft 365 projects in OneDrive and Google-native collaboration in Drive. Set one deliberate independent backup for critical files, document which service owns each folder, and avoid letting two sync clients manage the same local directory.
