OneDrive in Windows syncs files between a folder on your PC and Microsoft’s cloud. It appears in File Explorer, can show files that are stored online rather than downloaded, and can optionally back up folders such as Desktop and Documents. The important distinction: syncing is not the same as an independent backup—edits and deletions can sync to the cloud and other devices.
What OneDrive does in Windows
OneDrive is both Microsoft’s cloud-storage service and its Windows synchronization client. Once signed in, it creates a OneDrive folder in File Explorer. Changes you make there—adding, editing, moving, or deleting files—are synchronized with the account’s cloud storage and other connected devices when the client is running and online. Microsoft explains the setup and sync model in its OneDrive sync guide.
OneDrive is not just an online drive: Files On-Demand can display cloud files in File Explorer without keeping their full contents on the PC. Nor is it a one-way archive. A deletion or unwanted change can propagate to the cloud and other synchronized devices.
A Windows PC can show different OneDrive locations:

- OneDrive – Personal: linked to a personal Microsoft account.
- OneDrive – [Organization name]: linked to a work or school account.
- SharePoint libraries: work or school document libraries that an organization has made available through the OneDrive client.
Microsoft says Windows setup supports multiple work or school accounts but only one personal OneDrive account on the same Windows installation. A work account may also be subject to organizational access, sharing, retention, and security rules; it is not a substitute for your employer’s or school’s approved storage system.
Is OneDrive already installed?
Microsoft says OneDrive is already installed on Windows 11 PCs. Windows 10 commonly includes the desktop sync app too, but availability can depend on the edition, installation state, or organization’s configuration. Search Start for OneDrive. If the app is missing, use Microsoft’s OneDrive download page. Installing the client does not itself add cloud-storage capacity.
Set up OneDrive carefully
- Open OneDrive from Start, the notification area, or the OneDrive folder in File Explorer.
- Sign in with the personal Microsoft account or work/school account you intend to use. On a shared PC, check the account before connecting Windows folders.
- Review the proposed OneDrive folder location. If you need a different location, change it during setup rather than moving the folder manually afterward.
- Review Files On-Demand and choose which folders should sync to this PC.
- Decide whether to back up Windows folders such as Desktop, Documents, and Pictures. Check their contents and your available OneDrive storage before enabling this option.
- Let the initial setup and synchronization finish. The OneDrive cloud icon in the notification area can show progress or errors.
Do not assume that everything visible in File Explorer is stored on the computer. Check the status icon before relying on a file without internet access.

Icons can vary slightly with Windows and OneDrive client versions, but these are the usual meanings. For Microsoft’s explanation of Files On-Demand statuses, see its Files On-Demand guide.

Files On-Demand: save disk space without losing the file listing
Files On-Demand lets File Explorer show cloud items without downloading all their contents. Online-only files use little local space for their placeholders, but opening one requires a connection and downloads its contents. Microsoft lists Windows 10 version 1709 or later and Windows Server 2019 as supported; its documentation says OneDrive build 23.066 and later enables Files On-Demand by default, though policy and rollout can affect what a user sees. Some third-party antivirus products may be incompatible, and Microsoft notes a limitation with Windows Information Protection.
Right-click a file or folder in File Explorer to choose:
- Always keep on this device: downloads the item and keeps it available offline. A folder set this way can download its contents, so it may use substantial disk space.
- Free up space: removes the local copy but leaves the item in OneDrive and visible as an online-only placeholder in File Explorer.
To review Files On-Demand settings, select the OneDrive cloud icon in the notification area, then Help and Settings > Settings. Look under Sync and back up or Advanced settings for the Files On-Demand control. The exact labels and layout can change between client releases and account types. Broad storage choices may also appear as Free up disk space or Download all files.

Online-only files can be found by filename, but Windows cannot search their contents unless those contents are local. If an application cannot open a placeholder, right-click the file, select Always keep on this device, wait for the download to finish, and try again. For work that must continue offline, keep the relevant folder local.

Choose which OneDrive folders sync to the PC
You can keep some cloud folders off the PC while leaving them in OneDrive online. Open the OneDrive notification-area menu and choose Help and Settings > Settings > Account. Select the relevant account and its folder-selection control, clear folders you do not want synchronized locally, and confirm. OneDrive updates the File Explorer view. An unselected folder is not deleted from the cloud; it remains available through OneDrive on the web. Menu labels may vary by client version.
OneDrive folder backup is not a full-PC backup
Ordinary sync covers files you put in the OneDrive folder. OneDrive’s optional known-folder backup instead places the contents of standard Windows folders—such as Desktop, Documents, Pictures, Music, and Videos—under OneDrive so they can be protected there and accessed across devices. That can change where those folders’ contents appear and what another signed-in PC displays. If Desktop or Documents seems to have moved, this setting is a likely explanation.
Check the contents and available cloud capacity before enabling folder backup, especially if those folders contain large collections. This feature is not a complete system image and does not protect against every kind of loss: synchronized deletions and unwanted changes can propagate. Keep an independent backup for files that need a separate recovery copy. Windows Backup is a separate Windows feature; Microsoft describes it in its Windows Backup guide.

To pause or quit, select the OneDrive cloud icon in the notification area, open its gear or Help and Settings menu, then choose Pause syncing (and a duration if offered) or Quit OneDrive. Microsoft’s stop-sync guidance covers these options.

To unlink, select the cloud icon, then Help and Settings > Settings > Account > Unlink this PC, and confirm Unlink account. Downloaded files remain in the local OneDrive folder; online-only files can be accessed from OneDrive on the web after unlinking. Before moving or deleting local files afterward, check whether they were pending sync, placeholders, or part of a redirected Desktop/Documents folder. Unlinking is not the same as deleting, but it does not make every later file operation risk-free. See Microsoft’s account removal instructions.
To uninstall, open Windows Settings, go to the installed-apps list, find Microsoft OneDrive, and choose Uninstall. On some Windows versions it is built in and may instead need to be hidden with synchronization stopped. Do not manually delete files as a substitute for unlinking or uninstalling while sync is active.

Files disappeared from File Explorer
- Check whether OneDrive is running, paused, showing an error, or signed in to a different personal or work account.
- Open the account’s OneDrive on the web and check whether the file is still there.
- Check the OneDrive folder-selection settings; the folder may no longer be selected for this PC.
- If the item is online-only and you need it offline, right-click it and choose Always keep on this device.
- If it is not online, check the local and OneDrive recycle bins and confirm the correct account and folder.
OneDrive uses too much disk space
Use Free up space on large files or folders, review items marked Always keep on this device, and check whether Desktop, Documents, or Pictures backup is bringing a large collection into the OneDrive tree. Selective folder sync can also limit what is downloaded locally.

OneDrive is stuck syncing
Work from the least disruptive fix upward:
- Check internet access and the OneDrive notification panel for a filename, quota, or account error.
- Pause and resume syncing, then quit and relaunch OneDrive.
- If the issue remains, unlink and relink the account.
- Reset the client only after simpler checks; it triggers a full synchronization and will not fix an account permission, quota, network-blocking, or organization-policy problem.
- For work/school accounts, contact the organization’s administrator if the error concerns access or policy.
Microsoft’s relink procedure is specific: unlink the PC, press Windows key + R, enter %localappdata%MicrosoftOneDrivesettings, select OK, and delete PreSignInSettingsConfig.json. Start OneDrive again from Start if needed, sign in, and when prompted that the folder already exists choose Use this folder. Then let it resynchronize and check folder selection and Files On-Demand. Use a different folder only if you intend to relocate the OneDrive directory.

Reset the OneDrive client
For the desktop sync client, press Windows key + R, enter C:Program FilesMicrosoft OneDriveonedrive.exe /reset, and select OK. If OneDrive does not restart, search Start for OneDrive and launch it. Installation paths can differ, so if that command does not work, use Microsoft’s reset instructions for your installation. Afterward, check sign-in, selected folders, and Files On-Demand; expect a full sync.
The Microsoft Store app has a separate route: press Start and enter apps:onedrive, select App settings, scroll to Reset. Do not treat this as interchangeable with the desktop-client command. Microsoft says reset disconnects sync connections and initiates a full synchronization without deleting files or data, but it does not repair cloud-side access or policy problems.
Recover a deleted file
First confirm which account and folder were involved, and whether synchronization had completed. Check the local Windows Recycle Bin, then the OneDrive web recycle bin. If available, inspect the file’s version history as well. Microsoft states that personal OneDrive items can be restored from its recycle bin for up to 30 days and work/school OneDrive or SharePoint items for up to 93 days; account type and organization policy can affect retention. Those periods are limits, not a promise that every item will be recoverable.

OneDrive is a natural option if you use Windows, Microsoft 365, or multiple Windows devices and want files in File Explorer with optional disk-saving placeholders. It is less suitable as your only protection against accidental deletion or ransomware, for a workflow that must keep every file offline without planning, or where an organization prohibits personal cloud storage. Choose between Files On-Demand and local availability based on two questions: will you need this file without internet, and do you have space for its downloaded copy?
Storage and plan context
Microsoft’s U.S. plan page listed 5 GB free personal storage, Microsoft 365 Basic with 100 GB at $1.99 per month or $19.99 per year, Personal with 1 TB at $9.99 per month or $99.99 per year, and Family with up to 6 TB total—generally 1 TB per person for up to six people—at $12.99 per month or $129.99 per year. These U.S. prices were checked August 18, 2026 and can change; see Microsoft’s current OneDrive plans and pricing for current availability, terms, and regional pricing. A subscription is not required merely to install the sync client, and additional storage is not a replacement for an independent backup. Work/school users should check their organization’s licensing rather than assume consumer plans apply.
