Microsoft’s January 9, 2025 update to Viva Engage’s Microsoft 365 Copilot adoption community added recommendations for similar questions and answers, plus an administrator control for moving the Copilot adoption experience to another community. Microsoft said the update would roll out worldwide from mid-January to mid-February 2025, be available by default, and require no advance administrator action. Those dates describe the original rollout announcement, not a guarantee of current 2026 availability.
What changed in Viva Engage
Message center update MC971030 enhanced the existing Viva Engage community designed to support Microsoft 365 Copilot adoption. It was not a new standalone Viva Engage product. The update covered two distinct capabilities: question recommendations for users and community-designation controls for administrators. Petri’s changelog entry reproducing the Microsoft announcement identifies the update date as January 9, 2025; its URL slug says January 3, so the date in the entry is the more reliable reference.
A Copilot adoption community is a specialized Viva Engage community for employees to ask questions, get help from peers or IT, share practices and use cases, and find adoption resources such as articles and quick tips. The community type became generally available in August 2024. The January update added a way to surface relevant discussions and gave administrators more flexibility over which community carries the Copilot adoption experience.

- Open the organization’s Viva Engage Copilot adoption community and begin composing a question.
- Review recommended similar questions and answers that appear while composing.
- Open a relevant answer, add to an existing discussion, or continue and post a new question if the recommendations do not help.
The aim is to help people reuse knowledge already shared in the organization instead of unknowingly starting the same discussion again. The announcement describes recommendations for existing questions and answers; it does not say that Viva Engage generates a new answer with Copilot or explain the matching and ranking algorithm.

Use judgment before relying on a suggested discussion. Similar wording does not necessarily mean the answer applies to your Microsoft 365 license, app version, tenant policy, data permissions, geography, or deployment. Check when the answer was posted and whether its guidance is still current. The announcement does not specify how matching works across private or restricted communities, or how recommendations respect every content and information barrier. Do not assume that every network post is visible to every user; access and visibility should be checked against your organization’s configuration.
What administrators can change
Administrators can remove the Copilot adoption designation from one community and apply the adoption features to another. To remove it, open the designated community, select the ellipsis (…) in the community header, and choose Unmark Copilot community.

According to the announcement, unmarking removes the community’s suggested content, suggested members, and setup checklist, while retaining its other content. It is not the same as deleting the community: existing community content is not described as being removed by this action. The announcement does not detail whether every item of configuration, link, or custom setting remains unchanged, so administrators should not infer that from the content-retention statement.

The announcement confirms that adoption features can be applied to another community, but does not give a complete replacement-community setup path. Before changing the designation, identify the intended destination and make sure it has appropriate owners and moderators. Also consider whether employees have bookmarked or linked to the old community, whether it contains useful historical guidance, and whether suggested content or membership arrangements will need to be set up again.

Rollout and administrator preparation

- Announced worldwide general-availability window: mid-January to mid-February 2025; the earlier estimate was early January to early February.
- Default and preparation: Microsoft said the update would be available by default and required no administrator preparation.
A rollout window is an estimate, not proof that every tenant received the feature on the same day. And this historical announcement does not establish the current 2026 interface, behavior, licensing requirements, or availability. For a present-day deployment, check the tenant’s Viva Engage experience and current Microsoft documentation rather than treating the 2025 schedule as current status.
Practical value—and the governance trade-off
Recommendations can help employees find recurring guidance about prompt-writing, Copilot workflows in Word, Excel, PowerPoint, or Teams, training, acceptable use, or troubleshooting. They may also help IT and adoption teams make prior explanations easier to find. These are practical possibilities, not measured outcomes: the announcement provides no figures showing fewer duplicate posts, reduced support demand, or cost savings.

The feature is most useful when the community has active contributors and answers are accurate, current, and well moderated. If recommended discussions contain old or contradictory instructions, making them easier to discover can amplify confusion rather than resolve it. Assign ownership for reviewing high-value answers, correcting stale guidance, and pointing users to an authoritative source when a question depends on local policy or tenant configuration.
Centralized discovery can make knowledge from across an organization easier to reuse, but a response written for one team or region may not fit another. A new post remains appropriate when the existing discussion is outdated, incomplete, or based on different permissions, licensing, policies, or app versions. The recommendation is a starting point for discovery, not a substitute for checking applicability.

Microsoft recommended reviewing its support documentation and coordinating with Copilot change managers as part of an organization’s adoption planning, even though no action was required before rollout. In practice, adoption teams can make the feature more useful by telling employees which community is authoritative, keeping its guidance current, and communicating clearly if the designated community changes.

- How recommendations behave for private communities, restricted posts, deleted content, external users, or information barriers.
- The exact procedure for assigning a replacement community.
- Current 2026 availability, client coverage, licensing, or whether the controls and interface have since changed.
These are boundaries of what MC971030 describes; they should not be filled in with assumptions. For current operational decisions, verify the applicable Microsoft documentation and your tenant’s settings.
