To automatically make important messages easier to spot in Outlook, use conditional formatting: matching messages appear in a chosen font color in the message list. Use color categories instead when you want to label messages yourself—for example, “Waiting for reply” or “Client project.” The steps differ between new Outlook, classic Outlook for Windows, and Outlook on the web, and availability can depend on your account.

Choose the right Outlook feature

Outlook does not have one universal “highlight important emails” switch. These features solve different problems:

Move or process messages automatically Rules Automates actions such as moving or deleting messages, depending on the Outlook version and account.

Conditional formatting is the best fit when a message should stand out automatically because of its sender, recipients, or content. Categories are better for a status you decide, such as “Waiting for reply.” Microsoft describes the conditional-formatting and category workflows separately in its conditional formatting guidance and category instructions.

Before you start: identify your Outlook version

  • New Outlook for Windows: Usually has a Settings gear and uses Settings > Mail > Conditional Formatting.
  • Classic Outlook for Windows: Has a traditional ribbon and uses View > View Settings > Conditional Formatting.
  • Outlook on the web or Outlook.com: Runs in a browser and generally uses the same Settings path as new Outlook, though the interface can vary.

Microsoft’s conditional-formatting documentation describes support across listed Outlook versions, but also states that the feature is available to individuals using a work or school account with a qualifying Microsoft 365 subscription. If the option is missing, your account or organization may not support it. Available conditions can also differ: not every condition in classic Outlook is available in new Outlook. Automatically color messages in new Outlook or Outlook on the web

  1. Open Outlook and select Settings (the gear icon).
  2. Select Mail, then Conditional Formatting.
  3. Select + Add rule.
  4. Enter a descriptive name, such as Key client or Manager – red.
  5. Choose the condition or conditions, such as a sender or words in the subject, that identify the messages.
  6. Choose the font color for matching messages. Review the preview if one appears.
  7. Select OK, then Save.

For example, create a rule called Action needed, set the condition to match a subject phrase such as “approval” or “action required,” and choose orange. Or create a sender-based rule for your manager and choose a distinct color. Test a rule against a message you know should match it; broad phrases may also match routine mail.

In new Outlook and Outlook on the web, conditional formatting applies to read and unread messages and to folders other than Drafts. Rules are ordered: if a message matches rules with conflicting formatting, the higher rule takes precedence. Put specific, high-value rules—such as a key person—above broad keyword rules. Microsoft documents the scope and precedence in its conditional-formatting guide.

Automatically color messages in classic Outlook for Windows

  1. Open the mail folder whose message-list view you want to change.
  2. Select the View tab.
  3. Select View Settings in the Current View group.
  4. Select Conditional Formatting, then Add.
  5. Give the formatting rule a name.
  6. Select Font and choose the color, font, or style you want.
  7. Select Condition and specify the sender, subject words, recipient, or other available criteria.
  8. Confirm with OK through the open dialogs.

Classic Outlook includes a default formatting rule for unread messages, normally shown in bold. In the Conditional Formatting dialog, you can enable, disable, edit, or remove rules. Microsoft’s examples include formatting messages from a specified sender, matching words in a subject, or a word found in the subject or message body. These settings affect the message list, not the text inside the email. The documented workflow changes the list’s font color, font, or style; it does not promise a full-row colored background.

Use color categories for manual labels

Categories are useful when the label represents your own workflow or project rather than a condition Outlook should detect. You might use Urgent, Waiting for reply, Client, or Reference. A category is personal: other people do not see the categories you assign. In new Outlook, the color is represented through the category treatment, such as its icon or text, not necessarily a colored message background.

New Outlook

  • Assign one: Right-click a message, select Categorize, then choose a category. Repeat if you want more than one.
  • Create one: Select Categorize on the ribbon, select New category, enter a name, choose a color, and select Save.
  • Manage names and colors: Open Settings > Accounts > Categories.

Outlook on the web or Outlook.com

  • Assign one: Right-click the message, select Categorize, and choose a category.
  • Create or manage one: Use Categorize > New category or the category-management controls in Settings; the exact controls depend on the web experience.

Classic Outlook

  • Create one: Select Categorize on the ribbon, then All Categories > New. Enter a name, choose a color, and optionally assign a shortcut key.
  • Assign one: Right-click a message and select Categorize.
  • Speed up tagging: Classic Outlook also supports a Quick Click category and category keyboard shortcuts.

If the right-click menu shows only flag options, Microsoft advises right-clicking in the blank area to the right of the sender’s name. Steps and controls are covered in Microsoft’s category guide. Categories can also be used on other Outlook items, such as appointments, contacts, notes, and tasks. However, IMAP accounts do not support assigning Outlook categories.

Build a simple, useful color system

Keep the system small enough to remember. For example:

  • Red: urgent or time-sensitive messages.
  • Blue: a key client or project sender.
  • Purple: messages you have marked as waiting for a reply.
  • Gray: reference material you may need later.

The first two could be conditional-formatting rules if they are identified by a sender or subject condition; the latter two are usually better as categories because they reflect your status or judgment. These are examples, not fixed Outlook meanings. Use colors as a secondary cue, not the only one: keep descriptive category names and use flags or other text-based signals too, especially if color distinctions are difficult to see.

  1. Identify automatically: Use conditional formatting to color messages from important senders or with a small number of reliable subject terms.
  2. Track your workflow: Add a category such as Waiting for reply or Delegated when you decide that label applies.
  3. Set a reminder: Flag a message that needs follow-up, particularly when it has a deadline. A flag is an action cue, not a color system; a category can add the color label.
  4. Route routine mail: Use a rule to move or otherwise process messages that meet criteria. Rule actions and availability depend on your Outlook version and account; consult Microsoft’s rules guidance.
  5. Reduce clutter: Try Focused Inbox if you prefer Outlook to split the inbox into Focused and Other rather than adding more colors. See Microsoft’s Focused Inbox overview.

New Outlook does not support managing rules for third-party accounts such as Gmail, Yahoo, and iCloud inside Outlook; Microsoft says those rules must be set up with the email provider. Do not assume that a rule or category works the same way for every account connected to Outlook.

If you mean “important to the recipient,” use High Importance

When composing a message, High Importance communicates an importance signal to recipients. In classic Outlook, the command is on the Message tab in the Tags group. The recipient may see an importance indicator or be able to sort by importance, depending on their mail client. It does not set a custom color in their inbox, and it cannot ensure they read the message sooner. Use it selectively so the signal retains meaning. Troubleshooting

“Conditional Formatting” is missing

  • Confirm whether you are in new Outlook, classic Outlook, or a browser; each uses a different path.
  • Check whether the signed-in account and subscription meet Microsoft’s stated work-or-school account eligibility requirement.
  • Your organization may use a different or customized interface, or the account type may not support the feature.
  • If using a Gmail, Yahoo, or iCloud account in new Outlook, some Outlook-managed capabilities may not be available for that account.

Use the matching version tab in Microsoft’s support instructions; do not follow classic Outlook’s View-menu steps in new Outlook.

The rule is saved, but messages do not change color

  1. Check that the rule is enabled and that you selected Save.
  2. Verify the condition against the message. A sender address or subject phrase may not match what you entered.
  3. Move the rule higher if another matching rule with different formatting is above it.
  4. Check whether the message is in Drafts; new Outlook and the web exclude Drafts from the documented scope.
  5. Confirm you are viewing the same account and Outlook experience where you configured the rule.
  6. Check whether that condition is supported in your version.

I expected the whole message row to have a colored background

Conditional formatting changes the message-list font color, font, or style; it is not a guarantee of a full-row background highlight. Category color is likewise a label treatment, not necessarily a colored row. If you need a stronger cue, pair the color with a category name, flag, or folder.

I cannot assign categories

Check the account type. Microsoft identifies IMAP accounts as unable to assign Outlook categories. If categories are unavailable, consider provider-side labels or filters, folders, flags, or conditional formatting if your account supports it. See Microsoft’s category limitations.

Bottom line

Start with two or three conditional-formatting rules for objective signals such as a key sender or a distinctive subject phrase. Add categories for manual workflow labels, and use flags for follow-up actions. Keep the rules specific, put the most important ones first, and retain text labels so your system remains understandable without relying on color alone.
