“Preparing to Sync” usually means Finder, Apple Devices, or iTunes is comparing your iPhone with a computer library and working out what to transfer. A first sync or a large selection can take time; an unchanged status that persists, repeats, or ends with a disconnection is more likely a blocked sync. Keep the iPhone connected while it is working, and do not choose Erase and Sync until you understand what content could be replaced.

First identify which kind of sync is stuck

This message most often appears during a local sync between an iPhone and a computer. The app depends on the computer: Finder handles device syncing on macOS Catalina or later, Apple Devices is Apple’s current Windows device-management app, and iTunes remains relevant on Windows setups that use it and on Macs running macOS Mojave or earlier. Apple explains the platform split in its device-syncing guidance.

  • Finder, Apple Devices, or iTunes: You are likely syncing selected local content such as music, videos, podcasts, books, or photos.
  • Music or Photos showing a cloud status: This may be Sync Library or iCloud Photos, not a computer sync. Those services use different workflows.
  • A backup screen: Backing up is a separate operation, even though device-management apps may offer both backup and sync controls.
  • An iPhone screen mentioning iCloud: Do not apply computer-sync fixes until you identify the iCloud service or operation shown.

On Windows, Apple notes that using iCloud or Sync Library for music or photos can turn off the corresponding local sync options in Apple Devices. See Apple’s Windows syncing overview.

Decide whether it is slow or actually stuck

There is no universal timeout that proves a sync has failed. Give a first sync, a large library comparison, or a large photo and video selection time to prepare. Keep the phone connected rather than repeatedly unplugging it during active work.

Look for signs of progress: the app’s status changes, selected content appears on the phone, or storage use changes. If the status remains unchanged for an extended period, the app shows no apparent activity, content never changes, or the iPhone repeatedly disappears from the computer, move on to the checks below. A status label by itself does not establish that no work is happening.

Protect your content before changing sync settings

  • Do not casually accept “Erase and Sync.” Apple warns that this can replace content in the selected category with content from the computer. The effect depends on the category and sync setup; read the specific warning before proceeding. Apple’s syncing instructions describe the warning and the one-library limitation.
  • Make a backup before changing settings if possible, and confirm that important photos, music, and videos also exist somewhere you can access.
  • If local music or video files matter, preserve the source library before repairing or rebuilding it.
  • Do not begin by deleting the computer’s media library or backup folders. That can remove the source material or a recovery copy without addressing the cause.

Try the low-risk fixes first

  1. Unlock and trust the iPhone. Enter its passcode, tap Trust if prompted, and confirm that the phone stays visible in Finder, Apple Devices, or iTunes. If it vanishes, investigate detection or connection before the media library.
  2. Use a reliable data connection. Try a known-good data-capable cable connected directly to the computer, not through a hub or dock. Test another USB port and temporarily remove unnecessary USB devices. Charging alone does not prove a cable can transfer data reliably.
  3. Restart cleanly. If the app responds, cancel the sync. Quit the relevant media or device-management app, disconnect the phone, restart both the iPhone and computer, then reconnect directly and try again. If the app is frozen, force-quit that app first.
  4. Update the software. Check for updates to iOS, macOS or Windows, and the Apple Devices app or iTunes used on the computer. Some Apple Community users have reported “Preparing to Sync” hangs on iOS releases before 17.3; this is a community report, not an Apple-confirmed general bug. Updating is still a sensible compatibility check. See the community discussion.
  5. Check Apple service status if cloud services are involved. A service outage may affect iCloud or Apple media services, but it would not explain every local USB-sync failure. Apple lists current service categories at its System Status page.

Use the controls for your computer

Mac: Finder

  1. Connect and unlock the iPhone; approve the trust prompt if it appears.
  2. Open Finder and select the iPhone in the sidebar.
  3. Choose the relevant content category, such as Music, Movies, TV Shows, Podcasts, Photos, or Files, then review the selected sync options.
  4. Start the sync and wait for it to finish before disconnecting. Apple documents Finder syncing for newer macOS in its Mac and PC syncing guide.

Windows: Apple Devices or iTunes

  1. Open Apple Devices, or iTunes if that is the device-management workflow installed on your PC.
  2. Connect and unlock the iPhone, approve the trust prompt, then select the device.
  3. Review the relevant category and device settings, apply changes, and start the sync.
  4. If the app cannot keep the phone visible, return to the cable, port, trust, and restart checks rather than changing media libraries first. Apple’s Windows guide covers syncing and device management in Apple Devices.

If the phone is detected, isolate the content that blocks syncing

When the iPhone remains visible but a sync repeatedly hangs, test a smaller selection rather than removing everything from the phone.

  1. Sync one category at a time instead of the whole library.
  2. Within the failing category, try one small playlist, album, or handful of photos and videos.
  3. If the small test works, add content back in manageable groups until the failure returns.
  4. Check the failing group for unavailable files that were moved or deleted, broken library references, unusual metadata, or a playlist that points to missing media. A community discussion has raised missing library items as a possible cause, but it is not a confirmed universal diagnosis: reported cases.
  5. For a suspect playlist, remove and recreate that playlist in the computer library, then test it again. Preserve the underlying files first if they are important.

If a device backup succeeds but content sync does not, basic communication with the phone is working; that makes a category-specific item, library reference, or content-management conflict more plausible than an immediate need to erase the iPhone. It does not by itself identify the exact cause.

Understand cloud-managed photos and music

Photos and iCloud Photos

When iCloud Photos manages the photo library, local computer photo-sync controls may be unavailable or behave differently. Confirm which library holds the originals before changing iCloud Photos settings. Turning it off without understanding the prompts can lead to storage demands or changes to locally stored copies.

Music and Sync Library

Apple Music’s Sync Library is not the same process as copying a local music library over USB. If Sync Library is managing the music, the computer’s local music-sync controls may be disabled. Check the account and library workflow before trying to force a manual sync; Apple describes this interaction in its Windows syncing overview.

Be especially careful if another computer was used

An iPhone can be synced with only one Apple Music or Apple TV library at a time. If it was previously synced with another computer, Apple may offer Erase and Sync. Do not accept merely to get past the prompt. First confirm that the original library is available and preserve the content currently on the phone; the selected category may be replaced by the new computer’s content. Apple explains the limitation and warning in its syncing guidance.

Try Wi-Fi syncing only after wired syncing works

Wireless syncing adds network, sleep, firewall, and power variables, so it is not a good first remedy for a failing wired sync. Once a wired Finder sync works, Apple’s Mac procedure is to select the iPhone in Finder, enable Show this [device] when on Wi-Fi, and click Apply. Automatic Wi-Fi syncing requires the Mac and iPhone to share a network and the iPhone to be connected to power. See Apple’s instructions.

Mac-only community workaround: Activity Monitor

Some Mac users report that, while Finder is stuck at this stage, force-quitting MDCrashReporter or MDCrashReportTool in Activity Monitor lets the current sync continue. This is a community-reported workaround, not an Apple-documented repair; process names and behavior can vary by macOS release, and it may not prevent the hang from returning. Consider it only after protecting data, updating software, checking the connection, and narrowing the sync. The report is in an Apple Community discussion. Do not assume the same process or workaround applies on Windows.

When to escalate instead of erasing the phone

  • Contact Apple Support if the phone repeatedly disconnects with multiple known-good cables and computers, the computer cannot reliably detect it, or a repeated error code appears.
  • Seek service if there are also charging, storage, or port symptoms.
  • If a small test library still fails across a stable connection, Apple Support can help distinguish an iOS or device issue from the computer’s library and configuration. Start at Apple Support.
  • Reserve a full erase and restore for a broader, well-diagnosed problem after a verified backup. A restore can remove local content and will not necessarily fix a broken computer library; community reports also describe cases where restoring did not resolve the sync hang.
