The right internal communication setup is rarely one app. Most companies need a clear combination of chat, meetings, official announcements, and durable documentation. Start with the systems you already use, the employees you need to reach, and the information that must remain findable—not a feature checklist or a universal “best” tool.

What counts as an internal communication tool?

Internal communication includes both conversation and the systems that help employees receive, find, and act on company information. A practical stack may use several tools, each with a defined job.

Microsoft Teams: a natural starting point for Microsoft 365 companies

Teams is worth evaluating first when employees already work in Outlook, SharePoint, OneDrive, and other Microsoft services. Microsoft’s business plans list Teams chat, calls and meetings alongside file collaboration, SharePoint, OneDrive, and, in relevant plans, employee-engagement features such as Viva Engage and Viva Connections. Exact packaging depends on the plan and whether Teams is included. The U.S. business-plan page notes packaging changes effective July 1, 2026; check the current country-specific plan before buying: Microsoft 365 business plans.

The main risk is not a lack of capability but overlapping surfaces. Teams, channels, chats, SharePoint sites, OneDrive folders, Loop components, and Viva can leave people unsure where a file or final decision belongs. Assign owners to the structure and document the system of record for each kind of information.

Slack: a strong candidate for integration-heavy, channel-based work

Slack suits organizations that value dedicated team messaging, cross-functional channels, external collaboration, and connections to many business apps. Slack reports more than 2,600 app integrations on its pricing page. That figure is vendor-reported and can change. The same page lists plan differences that include history, huddles, canvases, lists, Slack Connect, identity management, and data-loss-prevention capabilities.

Slack’s Free plan currently limits searchable message history to 90 days; Pro, Business+, and Enterprise+ provide unlimited message history according to Slack. That difference matters if employees expect old conversations to function as institutional memory. A paid plan still does not replace a curated knowledge base. Channel sprawl and notification load also need active management.

Google Chat: a practical first check for Google Workspace companies

Google Chat is closely connected to Gmail, Calendar, Drive, and Google Meet, making it a sensible first option when those services already anchor daily work. It can reduce duplication, but it does not by itself create a formal intranet or a well-governed knowledge base. Google Workspace price and feature availability vary by country and edition, so confirm both at Google Workspace pricing rather than relying on a generic price figure.

Zoom Workplace: consider it when video is central

For a company that already relies on Zoom meetings, Zoom Workplace is worth assessing as a broader collaboration environment rather than just a video subscription. Check the exact edition and add-ons: a meeting license does not necessarily cover every chat, documentation, or employee-announcement need. Zoom’s product overview is at Zoom Workplace.

Mattermost and Rocket.Chat: evaluate when deployment control matters

Mattermost and Rocket.Chat are options for organizations considering self-managed, private-cloud, or infrastructure-controlled deployments. They may suit technical or regulated environments where control is a firm requirement, but operating a self-hosted service transfers responsibility for infrastructure, upgrades, backups, monitoring, security hardening, and support to the customer. Compare self-managed and cloud offerings separately; security depends on the deployment and its operation.

Slack’s comparison characterizes Mattermost as emphasizing security and control, including self-hosting, and Slack as a managed cloud service. Employee hubs and frontline platforms: prioritize reach, not chat features

Staffbase, Workvivo, Connecteam, Blink, and Workmates are among the products to consider when the central challenge is reaching employees who do not spend the day at a desk. Such platforms can support company news, targeted notices, employee communities, surveys, and mobile access. They may complement Teams or Slack rather than replace them. Check company-email requirements, shared-device and personal-device access, shift or location targeting, translation, acknowledgments, offline behavior, and implementation needs. Deskless reach is often overlooked in conventional team-chat comparisons, as noted by HR Cloud’s overview of business communication tools. Vendor pricing may be quote-based; request comparable quotes using the same workforce size and requirements.

Documentation tools: preserve decisions outside the chat stream

SharePoint, Confluence, Notion, Google Drive, Google Sites, and Slab are examples of places to organize durable information. They solve a different problem from messaging: keeping policies, procedures, onboarding material, and decisions available after the conversation has moved on. Pick an authoritative home for each content type, then link to it from chat and announcements.

Compare the core chat choices

The table is directional: it reflects general product fit, not a guarantee about every plan or configuration. Validate specific features with the vendor before committing.

What to compare before choosing

Existing ecosystem and duplication

List the systems already used for email, calendars, files, identity, meetings, project management, customer records, HR, and support. Check whether employees can use existing credentials, whether files and calendars connect cleanly, and whether a new platform duplicates a capability the company already licenses. Ecosystem fit often matters more than a long list of features.

Workforce coverage and accessibility

Map who needs to communicate and how they work: desk-based, mobile, shift-based, shared-device, contractor, or external-partner users. Test browser, desktop, and mobile access; low-connectivity behavior; accessibility; translation; notification options; and whether every employee has a corporate email address. Do not assume an app-store listing proves that a product works for a frontline workforce.

Conversation, broadcast, and information architecture

Check for direct and group messages, channels, threads, reactions, calls, screen sharing, file sharing, search, announcements, and automation—but also test how people will organize and retrieve information. Decide whether departments, projects, and temporary initiatives need separate spaces. Confirm that users can follow relevant topics without joining every conversation, administrators can archive inactive spaces, and final decisions have a durable home.

Search and retention

Test how well search finds messages and files, whether results respect permissions, what history is retained, whether attachments are indexed, and how exports, edits, deletions, and legal holds work. Ask whether search links people back to an authoritative document. A searchable chat archive is useful, but it is not a substitute for owned, reviewed documentation.

Security, administration, and compliance

Match controls to actual requirements: single sign-on (SSO), multi-factor authentication (MFA), automated provisioning such as SCIM, role-based administration, guest controls, device management, retention, audit logs, eDiscovery, data-loss prevention, encryption, residency, and export controls. Verify the product edition, deployment model, configuration, and relevant certification or control. Buying a platform does not by itself make an organization compliant.

Total cost and adoption effort

Calculate more than the advertised seat price. Include paid and frontline seats, guests, contractors, meeting or phone add-ons, AI features, storage, archiving, premium support, implementation, migration, administration, and training. Also account for duplicate licenses and the cost of running self-managed infrastructure. Vendor prices change by region, billing term, plan, and promotion; compare like-for-like quotes and verify the current official page.

Adoption is part of cost. Evaluate onboarding, mobile usability, notification controls, search discoverability, template support, channel governance, and whether leaders will use the chosen platform consistently. Count cost per active employee as well as per licensed seat.

A practical selection process

  1. Inventory your environment. Record existing Microsoft 365 or Google Workspace subscriptions, meeting and file systems, identity provider, HRIS, project tools, help desk, CRM, employee and contractor counts, deskless workforce size, countries, languages, and data requirements.
  2. Map the work. Estimate how much communication is direct messaging, team discussion, announcements, meetings, documentation, frontline updates, external collaboration, and repeatable requests. Choose around valuable workflows, not the preferences of the loudest stakeholder.
  3. Set non-negotiables. Specify requirements such as SSO, residency, self-hosting, searchable history, mobile access, guest collaboration, captions, offline use, HRIS integration, acknowledgment tracking, and an acceptable total budget.
  4. Shortlist by company profile.
    • Microsoft-first: Teams for communication, SharePoint and OneDrive for files and durable information, Viva Connections or Viva Engage where needed for employee communication, and Outlook for appropriate formal messages.
    • Google-first: Chat and Meet with Drive or Sites for durable information; add an employee hub if company-wide communication is a major need.
    • Integration-heavy startup: Slack, a dedicated documentation tool, and the company’s existing meeting, project, and workflow systems.
    • Security-sensitive technical organization: Assess Mattermost or Rocket.Chat when control requirements justify the operating burden; use a controlled document repository and formal incident or service-management process as needed.
    • Deskless workforce: Evaluate a frontline employee platform first; retain Teams or Slack for office-based groups only where it serves a distinct purpose.
  5. Pilot real work. Include a normal project channel, a sensitive HR or management workflow, a company-wide announcement, an external collaborator, new-hire onboarding, a mobile-only employee, a search for an older decision, offboarding, file-system integration, and a notification-burden test. Have participants complete tasks rather than merely score the interface.
  6. Measure outcomes. Track activation and repeat use, announcement reach, search success, time to find a policy or decision, duplicate questions, meetings replaced by asynchronous updates, abandoned channels, reported notification burden, support tickets, onboarding and offboarding effort, and cost per active employee. Define the measurement period and baseline before making productivity claims.
  7. Publish communication norms before rollout. Explain where each kind of message belongs, how quickly people are expected to respond, how urgent issues escalate, and who owns channels, announcements, and reference documents.

Example stacks by company profile

Small company using Google Workspace

Use Google Chat for team discussion, Google Meet for calls, Drive or Sites for durable information, and email where appropriate. Add an employee hub only if broadcast communications need more targeting or structure than the existing tools provide.

Company using Microsoft 365

Use Teams for collaboration, SharePoint and OneDrive for files and reference material, and Viva Connections or Viva Engage if company-wide communication or employee communities need a dedicated surface. Define which system owns each document and announcement.

Startup with many SaaS integrations

Use Slack for channel-based discussion, a dedicated documentation platform for decisions and procedures, and existing meeting and project tools where they already work. Connect systems selectively rather than forwarding every event into chat.

Regulated technical organization

Evaluate Mattermost or Rocket.Chat if self-management or infrastructure control is mandatory. Pair the choice with a controlled document repository and formal incident and service-management processes, and budget for technical operations.

Distributed deskless workforce

Use a frontline employee platform for mobile updates and reach, with a designated intranet or repository for official records. Add Teams or Slack for desk-based teams only if it addresses a separate workflow. Pilot with shift workers and employees who use shared or personal devices.

Common mistakes and how to avoid them

Using chat as the knowledge base

Symptom: People repeatedly ask the same questions because previous answers are buried. Fix: Publish the approved answer in a knowledge base, assign an owner and review date, and link to it from the discussion.

Deploying overlapping platforms without assigning jobs

Symptom: Employees check Teams, Slack, email, an intranet, and project apps for the same update. Fix: Designate a primary chat platform, one authoritative home for policies, and clear rules for email, announcements, and integrations. Retire tools with no distinct purpose.

Ignoring frontline employees

Symptom: Office workers receive notices while field, retail, plant, or shift workers do not. Fix: Test mobile-only access, company-email requirements, personal and shared-device workflows, connectivity, language support, and acknowledgment needs with frontline employees in the pilot.

Buying on feature count or integration count

A feature can be difficult to find, restricted to a higher plan, or too complex to administer. Integrations can also multiply interruptions. Give each automated notice a defined audience, useful signal, owner, suppression or digest option, and link to its underlying record.

Treating AI summaries as official records

Summaries can miss nuance or misstate who said what. Use them to catch up, not as the sole authority for decisions, owners, deadlines, policy changes, or sensitive HR and legal information. Have a person confirm those details in the appropriate record.

Skipping migration and offboarding decisions

Before rollout, decide what historical content must be migrated, what will be archived, whether old messages are legally relevant, how accounts are provisioned and disabled, how file ownership transfers, how contractors are removed, and which retention rules apply.

Internal communication policy checklist

  • Channels: Name an owner, audience, purpose, and archive rule for each persistent space.
  • Response and urgency: Set realistic response expectations and identify the approved route for emergencies; do not imply that ordinary chat is monitored continuously.
  • Documentation: State where approved policies, procedures, and decisions live, who maintains them, and how discussions link to the final version.
  • Notifications: Encourage appropriate mute, follow, digest, and quiet-hour settings; define when after-hours contact is justified.
  • Confidentiality and guests: Explain which information belongs in restricted spaces and how external users are invited, reviewed, and removed.
  • Meetings and recordings: Define when recording or transcription is allowed, who can access it, and how long it is retained.
  • Accessibility and reach: Specify alternatives for employees without regular desktop, email, or reliable connectivity access.
  • Retention and lifecycle: Document message retention, archival, employee offboarding, contractor removal, and ownership transfer.

How to make the final choice

Choose the smallest set of tools that covers the company’s distinct communication jobs without leaving any group unreachable. For each tool, name what belongs there, who owns its structure, and where its authoritative records live. Reassess after a pilot using reach, findability, interruption burden, administration effort, and total cost—not feature count alone.
