Image metadata is information attached to an image file. It can identify the creator and rights holder, describe what the image shows, record when and where it was made, and preserve technical capture details such as camera settings. “Metadata” is an umbrella term rather than one field or one format. The safest workflow is to inspect what is present, keep rights information accurate, and remove other fields only for a clear, agreed purpose.
What is image metadata?
Metadata travels with an image file, either embedded in the file or stored beside it. Depending on the software and file type, it may contain:
- A caption or description of the scene
- Creator, copyright owner, copyright notice, and credit line
- Date and time created
- Camera, lens, exposure, orientation, and other technical capture details
- Location or positioning information
- Color-management information such as an ICC profile
- Keywords, identifiers, usage terms, and other cataloging information
Different standards cover different purposes. IPTC defines descriptive, administrative, and rights-related photo properties. Technical camera data, positioning data, and color profiles are outside the IPTC Photo Metadata Standard and are controlled by camera manufacturers or other standards bodies. Therefore, IPTC does not define every item commonly called EXIF.
What is EXIF data?
EXIF is the common name for technical metadata recorded by cameras and phones. It can include the camera model, lens, shutter speed, aperture, ISO, focal length, orientation, and capture timestamp. Some cameras also write GPS coordinates and manufacturer-specific fields.

EXIF is useful when you are sorting a photo library, reproducing a shot, checking orientation, or investigating when an image was made. It can also disclose sensitive information, especially location. Inspect the actual fields in your file rather than assuming that every camera or app writes the same set.
There is an important date caveat: IPTC states that “Exif currently does not hold time zone information in its time stamp.” When software imports an EXIF time into an XMP date field, it must supply a time zone. Some applications use the receiving computer’s local zone, so check the result when a photo was made in another region.
How do EXIF, IPTC, and XMP differ?

Core data may exist in IIM, XMP, or both. If an application writes both, the values should remain synchronized; otherwise one program may display a different caption or credit from another. Raw camera formats frequently use an XMP sidecar because the original image is not rewritten.
Why metadata matters
Asset management and search
Captions, keywords, dates, and identifiers make large collections searchable. A consistent description lets an editor, archivist, or digital-asset system find the correct image without opening every file.
Rights and licensing
Creator, copyright owner, copyright notice, and credit line preserve the context needed to license and publish an image. IPTC recommends keeping rights-management information accurate and using identifiers for the creator and owner when available.
Provenance and production context
Technical fields can show how an image was captured and help diagnose orientation or color problems. Metadata is evidence about a file’s recorded context, not an absolute guarantee that the information is truthful: fields can be edited, copied, or lost during export.
What metadata should you add?
IPTC’s suggested starting set is small enough for routine use:

- Description/Caption: what the image depicts, written so a person who cannot see the file can understand it.
- Creator/Image Creator: the person or organization that made the image.
- Copyright Owner: the rights-holding person or entity.
- Copyright Notice: the notice you want displayed with the work.
- Credit Line: the attribution wording required for publication.
- Date Created: the creation date, with a verified time zone when a time is imported from EXIF.
For a team, define naming, capitalization, date, and identifier conventions before importing thousands of files. Consistency is more valuable than filling every optional field.

Use a desktop application
Most photo browsers and editors expose an information, properties, or metadata panel. Open the original file, not a preview or messaging-app copy, then inspect EXIF, IPTC, and XMP sections separately. Look for duplicate caption or copyright fields that disagree.
Use ExifTool
ExifTool is free software for reading and writing image metadata. A read-only inspection from a terminal is:

To focus on common groups:

To inspect a directory without changing files:
exiftool -r -EXIF:All -IPTC:All -XMP:All ./photos
Save a copy before any write operation. The exact fields shown depend on the file and the software that created it.
Use a script or catalog system
For recurring imports, have the system read metadata, normalize dates and names, and flag conflicts instead of silently overwriting values. Preserve the original file and record any transformation in your workflow documentation.

First decide what must remain. Removing GPS coordinates or device details can reduce exposure when sharing publicly, but stripping everything can also erase the creator, owner, copyright, and credit information needed for lawful attribution. IPTC’s preservation guidance says: “Copyright management information metadata must never be removed from the files.” It also says other metadata should be removed only by agreement with copyright holders. That is preservation guidance, not a universal legal rule; contracts and laws vary by region and use.
- Work on a copy. Keep the camera original and any XMP sidecar unchanged.
- Inspect the fields. Identify location, device, people, captions, and rights data before deleting anything.
- Choose a narrow policy. For example, remove GPS and device serial fields for a public copy while retaining creator, owner, notice, credit, and caption.
- Apply the policy with your editor or metadata tool. Avoid an undocumented “remove all” command for professional archives.
- Reinspect the exported file. Confirm that the intended fields are gone and rights fields remain accurate.
- Check derivative files. A resized JPEG, converted format, thumbnail, or sidecar may have a different metadata set.
No single cleanup step guarantees privacy. A platform, export tool, or recipient may rewrite metadata, and visual content itself can reveal a location or identity.

Metadata and common file situations
RAW photos
Camera RAW files may be difficult or undesirable to rewrite. An XMP sidecar can hold editable descriptive and rights data while the original remains untouched. Keep the sidecar with the RAW file and include both in backups.
JPEG, TIFF, and PNG exports
Export settings determine which groups survive. A JPEG may carry EXIF, IPTC, and XMP; another application may retain only some of them. PNG support for photographic metadata varies by software. Verify the exported file instead of relying on the source file’s contents.

Do not assume a service preserves or removes particular fields. Treat every downloaded derivative as a new file and inspect it when metadata matters.
Current IPTC standard
As of November 2025, the current IPTC Photo Metadata Standard is version 2025.1. That release added four IPTC Extension properties related to AI-generated content: AI Prompt Information, AI Prompt Writer Name, AI System Used, and AI System Version Used. Availability depends on whether an application has implemented those fields; the standard’s existence does not mean every editor already displays them.
Performance, reliability, and backup practices
- Keep an untouched original, an editable working copy, and a clearly named delivery copy.
- When batch-editing, test the command on a few files from each format before processing an archive.
- Record the software, date, and policy used for a metadata transformation.
- After migration, compare representative files for synchronized IIM/XMP Core values.
- Back up XMP sidecars alongside their RAW files; a sidecar separated from its image can appear to be missing.

Troubleshooting metadata problems
The caption appears twice or disagrees
One copy may be in IIM and another in XMP. Edit the authoritative value, then use software that synchronizes both representations and inspect the result again.
The date changed after import
Check the time zone. EXIF timestamps do not carry one, so the importing application may have assumed the computer’s local zone.

Metadata disappeared after export
Review export settings and inspect the derivative. The application may have discarded a metadata group or created a separate sidecar.
A RAW file shows no edits
Look for its matching XMP sidecar and keep the pair together. Do not judge the RAW file alone if your workflow stores edits externally.

Restore the original or working copy, reapply a narrow policy, and explicitly preserve creator, owner, copyright, notice, credit, and required descriptive fields.
FAQ
Is metadata part of the image itself?
It is associated with the file, but it may be embedded in the image container or stored in a separate sidecar. A visible picture can therefore have metadata that is absent from a particular copy.
Can metadata prove who took a photograph?
No. Metadata can record a creator or camera, but fields can be edited, copied, or removed. Treat it as recorded context rather than conclusive proof.
Should I keep metadata in an archival master?
Usually keep the original metadata and document any later derivatives. Rights and descriptive information are valuable for identification, retrieval, and licensing.
