A screenshot can preserve what a webpage visibly showed, but it cannot by itself prove where the page came from, whether its displayed date is accurate, or whether the image was altered after capture. For a useful record, save the original screenshot alongside the full URL, capture notes and—when appropriate—a copy of the page. Formal evidence handling depends on your purpose, organization and jurisdiction.
What a screenshot can—and cannot—verify
A screenshot records visible pixels and some surrounding context. It can be useful for documenting a post, page, account or conversation, including material that may be difficult to acquire another way. But the image alone does not retain all underlying page content or independently establish the page’s origin, the truth of a displayed date, or the image’s integrity after capture.
SWGDE’s Best Practices for Acquiring Online Content, version 1.0 (2022), describes screenshots as the least forensically sound method among the acquisition methods it discusses. It also recognizes that a screenshot may be the only way to capture some user-visible content or context, and recommends using screenshots alongside other methods.
How to make a useful screenshot record
- Check and record the source. Confirm that the browser’s address bar shows the page you intend to document. Write down the full URL separately rather than relying on a crop to show it. A URL can help another person find the material, but it may stop working if the page is removed.
- Capture content with context. Include enough of the page to identify its account, page or conversation, and retain visible dates or times where relevant. If everything will not fit in one frame, take several overlapping screenshots instead of cropping away identifying context. The Australian eSafety Commissioner gives similar practical advice in its Collecting evidence safely guidance.
- Keep an untouched original. Save the screenshot as captured. If you need to highlight, crop or annotate something for easier review, do so on a separate working copy and keep the original distinct.
- Write capture notes. Record when you made the capture, the device or browser used, and a short description of what the image shows. A time recorded from your own device is a useful note, not independent certification that the clock was accurate.
- Save additional page material when appropriate. Where lawful and suitable for your purpose, keep an HTML or other page copy as well as the screenshot. A saved copy can provide supplementary source information if the live page changes, but may not reproduce dynamic behavior or the whole site.
Choose a preservation method for the purpose

Preserve pages that may change or disappear
If you need a record over time, a single screenshot is only one moment. The U.S. National Archives and Records Administration’s Managing Web Records guidance describes standalone snapshots accompanied by a site map and discusses approaches such as version control, change logs and web harvesters. It treats snapshot frequency and tracking decisions as matters for risk assessment, not a universal schedule.

For an organization, decide which pages and parts of a site matter, how often to capture them, how long to retain records, and who is responsible for reviewing changes. Match capture frequency to the risk and purpose: a frequently changing page may call for closer tracking than a stable reference page.
When formal evidence handling matters
For a formal investigation or proceeding, follow the procedure set by the relevant organization and jurisdiction rather than treating a screenshot checklist as a legal standard. SWGDE recommends preserving acquired content and examiner documentation, including the examiner’s name, acquisition date and time, and descriptions of the evidence. The UK Defence Science and Technology Laboratory’s Digital Imaging and Multimedia Procedure v3.0 (published 2021) describes a definitive, documented master copy held under established procedures so it can be examined, and emphasizes image quality fit for purpose. That procedure is written for police and criminal justice practitioners; it is not a universal rule for every reader.

Keep any master or original protected from alteration or accidental erasure, and make review or annotation copies separately. If the matter involves litigation, employment, threats or regulatory records, consult the applicable rules or your organization’s documented process.
