WPBeginner’s How to Use WPForms is a free, beginner-level video course with 19 lessons and approximately one hour of instruction. It follows the practical path from installing WPForms and building a first form to embedding it, managing entries, preventing spam, accepting payments, connecting Mailchimp, and fixing email-delivery problems.

This guide turns that video path into a written implementation plan, adds current WPForms workflow details, and identifies where a paid license, addon, integration, or developer knowledge may be required.

What is WPForms?

WPForms is a WordPress form-builder plugin for contact forms, lead forms, surveys, polls, newsletter signups, registrations, calculators, quizzes, file uploads, payment forms, and other workflows. Its core builder runs inside the WordPress dashboard and uses drag-and-drop fields and templates.

WPForms Lite is the free edition advertised by WPForms. Paid licenses and addons can add advanced fields, entry management, payment gateways, surveys, marketing connections, uploads, and other capabilities. Availability varies by license, addon, integration, and provider, so check the feature’s documentation before promising it to visitors.

A form is only one part of the system. Notifications, confirmations, embedding, spam controls, email transport, entry storage, backups, accessibility, and testing determine whether it works in production.

Who should take the course?

It is a good fit for

  • First-time WPForms users.
  • WordPress beginners who prefer screen recordings to documentation.
  • Small businesses, bloggers, nonprofits, and marketers creating common forms without coding.
  • Site owners who may later need conditional logic, payments, uploads, surveys, or marketing integrations.

It should not be your only resource when

  • You need PHP, JavaScript, hooks, filters, or a bespoke data model.
  • You manage complex agency installations or many external integrations.
  • You are diagnosing a specific production error.

Before you begin

  • A working WordPress site with administrator or equivalent plugin-install permissions.
  • WPForms Lite or a paid WPForms license.
  • An email address that can receive notifications.
  • A destination page, post, widget, or supported page-builder location.
  • For payments, an appropriate provider account and the required WPForms addon or integration.
  • For Mailchimp or other services, an account and permission to create the connection.

WPForms’ documented paid-install path requires WordPress 5.5 or higher; recheck compatibility because WordPress and WPForms versions change. See the official installation guide.

Install WPForms

  1. Sign in to your WPForms account and open Downloads.
  2. Download the WPForms ZIP file.
  3. In WordPress, open Plugins » Add New.
  4. Click Upload Plugin, choose the ZIP file, and select Install Now.
  5. Click Activate Plugin.
  6. Open WPForms » Settings, paste your license key, and click Verify Key when using a paid license.

Lite users can install the free plugin through the normal WordPress plugin directory. Activation alone does not configure notifications, spam protection, payment connections, or deliverability.

Create and configure your first form

  1. Go to WPForms » Add New.
  2. Choose a template or select a blank form, then give it a descriptive name.
  3. Drag fields from the left panel into the desired order.
  4. Click each field to set its label, description, required status, choices, default value, validation, placeholder, and available advanced settings.
  5. Use layout or CSS-class settings when you need columns or custom styling.
  6. Save the form before leaving the builder.

Use conditional logic deliberately

Conditional logic shows, hides, or changes behavior based on an answer. For example, display a Company name field only when the visitor selects Business instead of Personal. Check exact choice values and whether a rule uses AND or OR logic. A hidden field that remains required can block submission, so test every branch.

Notifications and confirmations are different

Notification

A notification is an email or workflow sent after submission to an owner, staff member, or other recipient. Verify the recipient, sender, reply-to address, and smart tags.

Confirmation

A confirmation is what the visitor sees after submitting: an on-page message, redirect, or confirmation page. Configure it separately from notifications.

A form can show a successful confirmation while email delivery fails. Test both outcomes and confirm that the submission appears in the dashboard.

Embed and publish the form

The current displaying-forms guide supports the Embed Wizard, the WordPress block editor, widgets, and supported page builders.

  1. Open the form in the builder and click Embed.
  2. Choose Existing Page or New Page.
  3. Select an existing destination or create the new page.
  4. Publish or update the page.
  5. Visit the live URL and submit a test entry.

Shortcodes remain useful in legacy layouts, while a block or Embed Wizard is usually simpler for new block-editor pages. A page-builder widget may require that builder’s paid edition. If the form is missing, inspect theme CSS, cache output, optimization settings, and browser-console JavaScript errors.

Test before launch

  • Submit valid data and verify the confirmation.
  • Leave every required field blank.
  • Use invalid email formats and unexpected input.
  • Test every conditional branch, including hidden required fields.
  • Upload an allowed file, an oversized file, and a disallowed type.
  • Check desktop and mobile layouts.
  • Confirm the notification arrives with the intended sender, reply-to, and recipient.
  • Confirm the entry appears in the correct form’s dashboard.
  • Test spam protection.
  • Use payment-provider test mode before accepting live transactions.
  • Navigate with a keyboard and check the form with a screen reader.

Advanced features in the course

Multi-page forms

Break long forms into pages with progress indicators. Keep each page focused and test navigation, validation, and mobile behavior.

File uploads

Set permitted extensions and size limits, then compare them with server upload limits, security rules, storage permissions, and the license level supporting the required field or addon.

Surveys, polls, and interactive forms

These workflows often require specialized fields or addons. Define what data you need before choosing rating, scale, choice, or conversational layouts.

Payments

Connect the required payment provider and addon, separate test mode from live mode, test successful and failed transactions, verify notifications, and document refunds and access to transaction records.

Mailchimp and other integrations

Marketing integrations can remove manual copying but add API credentials, permissions, rate limits, and another failure point. Confirm consent language and field mapping before enabling a live connection.

Spam prevention

Choose an available WPForms anti-spam method and test it without blocking legitimate users. Recheck the setting after changing caching or JavaScript optimization.

Email deliverability with SMTP

The course includes WP Mail SMTP as a response to notification problems. SMTP changes how WordPress sends mail; it does not replace WPForms. Configure authenticated sending, check SPF, DKIM, and DMARC for the sending domain, send a test message, and retest the live form. WPForms groups SMTP guidance under extending functionality. Forms versus entries when importing

Form structure and historical submissions use separate workflows. Forms can be exported and imported between sites. Entry importing from CSV or supported installed plugins requires a WPForms license. Read entry-import instructions and form import/export instructions. Imported forms containing paid fields may require the paid plugin and relevant addons on the destination site; permission errors can involve WordPress’s unfiltered_html capability.

Is WPForms right for your site?

Choose it when

  • You want a visual WordPress-native builder and templates.
  • You need common forms quickly without custom development.
  • You may expand into surveys, uploads, payments, conditional logic, or marketing connections.
  • You prefer a vendor-maintained addon ecosystem.

Consider another approach when

  • You need a highly specialized calculation or database workflow.
  • The form must be shared across non-WordPress properties.
  • You need extensive free functionality without license upgrades.
  • A dedicated payment product or independent form platform better matches the requirement.
  • You require unusually granular developer control.

The main trade-off is convenience versus control: the builder reduces technical effort, while custom development can expose more precise behavior. Integrations reduce manual work but add credentials and dependencies. WordPress-stored entries are convenient, but you must define access, retention, backups, and privacy practices. AI accelerates drafting but does not validate business logic or compliance language.

Bottom line

Use the free WPBeginner course as a visual starting route: install WPForms, build a small form, configure notifications and confirmations, embed it, test it, and verify entries and email delivery. Move to current WPForms documentation for setup, addons, imports, maintenance, and developer-level customization, and treat paid features, payment processing, storage, and compliance as separate implementation decisions.
