On Windows, the built-in Snipping Tool is the best general-purpose way to capture a screenshot: press Windows logo key + Shift + S, choose a capture mode, and select the part of the screen you need. On supported Windows builds, Snipping Tool can also record a selected area of the screen. This guide covers capture shortcuts, modes, saving, editing, recording, and what to try when a feature is missing.
Choose the right Windows capture shortcut
The shortcut depends on whether you want a still image, a recording, or a fast full-screen capture. A keyboard’s Print Screen key may be labeled PrtSc, PrtScn, or Print Screen.

Microsoft describes Print Screen as selecting a region to capture to the clipboard, but the exact result can depend on the Windows Accessibility > Keyboard setting. If pressing PrtSc does not do what you expect, use Windows logo key + Shift + S to open the snipping overlay directly.
Take a screenshot with Snipping Tool
Snipping Tool is Windows’ built-in utility for capturing all or part of the screen. It supports four still-image modes: Rectangle, Freeform, Window, and Full screen. The exact app interface and feature availability can differ between Windows 10 and Windows 11, and can change with app updates.

- Bring the content you want to capture into view. If the capture should include a menu or popup, see the delay instructions below before opening the overlay.
- Press Windows logo key + Shift + S. Alternatively, open Start, search for Snipping Tool, and launch it.
- Choose Rectangle, Freeform, Window, or Full screen in the overlay.
- For Rectangle or Freeform, drag around the content. For Window, select the window to capture. Full screen captures the entire display.
- Select the Snipping Tool notification that appears, or open the Snipping Tool window, to review the capture. From there, copy, annotate, save, or share it.
Which capture mode should you use?
- Rectangle: Drag a box around a portion of the screen. This is usually the simplest way to capture a specific control, paragraph, or region.
- Freeform: Draw around an object when a rectangular crop would include unwanted material.
- Window: Select a window rather than drawing its boundaries by hand. Use this for a particular app window; check the result before sharing if you need to exclude content outside it.
- Full screen: Capture everything visible on the display. Use it when the whole desktop matters, not when you need a tightly cropped image.
Capture a menu that closes when you press a shortcut
Some menus disappear as soon as you activate the snipping overlay. Use Snipping Tool’s delay so you have time to open the menu before the capture begins.
- Open Snipping Tool from Start.
- Choose a delay from 1 to 5 seconds.
- Select the capture mode, then select New.
- During the countdown, open the menu or arrange the screen.
- When the display dims, make the selection or capture the screen.
For older Windows 10 Snipping Tool interfaces, Microsoft also documents launching Snipping Tool and pressing Ctrl + PrtSc to capture an open menu. If that key sequence is not available in your version, use the delay method.
Annotate, crop, and extract text
After taking an image snip, use the Snipping Tool window to prepare it. Pen and Highlighter add marks; Shapes can create callouts; Eraser removes marks you added; and Crop trims the image. These are useful for explaining a setting or drawing attention to a region, but review annotations before sharing so they do not obscure information the reader needs.

Current versions also offer Text actions, which can recognize text in a capture so you can copy selected text or all recognized text. Microsoft says recognition runs locally on the device. The app can also quickly redact email addresses and phone numbers. Treat those as assistance rather than a substitute for checking the finished image: inspect the redaction and the rest of the capture before sending it.
Save or find a screenshot
A capture may initially be available in the Snipping Tool window and clipboard without being saved as a file. Current Snipping Tool versions can automatically save captures to a Screenshots folder, but automatic saving and the destination depend on the app version and its settings.
- To choose a filename and location yourself, use Save as in Snipping Tool.
- If you expected automatic saving, open Snipping Tool Settings and check the automatic-save option and configured folder.
- If you used Windows logo key + PrtSc, verify where that device saved the image rather than assuming it followed Snipping Tool’s settings.
- If you only need to paste the capture into another app, copy it from Snipping Tool or the clipboard instead of creating a separate file.
Saving behavior is not identical across every Windows version and configuration. If a screenshot is missing from the folder you expected, first check whether it was saved automatically at all, then review Snipping Tool’s settings and use Save as to place a copy in a known location.

Record a selected area with Snipping Tool
On supported current builds, Snipping Tool records a rectangular region as a video snip. The video controls and availability depend on the Windows version and Snipping Tool app update; if you do not see Record, check for an app update through Microsoft Store.
- Open Snipping Tool.
- Select Record, then New.
- Drag to select the rectangular area to record.
- Select Start, perform the on-screen actions, and select Stop when finished.
- Save the recording, or choose Edit in Clipchamp if you want to add captions or audio.
The shortcut Windows logo key + Shift + R opens the video overlay where supported. It is a video-snipping shortcut, not the still-image shortcut. Microsoft also identifies Snipping Tool as an inbox alternative to Steps Recorder and describes its recording workflow as supporting previewing, pausing, and sharing a selected recording.

Use Xbox Game Bar for a game or app recording
Xbox Game Bar is a useful fallback for recording many games and app windows. It is not the same workflow as a Snipping Tool rectangle: Game Bar records an app or game, while Snipping Tool is the more direct choice for selecting a precise screen region, annotating a screenshot, or extracting text.

- Open Windows Settings and make sure Xbox Game Bar is enabled. The precise Settings layout can vary by Windows version.
- Open the game or app you want to capture.
- Press Windows logo key + Alt + R to start recording; press the same shortcut to stop.
- Press Windows logo key + Alt + M to toggle the microphone during recording.
- For a game or app screenshot, press Windows logo key + Alt + Print Screen.
Microsoft documents Game Bar recordings as MP4 files in Videos/Captures, and the corresponding app or game screenshots as PNG files in that Captures area. If you need captions or audio added to a recording, Clipchamp is an editing step after capture, not the basic screenshot shortcut.
Windows 10 and Windows 11: what differs
Microsoft’s Snipping Tool support guidance covers both Windows 10 and Windows 11, but that does not mean every feature is present in every edition, build, or app version. The current guidance includes video snips and newer Text actions; Microsoft’s alternatives guidance explains that Snipping Tool recording was introduced for Windows 11 devices and also points to Clipchamp and Xbox Game Bar as recording alternatives.
If Record or another documented feature is absent, update Snipping Tool through Microsoft Store and check again. Do not assume features Microsoft labels for Windows 11 AI PCs or Copilot+ PCs—such as Perfect Screenshot or Color picker—are available on every Windows computer.
