Yes—you can keep one Airtable base as the source of truth and present its records through multiple image-focused experiences. Use an Interface Designer Gallery layout when people need to scan images interactively. Use Page Designer when each record must become a designed page that can be printed or saved as a PDF. If the deliverable needs stricter branding and print control, connect a document-generation service through automation instead of duplicating the base.
Choose the right kind of “template” first
In Airtable, an image template can mean two very different things: a screen for browsing records or a document layout for output. Decide which one you need before changing your base.
Gallery for image-first browsing
A Gallery visualization is designed for scanning records where an attachment is the main thing to see. Its cards show an image and a title in a grid, making it suitable for image libraries, creative reviews, product references and similar interactive workflows.

Page Designer for printable record pages
Page Designer places live record values on a custom canvas. You choose fields, position them, add an attachment element and then print records or save them as PDFs. This is the better fit for a one-record-per-page sheet, a contact-style page or another controlled document layout.

Keep one canonical image and record source
Store the record fields and the canonical image attachment in the relevant table in one base. Your interfaces and page designs should read from those records rather than from copied tables. This keeps edits, titles and images synchronized across every presentation.
- Write down what each presentation is for: browsing, review, printing, PDF delivery or another job.
- Identify the attachment field that should appear in the presentation.
- Decide whether a page should show only the first image or every image attached to the record.
- Collect a few representative records, including the longest text and the largest attachments, for testing.
If different templates genuinely need different source images, separate attachment fields can be considered as a schema choice. Otherwise, reuse the same attachment field and change only the presentation.
Build an image-first template with Interface Designer
- Open the base and start an interface. Create an Interface Designer page connected to the table that contains your records. Interface layouts are attached to a table in the underlying base.
- Add a Gallery visualization. Choose the Gallery layout when the attachment is the primary content people need to scan.
- Assign the image and title. Set the relevant attachment field as the image and the record field that should identify the card as the title.
- Review several records. Check records with missing images, unusually long titles and multiple attachments. Confirm that the card still communicates which record it represents.
- Create additional presentations only when the job changes. A review gallery and a printable record page can use the same table without creating a second source of data.
Interface Designer is aimed at interactive interfaces and dashboards. Visualization-based pages may include multiple visualizations on one page, while an elements-based page cannot use multiple layouts. If you need several visual presentations together, choose the page type that supports that arrangement rather than trying to force unrelated layouts into one page.
Create printable image templates with Page Designer
- Open Page Designer for the relevant table. Start with the table that holds the canonical records and images.
- Design the page canvas. Add the fields that should appear on the document and position them where the reader expects them.
- Add an attachment element. Configure it to display the first image or all images, then adjust the display sizing for the intended page.
- Use live record values. Page Designer fills the design from the selected record, so the same template can produce pages for many records.
- Preview varied records before a batch. Test the longest text, the largest attachment and records with multiple images. A layout that fits one record can overflow on another.
- Print or save as PDF. Once the previews are acceptable, generate the required pages or PDF output.
Think of each Page Designer canvas as a separate image template. You can make one compact card, one portrait detail page and one landscape handout while leaving the underlying records in the same table. Keep names explicit so collaborators know which canvas is intended for which deliverable.

A practical arrangement is an Interface Designer Gallery for day-to-day visual browsing and one or more Page Designer canvases for documents. The gallery helps people find the right record; the page design turns that record into a controlled artifact.
Reuse the same fields consistently
Use the same title, status and attachment fields wherever possible. When a field is renamed or its content rules change, every presentation that maps it should be checked. This is safer than maintaining parallel tables whose records can drift apart.

Live values are an advantage, but they also mean content changes can affect the next output. Keep a small validation set that includes short and long text, no-image records, one-image records and multi-image records. Run that set whenever you materially change a canvas or attachment rule.
Sharing and collaborator access
Check permissions before sending an interface or document workflow to clients or collaborators. Interface-only collaborators are available on Team, Business and Enterprise Scale plans, and the exact sharing options depend on the base and interface access configuration. Verify the current Airtable plan and sharing settings for your workspace before promising external access.
- Confirm that the recipient can open the interface, not just the underlying base.
- Check whether the recipient should browse records, edit them or only receive exported documents.
- Review image visibility as well as text-field visibility.
- Test the shared experience with an account that has the same permission level as the recipient.
When Airtable’s layouts are not enough
Use Page Designer when you need a custom page but Airtable’s native canvas is sufficient. Move to a document-generation service connected through automation when you need a more controlled branded document pipeline. Before adopting one, verify support for the required page size, image behavior, headers and footers, signatures, document identifiers, output format and error handling. No particular provider is established here, so compare current vendor documentation rather than assuming all tools behave alike.

Troubleshoot common failures
The gallery card has no image
Check that the Gallery visualization is mapped to the attachment field that actually contains the image. Then inspect the record itself for an empty attachment. A title can still appear when the image is missing, so test both fields independently.

Review whether the Page Designer attachment element is set to show the first image or all images. If order matters, check the attachment order in the record and preview a record with multiple files.
Text or images overflow the printable layout
Preview a record with the longest value and largest attachment. Shorten or restructure the field content, resize the attachment element or redesign the canvas with more space. Do not approve a batch based only on a typical record.
You cannot combine the layouts you want on one interface page
Check whether the page is visualization-based or elements-based. Airtable’s guidance distinguishes their layout capabilities; an elements-based page cannot use multiple layouts. Use a supported visualization page or separate pages for different presentations.
A collaborator cannot open the interface
Review the collaborator’s plan eligibility, the interface’s sharing configuration and the recipient’s actual permission level. Test the link while signed in as a user with matching access.

The PDF looks different after a record changes
Page Designer uses live record values. Reopen the affected record, confirm the current attachment and fields, and preview again before exporting. If stable historical output is required, retain the generated PDF outside the live layout workflow.
Performance, reliability and cost considerations
The main reliability risk in this setup is content variability, not the number of templates. Gallery cards remain useful when titles and images are predictable; Page Designer output is reliable when you test the extremes of your data. Keep templates focused, avoid unnecessary duplicate fields and validate after schema or content-rule changes.
Airtable’s current guidance recommends Interface Designer over Page Designer generally, but that is a workflow recommendation, not a ban on Page Designer. Choose the older extension when controlled print or PDF output is the actual requirement. For third-party generation, account for the provider’s own usage limits and pricing; those details are not established here and can change.
