Yes—Gmail works in Microsoft Outlook. Add it with Google’s authorization window in new or classic Outlook for Windows, Outlook for Mac, or Outlook mobile; you normally do not type your regular Gmail password into Outlook. The correct menus and the amount of calendar, contact, and label synchronization depend on your Outlook product and account type.
First identify what you use: new Outlook for Windows, classic Outlook for Windows, Outlook for Mac, Outlook for iPhone or Android, Outlook.com in a browser, or Google Workspace Sync for Microsoft Outlook (GWSMO). Then follow the matching procedure below.
Choose the Outlook product that matches your setup

Adding Gmail to Outlook creates a connection or synchronization relationship. It does not migrate your mailbox to Microsoft 365; Gmail remains hosted by Google and remains available in Gmail.

- Your Gmail address and access to its Google sign-in, verification code, security key, or other verification method.
- An internet connection while authorization is completed.
- Permission to approve Microsoft Outlook in Google’s authorization window.
- For a managed Google Workspace account, administrator approval if third-party applications are restricted.
- IMAP enabled only when your client or manual configuration requires it. Modern Outlook normally configures the connection through Google OAuth instead.
Do not enable “less secure apps.” Google Workspace ended that username-and-password access model on May 1, 2025. OAuth is the normal method; an app password is a compatibility fallback for clients that genuinely cannot use OAuth.

Add Gmail to new Outlook for Windows
- Open new Outlook.
- Select View, then View settings.
- Open Accounts > Your accounts and select Add account.
- Enter or select the Gmail address and choose Continue.
- Complete Google sign-in in the browser or Google window.
- Review Microsoft Outlook’s requested permissions and select Allow.
- Select Done.
Gmail should appear in Outlook’s account list and begin syncing. The same account area lets you remove Gmail or designate an account as primary. Calendar and contact availability depends on the account integration and Outlook build. See Microsoft’s current instructions at Microsoft’s Gmail setup guide.
Add Gmail to classic Outlook for Windows
- Open classic Outlook and select File > Add Account.
- Enter the Gmail address and select Connect.
- When Google’s sign-in window opens, confirm the address and select Next.
- Sign in to Google and approve Microsoft Outlook by selecting Allow.
- Select Done after setup completes.
If Outlook reports “Something went wrong,” select Retry and repeat the address and Google authorization steps. Update Outlook first: Microsoft’s instructions cover Microsoft 365, Outlook 2024, 2021, 2019, 2016, and new Outlook, but menus and OAuth behavior vary by build and installation type. Some volume-licensed Outlook 2016 Windows Installer (MSI) installations may not support OAuth. Microsoft documents recovery for OAuth failures in this classic Outlook troubleshooting article.
Add Gmail to Outlook for Mac
- Open Outlook for Mac and select Tools > Accounts.
- Select + Add Account, enter the Gmail address, and select Continue.
- Select Sign in and complete Google authentication.
- Approve Microsoft Outlook’s access request.
- If prompted to let the browser reopen Outlook, select Allow.
- Select Done.
Newer Outlook for Mac versions can synchronize non-Microsoft accounts through Microsoft Cloud. In that mode, a copy of Gmail email, calendar, and contacts is synchronized to Microsoft data centers. Where your version offers it, use the provider-selection link during setup and turn off the Microsoft Cloud option for direct synchronization instead. Add Gmail to Outlook for iPhone or Android
- Install or open the official Outlook app.
- Open Settings, choose Add Account, then Add Email Account.
- Enter the Gmail address.
- Complete Google sign-in and approve the requested permissions.
- Return to Outlook and select the Gmail inbox.
Outlook mobile can provide Gmail email and, depending on account type and synchronization method, contacts and calendar features. Microsoft Cloud permission may be requested. Device battery-saving settings can delay background sync and notifications. Gmail labels and Outlook folders also do not map perfectly. Manual Gmail settings: use only when automatic setup fails
For supported Outlook versions, choose the built-in Google provider first. Manual settings are mainly for older clients, advanced configurations, or troubleshooting:

Do not assume one port number is correct for every Outlook dialog: the required port depends on whether that dialog uses SSL/TLS or STARTTLS. Microsoft’s connection troubleshooting guidance lists the servers and explains IMAP visibility.

Enable IMAP when the account requires it
- Open Gmail in a browser.
- Select Settings, then See all settings if shown.
- Open Forwarding and POP/IMAP.
- Under IMAP access, enable IMAP and save.
- Check that the relevant Gmail folders are set to show in IMAP.
- Refresh or restart Outlook.
Google has changed Gmail settings terminology and availability. Some accounts may not show the old IMAP control in exactly this location, particularly where newer account synchronization is active.
Use an app password only for legacy compatibility
An app password is appropriate when an Outlook edition cannot display Google’s OAuth sign-in window, when you are configuring IMAP manually, or when a managed administrator specifically permits it. It is not a replacement for normal OAuth in current Outlook.
- Open your Google Account security settings and turn on 2-Step Verification.
- Open App passwords and create one for Outlook or a custom mail-client label.
- Copy the generated 16-character code. Google displays spaces for readability; omit those spaces when entering it.
- When Outlook asks for a password, enter the app password, not your normal Gmail password.
- Revoke the app password in Google Account security when it is no longer needed.
Google Workspace administrators can restrict app passwords or third-party access. Microsoft’s preparation guidance is available at this app-password reference.

What Outlook can synchronize from Gmail

IMAP is primarily an email protocol. If calendar and contacts matter as much as mail, Google Workspace users should evaluate Google Workspace Sync for Microsoft Outlook. Personal Gmail users should compare Outlook’s current Google-account integration with the native Gmail, Google Calendar, and Google Contacts apps.

Outlook rejects a correct Gmail password
- Cancel setup and update Outlook and Microsoft 365.
- Retry through File > Add Account or the current account-settings path.
- Complete Google’s browser sign-in and approve the Microsoft permissions request; do not type the normal password into an old Outlook prompt if OAuth is available.
- If the client cannot use OAuth, enable 2-Step Verification and create an app password.
- Remove and add the Gmail account again. Clear stored credentials or OAuth tokens only when Microsoft’s documented recovery procedure calls for it.
The Google sign-in window does not open
- Install Outlook updates and retry.
- Use the built-in Google account option instead of advanced manual setup.
- Check whether browser pop-ups, security software, or an organization policy is blocking the authorization window.
- For a work or school account, ask the administrator whether third-party applications are restricted.
“Unable to set up your Google account with IMAP”
- Update Outlook and confirm that the Google sign-in window completed.
- Reauthorize Microsoft Outlook in your Google Account security settings.
- Enable IMAP and folder visibility if your account exposes those controls.
- Try the automatic Google provider rather than manual IMAP.
- Use an app password only when OAuth is unavailable.
Gmail was added but messages do not sync
- Confirm Outlook is online and the Gmail account is not paused or disconnected.
- Check IMAP access and folder visibility when the connection relies on IMAP.
- Verify available Google storage.
- Consider whether the Outlook profile is damaged or Google has requested reauthorization.
- Check for a work or school policy blocking third-party access.
Outlook sends but does not receive
Check imap.gmail.com, the full Gmail username, the selected encryption mode, and OAuth or app-password authentication. Confirm IMAP is enabled and the relevant Gmail folder is visible to IMAP.

Check smtp.gmail.com, SMTP authentication, the encryption mode and corresponding port selected by Outlook, and OAuth or app-password authentication. Google may temporarily block a suspicious sign-in or impose a sending limit.

Labels or folders look wrong
This is usually a model mismatch, not data loss. Gmail permits one message to carry several labels, while Outlook folders normally represent one location. Keep Gmail as the source of truth for labels and use Outlook for unified inbox access if the mapping becomes confusing.
Calendar or contacts are missing
The account may have been configured as plain IMAP, which supplies mail but not Google calendar or contacts. Use a richer Microsoft Cloud connection where appropriate, or evaluate GWSMO for a managed Google Workspace account.
A work or school account is blocked
An administrator may require OAuth policies, block third-party apps, or mandate GWSMO. A local password change cannot bypass an organization policy; contact the administrator.

Google Workspace users who require deep Outlook calendar and contact integration should ask whether GWSMO is the organization’s approved solution. Personal Gmail users who only need mail may be better served by Gmail’s web or mobile apps, with no extra connector or subscription.
