To move email between Gmail accounts, use forwarding for new messages and Gmail’s one-time import or an appropriate migration tool for old messages. Use Google Takeout to make a backup, not to restore mail directly into another inbox. The right steps depend on whether your destination is personal Gmail or a Google Workspace account.
There is no single button that merges two personal Google Accounts. A mail transfer copies some or all messages; it does not move the Gmail address or automatically combine Drive, Calendar, contacts, purchases, or other account data.
Choose the right way to transfer your Gmail

Before you start
- Identify the destination account type. The steps differ for a personal Gmail account and an organization-managed Google Workspace account.
- Keep access to both accounts. You may need to approve a request in the source account or resolve a security prompt.
- Check destination storage. Make sure there is room for the messages and attachments you intend to copy.
- Decide whether you need an archive. For important mail, make a Takeout export before migrating. Keep an untouched copy of the downloaded archive.
- Plan around overlap. Note when forwarding begins and the date range covered by an import or migration. Overlapping methods can create duplicates.
- Keep the old account active. Do not delete it until you have checked the transfer, updated important logins and recovery details, and no longer need the original mailbox.
Forward new messages from the old account
Set this up while signed in to the old, source account. Gmail’s labels can vary slightly as Google changes its interface; these settings are normally available on a computer.

- Select Settings, then See all settings.
- Open Forwarding and POP/IMAP or Forwarding.
- Select Add a forwarding address and enter the new Gmail address.
- Open the verification message in the destination account and follow its link or instructions.
- Return to the source account’s forwarding settings. Select Forward a copy of incoming mail to the destination address.
- Choose what Gmail should do with the source copy. During the transition, Keep Gmail’s copy in the Inbox is the safest choice.
- Save the changes, then send a test message to the old address and confirm it reaches the new inbox.
Forwarding applies to new incoming messages, not mail already in the source account. Spam is excluded by default. Gmail can also forward only messages that match a filter. Do not assume forwarding is active until the address has been verified, the setting saved, and a test message received. Google explains forwarding and verification.

Import old messages into a personal Gmail account
Gmail’s import feature, when it is offered for your accounts, is a one-time copy, not a live connection between inboxes. Google’s interface and POP-related options have changed, so do not treat a particular menu as guaranteed to appear for every account.
- Sign in to the destination Gmail account on a computer.
- Select Settings → See all settings.
- Open Accounts and Import or Accounts.
- Look for Import mail and contacts and start the import if the option is available.
- Enter the source Gmail address and authenticate or approve access when prompted.
- Review the options Gmail offers, then start the import.
- Allow time for processing. A large mailbox can take hours or longer; there is no universal completion time.
- In the destination account, search for imported mail using
in:anywhere, then check the import label and relevant dates.
Google’s troubleshooting guidance lists disabled POP when requested, incorrect credentials, account-access restrictions, and additional security steps among possible import problems. If Gmail does not offer the import option, or the connection is blocked, use a supported migration route or keep a Takeout archive rather than repeatedly retrying an unavailable path. What to expect from a personal Gmail import
A one-time import is not necessarily a perfect reproduction of the source mailbox. Labels may appear as labels rather than folders, and threading or read/unread status may differ. You may need to check Spam and Trash separately, and settings such as filters, signatures, forwarding rules, delegates, and aliases should not be assumed to transfer. If you also forward new messages, mail received during the same period may appear twice.
For Workspace migrations, Google documents feature-specific support and exclusions; for example, some Workspace-to-Workspace migrations may skip messages in Spam and Trash, and external forwarding settings may not be preserved. Those documented Workspace behaviors should not be treated as a guarantee about personal Gmail import. Workspace Migrate feature support and limitations.

Use Google Takeout for a backup or fallback archive
Google Takeout exports Gmail data, including message content, headers, attachments, labels, and certain Gmail settings. It creates downloadable archive files; it is not a button for restoring that archive into another Gmail inbox.
- While signed in to the source account, open Google Takeout.
- Deselect services you do not need if your goal is an email-only export.
- Choose the available archive format, size, and delivery method, then create the export.
- Download the archive from the delivery option you selected.
- Keep an untouched backup copy in a safe location.
- If you need the messages inside another mailbox, use a compatible desktop mail client or specialist import workflow to work with the MBOX archive. Verify that the chosen workflow supports your destination before relying on it.
Google also supports data-portability transfers to third-party services in supported regions. Use only a service you trust: Google says the recipient service becomes responsible for the copied data after transfer. Google’s data-portability guidance.
Move personal Gmail mail into Google Workspace
If the destination is a Google Workspace account, Google provides an administrator-run Gmail migration path. The target user needs a Workspace license and Gmail enabled, and a super administrator must configure and run the migration. The source account’s owner must authorize access; Google notes that Advanced Protection may need to be disabled during setup and migration. Google’s current Workspace migration procedure.
- Create or confirm the target Workspace user, license, and Gmail service.
- Sign in to the organization’s Admin console as a super administrator.
- Go to Data → Data import & export → Data Migration (New).
- Choose Gmail and select Migrate.
- Enter the source Gmail address and request authorization.
- Have the source-account owner approve the request, then verify the connection.
- Enter the target Workspace user and select the start date and available options, including whether to include deleted or spam messages if offered.
- Start and monitor the migration. Before closing the source account, check messages, attachments, labels, and dates in the destination.
Workspace-to-Workspace moves
Moving one mailbox inside the same organization is different from moving users or a domain to another organization. For organizational migrations, Google’s newer Data import service is a cloud-native option for email, calendars, and contacts. Google announced on April 22, 2026, that the tool has no additional migration-tool licensing or Google Cloud infrastructure cost; the target Workspace subscription and any consulting remain separate. Google Workspace Migrate is aimed at larger or more complex enterprise migrations. Google lists supported editions including Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, and certain Education editions. It is generally excessive for moving a single personal mailbox. Supported editions and Workspace Migrate information.
For several mailboxes, multiple services, compliance requirements, or little tolerance for downtime, involve the organization’s administrator or a migration specialist. What does not transfer automatically?
A Gmail message transfer does not merge Google Accounts or automatically move non-mail data. Treat these as separate jobs:

- Google Drive: files and sharing permissions need a separate transfer plan.
- Mail settings: recreate or check filters, signatures, blocked addresses, aliases, delegates, and forwarding rules as needed.
- Other account data: subscriptions, purchases, YouTube history, recovery details, and other Google services are not combined by moving mail.
If you only need someone to read or respond to messages in the old mailbox, consider Gmail delegation or signing in to both accounts instead of copying the mailbox. Delegation shares access; forwarding sends future mail; import or migration copies historical mail; Takeout creates an archive.

Troubleshoot common transfer problems
The forwarding verification message did not arrive
- Check Spam and All Mail in the destination account.
- Confirm the destination address was entered correctly.
- Open the verification link, then return to the source settings and activate forwarding; adding the address alone is not enough.
- If the source account is managed by a school or employer, ask its administrator whether a policy blocks forwarding.
The import fails with an authentication or access error
- Check the full source email address and credentials.
- If Gmail requests it, confirm POP is enabled in the source account.
- Complete any extra security check or resolve an account-access restriction.
- If the account is managed by a school, employer, or Workspace administrator, check whether that organization restricts access.

Imported messages seem to be missing
Search the destination Gmail with in:anywhere, then narrow by sender, subject, date, or attachment. Check Archive, Spam, Trash, and any import label, and allow for processing if the transfer is still running. Compare results with the source account before concluding messages were omitted.
Labels look wrong or messages are duplicated
Gmail labels are not traditional folders: one message can have multiple labels, so a copied message may not appear in the same visual arrangement. To reduce duplicates, record the date forwarding starts and avoid importing a date range that overlaps with forwarded mail unless you are prepared to review duplicates. Mail in Spam or Trash is absent
Check those folders in the source and destination, and confirm which options your method provides. Inclusion differs by migration product; do not assume that a personal Gmail import or an organizational migration copies every Spam and Trash message.

Verify the move before retiring the old account
- Search for several senders and messages from different years.
- Open messages with attachments and confirm the files are accessible.
- Check Sent mail, archived mail, starred and unread messages, and important labels.
- Search
in:anywherein the destination account. - Send a test message to the old address and confirm forwarding reaches the new inbox.
- Check which account is used when replying, so responses come from the address you intend.
- Update important logins and account-recovery email addresses to use the new address.
- Make a final backup before considering closure of the source account.
Frequently Asked Questions
Can I merge two Gmail accounts?
No. You can copy mail and separately move other data, but Google does not merge two personal Google Accounts into one.
Does forwarding include old emails?
No. Gmail forwarding is for new incoming messages; historical mail needs a separate import or migration.
Does Gmail import keep syncing?
No. Gmail’s import is a one-time operation, not a continuous mirror.

Is Google Takeout enough to move mail into another Gmail inbox?
Takeout is an export archive, not a direct restore-to-Gmail feature. Loading its MBOX files into another mailbox requires a compatible mail client or import workflow.
