The safest first step is simple: do not click, reply, open an attachment, or use a phone number in a suspicious email. Verify the request through a known website, official app, trusted phone number, or separate conversation instead. An unexpected message becomes especially risky when it combines urgency, a request for money or sensitive information, a suspicious sender address, a mismatched link, or an unexpected attachment.
Logos, professional formatting, correct spelling, and a familiar name are not proof that an email is genuine. A scammer may control a legitimate account, use a newly registered lookalike domain, or send authenticated email from a domain they own.
Fake, spoofed, spam, and phishing: what is the difference?

These categories overlap. Not every phishing email is technically spoofed: an attacker may use a real compromised account or a domain they control. Likewise, an email can be technically authenticated but still be unwanted marketing or a scam.

- Were you expecting it? Unexpected contact deserves extra scrutiny.
- Does the request make sense? Be cautious about sudden payment changes, account warnings, document-signing requests, or identity checks.
- What is the sender’s actual address? Do not rely on the display name.
- Where does the link go? Preview it without opening it and inspect the real domain.
- Is there pressure or secrecy? Urgency, fear, rewards, authority, and “do not tell anyone” instructions are common manipulation tactics.
- Is the attachment expected? Treat unexpected files as unsafe, even if they appear to come from someone you know.
- Would a legitimate organization request this by email? Banks, employers, and services generally should not require passwords, one-time codes, gift-card codes, or wire transfers through an email link.
- Still uncertain? Verify using a known-good channel. Do not use contact details supplied by the suspicious message.
Use the first six checks as a practical consumer test. Header and authentication analysis can add evidence, but it is not required for every reader.

Check the sender’s real address
A display name such as “Your Bank,” “Microsoft Support,” or a colleague’s name is easy to falsify. Expand the sender details and inspect the complete address.
- Lookalike domains: Watch for altered spelling, extra words, additional hyphens, different top-level domains, or visually similar characters.
- Domain mismatch: A bank message sent from a free-mail account or unrelated domain is highly suspicious. Microsoft lists mismatched domains as a common phishing warning sign.
- Reply-To: The address receiving your reply may differ from the visible From address. An unrelated Reply-To is a strong warning.
- “Via” or unverified indicators: These may show that the technical sending domain differs from the address displayed to you. They are warning signs, not automatic proof of fraud.
A legitimate company may use a marketing platform, ticketing system, or cloud service that creates a technical-domain difference. Conversely, a matching From address does not prove safety: the account itself may have been compromised. See Microsoft’s phishing guidance for additional sender checks.
Check links without clicking
On a desktop, hover over a link and read the destination shown by the mail client. On a phone, press and hold the link to preview it without opening it. Never click a link merely to test whether it is safe.
Read the registered domain rather than the words before the first slash:
support.example.comnormally belongs toexample.com.example.com.security-check.badsite.tldbelongs tobadsite.tld, notexample.com.example-login.comis a different domain fromexample.com.
Shortened URLs conceal their destination and deserve extra caution. QR codes can do the same thing because the destination is not visible in the email text. HTTPS encrypts the connection, but it does not prove that the website is genuine; fraudulent sites can also use HTTPS. Gmail recommends checking whether the URL matches its description and avoiding links from unknown or untrustworthy sources.
Recognize social-engineering tactics
Common phishing messages claim that:
- your account will be closed today;
- a payment failed and your card must be updated;
- a parcel cannot be delivered;
- you have won a prize or received a refund;
- an invoice is overdue;
- you must review or sign a shared document;
- your identity must be verified immediately; or
- a manager needs a confidential wire transfer or gift cards.
The strongest clue is usually an unusual request combined with urgency, fear, reward, secrecy, or authority. Bad grammar can be a clue, but it is not a reliable test. Modern phishing messages can be polished and grammatically correct. FTC guidance highlights generic greetings, account-hold claims, billing problems, and payment-update links as common warning signs.

Use authentication results—but do not overtrust them
Email authentication provides useful technical evidence:

- DKIM uses a cryptographic signature to help verify that the message was authorized by the domain and was not altered in transit.
- DMARC helps align the visible From domain with SPF or DKIM and lets a domain owner publish a policy for suspicious messages.
These systems do not determine whether the content is honest. A scammer can send authenticated mail from a domain they own, while a legitimate message can fail authentication because of forwarding, mailing lists, or configuration problems. Therefore:
- an authentication pass is not proof that the request is safe;
- an authentication failure is a reason for caution, not automatic proof that the message is fake; and
- the request, sender relationship, link destination, timing, and independent verification matter more than any single technical result.
The FTC’s explanation of SPF, DKIM, and DMARC describes them as complementary controls rather than a guarantee of trustworthy content.
How to check a suspicious email in Gmail
On Gmail’s desktop website:
- Open the message.
- Click the three-dot More menu.
- Select Show original.
- Review the available SPF, DKIM, and DMARC authentication results.
- Then check the actual From address, Reply-To, links, attachments, and context.
Gmail may also show simpler indicators such as Mailed by, Signed by, or an unauthenticated warning. Labels and available details can vary between Gmail on the web, Android, iOS, and third-party mail apps. Gmail says an unauthenticated message cannot be verified as coming from the person shown, but it also notes that authentication alone does not guarantee safety.
To report a message in Gmail, use the message’s More menu and choose Report phishing. Current instructions are in Google’s phishing guidance and its authentication guidance.

How to check a suspicious email in Outlook
In Outlook.com and current Outlook interfaces, look for an unverified sender indicator or question mark. A via tag may appear when the technical sending domain differs from the address shown in the From field.

These indicators are not automatic proof of maliciousness. A legitimate mailing service can create a domain difference, while a normally trusted sender that suddenly appears unverified deserves investigation. Interface labels vary among Outlook.com, new Outlook for Windows, classic Outlook, Mac, and mobile apps.
For suspected phishing, use Report and then Report phishing where available. Microsoft’s current guidance covers unverified senders, via tags, and reporting. Reporting and blocking are separate controls; reporting a message does not necessarily block future messages from the sender.
What full headers can—and cannot—tell you
Advanced users and IT staff can inspect:

The visible From field is not necessarily the same as the technical envelope sender. The Received chain is generally read from the bottom upward to follow the earliest identifiable server, but it is not perfect identity proof. Header lines can be confusing, and a forged line does not necessarily establish the true origin.

For most people, the recipient’s mail provider’s authentication summary is more useful than manually interpreting every header. The FTC explains the difference between visible and envelope sender information in its email-authentication guide.
Be careful with attachments
Do not open an unexpected attachment merely because the filename looks familiar or it came from a known contact. That contact’s account may have been compromised.
Use particular caution with:
- Office documents asking you to enable macros or Enable Content;
- HTML files;
- ISO, IMG, ZIP, RAR, and other archive files;
- executables and scripts;
- password-protected archives; and
- fake invoices, tax forms, delivery notices, and shared-document files.
If the file could be legitimate, contact the sender through a separate phone number or chat conversation. Do not forward a suspicious attachment to colleagues or friends for confirmation.

Verify a potentially legitimate email safely
Use the strongest practical test: independent confirmation through a known-good channel.

- Use the official mobile app.
- Call a number from your bank card, statement, contract, or the organization’s independently located website—not from the email.
- Contact a colleague using an existing phone number or separate chat.
- For invoices, payroll, wire transfers, or changes to payment details, require a second-person approval or established callback procedure.
For businesses, the FTC recommends independent confirmation of wire-transfer requests and documented verification procedures.

- Do not click, reply, open attachments, or forward the message.
- Use your provider’s Report phishing or Report spam/junk control.
- For relevant US consumer scams, report the incident at ReportFraud.ftc.gov.
- Forward suspected phishing to [email protected].
- Delete the message after reporting it.
Reporting helps providers and investigators, but it does not guarantee that future messages from the same sender will be blocked. Provider labels and government reporting procedures can change, so check the current FTC or provider guidance when needed.
What to do if you already clicked
If you clicked but entered nothing
- Close the page and do not download anything else.
- Check for unexpected downloads or browser prompts.
- Update the browser and security software.
- Run a malware scan if a file downloaded or the page behaved suspiciously.
If you entered a password
- Go directly to the real service and change the password immediately.
- Change it anywhere else you reused it.
- Sign out of other sessions if the service provides that option.
- Enable multifactor authentication.
- Review recovery email addresses, phone numbers, forwarding rules, app passwords, and recent account activity.
A password change may not undo every compromise. Attackers may have installed malware, stolen session cookies, created forwarding rules, or changed recovery settings.
If you supplied financial or identity information
- Contact the bank, card issuer, payment service, or relevant institution using an independently obtained number.
- Ask whether transactions or account protections need to be stopped.
- Monitor accounts and begin identity-theft recovery steps where appropriate.
- Report the incident to the FTC.
If you sent money
Contact the financial institution or payment provider immediately; speed can affect recovery options. Preserve the email, headers, payment records, phone numbers, and websites involved. Report the incident to the FTC and, where appropriate, the FBI’s Internet Crime Complaint Center.
Reduce your future risk
- Enable multifactor authentication on important accounts.
- Use unique passwords and a password manager.
- Keep your operating system, browser, apps, and security software updated.
- Use your mail provider’s spam and phishing protections.
- For organizations, document callback and payment-approval procedures.
- Domain owners should configure SPF, DKIM, and DMARC and monitor legitimate sending services.
A password manager is an optional security layer, not a complete phishing detector. Its main benefits are unique passwords, safer credential storage, and reduced password reuse. Built-in Gmail, Outlook, and other provider protections are sufficient for many individual users; paid email-security products are generally aimed at organizations needing centralized administration and threat detection.

Frequently Asked Questions
Can a spoofed email pass SPF, DKIM, or DMARC?
Yes. Authentication can show that a message was authorized by a domain, but an attacker may control that domain or a legitimate account. Authentication is evidence, not proof of trustworthy intent.
Is an email safe because it has the correct logo or comes from someone I know?
No. Logos are easy to copy, and a known person’s account may be compromised. Check the request and verify it separately.
Can opening an email infect my device?
Simply viewing a modern email is usually less risky than clicking a link or opening an attachment, but unusual messages should still be handled cautiously. Keep your mail app and operating system updated, and do not open unexpected files.
Should I unsubscribe from suspicious email?
Unsubscribing can be appropriate for a known legitimate newsletter. For clearly malicious or unsolicited mail, report it as spam instead; an unsubscribe link may lead to a harmful site or confirm that your address is active.
What should a business do if its domain is being spoofed?
Configure and monitor SPF, DKIM, and DMARC, inventory every legitimate sending service, and use documented verification procedures for payment and account-change requests.
