On a Windows PC, press Windows+Shift+S to capture a selected area, window, or screen with Snipping Tool. On a Mac, press Shift-Command-3 for the whole screen, Shift-Command-4 for a selection, or Shift-Command-5 to choose a capture or recording mode. Both systems include built-in tools for saving, copying, and capturing more than the entire screen.
Choose the right kind of screenshot
Before capturing, decide what you need: the whole display, one window, a small region, or a menu that disappears when you click elsewhere. Then decide whether you want a file or a clipboard image to paste into another app. These choices determine the quickest shortcut and help avoid capturing unnecessary information.

For a quick image to paste in chat or a document, use a clipboard capture. If you need a reusable file, use the screenshot tool’s save option or the Mac shortcut, which saves by default. The instructions below explain how to select, edit, and find the result.
How to take a screenshot on Windows
Snipping Tool is available for Windows 10 and Windows 11. It supports rectangular, freeform, window, full-screen, and video captures. The fastest starting point for a still image is the keyboard shortcut; the tool then gives you options to mark up, save, or share the capture.

Capture an area, window, or full screen
- Press Windows logo key+Shift+S. The screenshot overlay appears.
- Choose Rectangle, Window, Full screen, or Freeform. If the mode controls are not visible, look for the Snipping Tool overlay at the top of the screen.
- For Rectangle or Freeform, drag around the content you want. For Window, click the window. Full screen captures immediately.
- Open the resulting capture in Snipping Tool if you want to edit it, then press Ctrl+S to save. Use Ctrl+C to copy it to the clipboard.
To copy the whole screen without choosing a snip area, press PrtSc. The image goes to the clipboard, so paste it with Ctrl+V into an image editor, document, email, or chat. On some keyboards the key is labelled PrtScn or shares a key with another function.
Annotate, extract text, or capture a disappearing menu
In Snipping Tool, use the pen, highlighter, shapes, crop, or eraser to mark up an image. Its Text actions feature can extract text and offers quick redaction for email addresses or phone numbers; Microsoft says text recognition is processed locally on the device. Review the result before sharing, especially if the image contains other private details that automated redaction may not identify.
For a menu or other interface that closes when you click away, open Snipping Tool and set its delay to 1–5 seconds. Start the capture, open the menu during the countdown, and let the snip occur. This is more reliable than trying to trigger an immediate capture while the menu is open.
Change what the Print Screen key does
On current Windows settings, the Print Screen key’s behavior can be changed under Settings > Accessibility > Keyboard. If pressing it opens Snipping Tool when you expected a clipboard capture, or vice versa, check that setting. The Windows+Shift+S shortcut remains a direct way to open the screenshot overlay.

Record a screen clip
Press Windows+Shift+R to open a video snip. This is a recording, not a still screenshot; choose it when motion or a sequence of steps matters. For a single frame, use Windows+Shift+S instead.
How to take a screenshot on a Mac
macOS offers shortcuts for the entire display, a selected portion, a window, and the Screenshot panel. By default, screenshots are saved as PNG files on the desktop, with a name in the form “Screen Shot [date] at [time].” Use the panel when you want to choose a mode, set a timer, change the save location, or record the screen.
Use the Mac screenshot shortcuts
- Shift-Command-3: capture the entire screen.
- Shift-Command-4: turn the pointer into a crosshair; drag across the portion to capture and release.
- Shift-Command-4, then Space: capture a window or menu bar. Move the camera pointer over the target and click.
- Shift-Command-5: open Screenshot, where you can choose the entire screen, a window, a portion, or a recording mode.
- Shift-Command-6: capture the Touch Bar on Macs that have one.
To copy rather than save a capture, hold Control with the shortcut. For example, Control-Shift-Command-3 copies the whole-screen screenshot to the clipboard. Paste it with Command-V.
Use Screenshot options for timing and destination
Press Shift-Command-5 and choose the capture type from the panel. Open Options to set a timer, choose a save location, control whether the floating thumbnail appears, and show the mouse pointer; where available, you can also show mouse clicks. A timer is useful for capturing menus and other transient UI: set it, start the capture, and open the item before the countdown ends.

The floating thumbnail lets you open a capture for markup and sharing. If you do not interact with it, the screenshot is saved according to the chosen destination. If you cannot find a file, check the save location in Options rather than assuming it went to the desktop.
Choose a format on supported Macs
On supported Macs running macOS Tahoe 26 or later, Screenshot can offer SDR (PNG) or HDR (HEIF) capture formats. This option is not established for every Mac or earlier macOS version; if it is available, select the format in Screenshot before capturing. PNG is the default screenshot format described for Mac, while HDR capture is a specific option on supported systems.
How to screenshot part of the screen without extra clutter
A selected-area capture is usually the best choice when you are reporting a bug, showing one chart, or sharing a single setting. It keeps attention on the relevant content and avoids sharing unrelated tabs, notifications, or personal information visible elsewhere on the display.
- Use Windows+Shift+S and choose Rectangle or Freeform on Windows, or Shift-Command-4 on Mac.
- Include enough context for the recipient to understand what they are seeing, such as a dialog title or nearby label.
- Before sending, inspect the image for names, account details, open tabs, notifications, or other information you did not intend to share.
- If you need a file, save the capture. If you only need to insert it once, copy it to the clipboard and paste it into the destination app.
For a window or menu on Mac, the Space shortcut can capture the target without manually tracing its edges. On Windows, choose Window in the snipping overlay. Some apps may restrict capture: Apple notes, for example, that apps including DVD Player may not allow window screenshots.

Screenshot troubleshooting
The shortcut does nothing
- Windows: check that you are pressing the Windows logo key, Shift, and S together for an image snip. If the Print Screen key behaves unexpectedly, review Settings > Accessibility > Keyboard.
- Mac: use the Command key, not Control, for the standard capture shortcuts. Control is an additional modifier when you want the screenshot copied to the clipboard.
- If the keyboard has compact layouts or function-layer keys, check the key labels and use the on-screen Snipping Tool or Screenshot panel as an alternative.
You captured the wrong thing or missed a menu
Use a delayed capture for menus, tooltips, or other controls that vanish when focus changes. Windows Snipping Tool offers a 1–5 second delay; Mac Screenshot has a timer in Options. For a window capture, explicitly select Window mode on Windows or use Shift-Command-4, then Space on Mac.
You cannot find or paste the screenshot
A clipboard capture is not necessarily a saved file. On Windows, PrtSc copies the full screen; paste it into an app or use the Snipping Tool save command. On Mac, ordinary shortcuts save to the configured destination, while holding Control copies instead. Check Screenshot’s Options if the Mac save location was changed.
A window capture is unavailable
Some applications block window screenshots. On Mac, Apple specifically notes that some apps, including DVD Player, may not allow window captures. If permitted by the app and your use case, try capturing a selected portion of the display instead.

Which method should you use?
For a one-off image of something visible on your computer, use the built-in shortcut: Windows+Shift+S for a flexible snip, or the Mac shortcut matching the capture you need. Choose a timer for menus that disappear, the clipboard for immediate pasting, and a saved file when you need to keep or send an image. Use a website screenshot API when the target is a URL to capture programmatically rather than a desktop you are operating.
