Save the file in a known location, check what sensitive or third-party content is visible, and add concise, purpose-focused alt text.
Choose the right kind of screenshot
Start with what the reader needs to understand, not with the largest image your screen can produce.

A full-screen image is appropriate only when the whole desktop is relevant. Otherwise, it makes text smaller and can expose notifications, account details, or unrelated tabs.
Capture screenshots on Windows
Microsoft documents the current Snipping Tool workflow in its Windows support guide. On Windows, press Windows+Shift+S to open the capture overlay.

- Choose Rectangular, Freeform, Window, or Full-screen snip.
- Select the area or window that demonstrates your instruction.
- Open the resulting capture in Snipping Tool if you need to crop, draw, highlight, or add shapes.
- Save the finished image to a known folder using a descriptive filename.
Snipping Tool also documents text actions for extracting text and quick redaction of email addresses or phone numbers. Use redaction when those details are not needed in the tutorial. A delayed capture is useful for menus and hover states that would otherwise close before capture.
Snipping Tool features can differ between current and older Windows versions. If your screenshot shows a particular button or panel, identify the Windows or Snipping Tool version in the surrounding instructions so readers are not surprised by a different layout.

Capture screenshots on macOS
Apple lists the standard shortcuts and Screenshot controls in its Mac screenshot guide.
- Press Shift-Command-3 for the whole screen.
- Press Shift-Command-4, then drag, to capture a selected area.
- Press Shift-Command-4, then press Space, to capture a window or menu.
- Press Shift-Command-5 to open Screenshot controls, where you can choose a timer, save location, and whether the pointer appears.
Window captures are usually cleaner than full-screen captures for software tutorials because they exclude the desktop and other applications. Some apps, including Apple TV, may not allow window screenshots. On supported Mac models running macOS Tahoe 26 or later, Apple says Screenshot can offer SDR/PNG or HDR/HEIF formats; choose the format your publishing system and readers can reliably display.

Capture an entire webpage in the browser
Firefox
Firefox’s Take Screenshot command can capture a selected region, a detected page element, the visible area, or the full page. Mozilla documents Ctrl-Shift-S on Windows and Linux and Command-Shift-S on macOS. After selecting the capture type, download the image or copy it to the clipboard. See Mozilla’s Firefox instructions.
Microsoft Edge
Edge’s built-in Screenshot feature can capture a full page or a selected area, then let you mark up, copy, or save the result. Microsoft notes that availability and functionality can vary by device type, market, and browser version. The documented feature page is Microsoft Edge Screenshot.

Use full-page capture when the relationship between sections matters—for example, a long settings page or a complete form. For a single instruction, an element or region capture is generally easier to read. Check the result at the width it will appear in your post; a very tall image may become unreadable when scaled down.
Crop and annotate without obscuring the lesson
- Crop away browser tabs, empty margins, notifications, and personal information that do not support the instruction.
- Keep enough surrounding context for the reader to identify the page or panel.
- Add one or two arrows, boxes, or highlights to identify the control.
- Use a color that contrasts with the interface, but do not cover labels, values, or error messages.
- Open the exported image at its intended display size and confirm that text and markings remain legible.
Annotations should direct attention, not replace the interface. If several controls matter, use separate numbered screenshots or explain the sequence in nearby text rather than covering the screen with arrows.

Save files safely and prepare them for publication
Use descriptive filenames
Name the file for its subject and step, such as firefox-full-page-screenshot-menu.png or windows-snipping-tool-redact-phone.png. A filename helps you manage assets, but it is not a substitute for alt text.
Review visible information
Before uploading, inspect the entire image for email addresses, phone numbers, account identifiers, private documents, notifications, unpublished material, and third-party content that you do not need to show. Crop or redact unnecessary details. The official guidance cited here does not determine whether every third-party image or interface may legally be republished; copyright and other rights depend on the content, your use, and the applicable jurisdiction.
Choose a practical format
PNG is a dependable choice for interface screenshots because it preserves small text and sharp edges. If your Mac offers HDR/HEIF capture, confirm that your blog’s image pipeline and readers’ browsers support it before using that format. Compress the final image only after checking that labels remain readable.
Write useful alt text
Microsoft Learn’s accessibility guidance says alt text should accurately and concisely convey an image’s purpose. Do not copy the filename, repeat nearby prose, or narrate every visible control. Include text inside the image only when it is not already available in surrounding content. Microsoft gives 150 characters as a guideline; put a longer explanation in nearby text or linked content when the image is complex. Read the Microsoft alternative-text guidance.
Purpose-focused examples
- Good: “Firefox Take Screenshot menu with Full Page selected.”
- Good: “Windows Snipping Tool crop around the Save button.”
- Too vague: “Screenshot of a computer screen.”
- Unnecessary: A detailed inventory of every toolbar icon when the article already explains them.
For a step-by-step image, describe the state or action the reader needs to recognize. If the screenshot contains information that cannot be conveyed briefly, provide that explanation in the article text instead of forcing it into an oversized alt attribute.
