In classic Outlook for Windows, open the message, click where the image should appear, then select Insert > Screenshot. Choose an open window or Screen Clipping and drag over a region. In new Outlook and Outlook on the web, save the screenshot first, then use Insert > Pictures. Use Attach File when the recipient should receive the image as a separate file.

Choose how the recipient should receive the screenshot

Outlook offers three distinct results. An inline image appears inside the message body and can be viewed while the recipient reads. An attachment arrives as a separate image file that the recipient can download or save. A cloud link points to a file in OneDrive or SharePoint; access depends on the sharing permissions.

Classic Outlook desktop: capture and insert directly

Microsoft documents the built-in Screenshot command for Outlook for Microsoft 365, Outlook 2024, 2021, 2019, 2016, and several earlier Office releases. The command is available while composing a message, reply, or forward.

  1. Open a new email, reply, or forward.
  2. Click in the message body at the exact position for the screenshot. Microsoft’s requirement is that the message be open and the insertion pointer be in the body.
  3. On the ribbon, select Insert > Screenshot in the Illustrations group.
  4. Under Available Windows, select a visible open window to insert the entire window.
  5. For a region, choose Screen Clipping. The display dims; drag from one corner to the opposite corner and release.
  6. Continue writing around the image. Select the image to resize it with the corner handles.

A minimized window does not appear in the Screenshot gallery. Restore it before opening the command. Microsoft also states that one screenshot is added per operation; repeat Insert > Screenshot for each additional capture. When the Screenshot command is missing

Ribbon layouts and feature rollouts differ between editions. If you do not see Insert > Screenshot, use the saved-image method below rather than trying to force the command to appear. The result is still an inline picture.

New Outlook, Outlook on the web, and Outlook.com

These versions use a saved image rather than Outlook’s classic desktop capture gallery. Capture the screen with your operating system’s screenshot function, save the result as PNG, JPEG, or another image format, and then insert it.

  1. Capture the required screen area with your computer’s screenshot tool and save the image to a known folder.
  2. In Outlook, open a new message, reply, or forward.
  3. Click in the body where the image belongs.
  4. Select Insert > Pictures and browse to the saved screenshot.
  5. Select the file and insert it. Drag a corner handle to resize while preserving its proportions.

This route applies to new Outlook and Outlook on the web, and it is a practical fallback in classic Outlook when the Screenshot gallery is unavailable. Microsoft’s current guidance is in Add pictures or attach files to emails in Outlook.

Make a screenshot readable in an email

  • Capture only the relevant window or region; excessive desktop space makes text harder to read.
  • Keep the original aspect ratio when resizing so controls do not look distorted.
  • Add a sentence identifying what the recipient should notice.
  • For long pages, use several focused captures rather than shrinking one image until its text is illegible.

Attach the screenshot instead of displaying it

To send the image as a separate file, choose Attach File (or the Attach menu), browse to the saved screenshot, and insert it. Do not first place the image in the body if your goal is an attachment; use the attachment command directly.

An inline picture is visible at the reading position. An attachment is listed separately and preserves a downloadable image file. For an image in OneDrive or SharePoint, Outlook may offer either a sharing link or an attached copy. A link is governed by the file’s permissions, while a copy travels with the message. Microsoft describes these choices in its Outlook mail guidance.

Windows and Mac capture choices before insertion

The capture step is outside new Outlook’s message editor. Use the screenshot feature supplied by your operating system, save the file, and then follow Insert > Pictures. The exact keyboard shortcut and save dialog depend on whether you use Windows or macOS; the Outlook insertion path remains the same once an image file exists.

On a Mac edition that exposes the classic Office Screenshot command, the ribbon may include it in supported Office applications. If the command is absent in your Outlook build, the saved-picture fallback is the dependable approach.

Troubleshooting

“Screenshot” is not on the Insert tab

You may be using new Outlook, web Outlook, or an edition whose ribbon does not expose the command. Save a capture with the computer’s screenshot tool and use Insert > Pictures.

The window I need is not listed

The built-in gallery lists visible open windows, not minimized ones. Restore the window, bring it to the desktop, and reopen Insert > Screenshot. Use Screen Clipping if selecting a region is easier.

The picture appears as an attachment, not in the message

You used Attach File. Remove that file if necessary, click in the body, and choose Insert > Pictures (or the classic Screenshot command) for an inline result.

The screenshot is too small to read

Capture a tighter area, insert separate images for separate details, or resize the image larger with its corner handle. Avoid stretching it from a side handle, which can distort the content.

The recipient cannot open a cloud image

The recipient may not have permission for the OneDrive or SharePoint link. Change the sharing permission if appropriate, or choose Attach a copy so the image is delivered with the email.
