To organize Apple Mail on a Mac, choose the tool that matches the job: sort to change message order, filter to temporarily narrow the list, search to find messages, Smart Mailbox to save a live view, or a rule to act on incoming mail. Sorting and filtering change what you see; Smart Mailboxes create reusable views; rules can move or otherwise handle messages.

Choose the right Mail tool

Sort emails by date, sender, or size

Sorting is the quickest fix when messages are present but appear in an inconvenient order. In Mail, select the mailbox or account, then choose View > Sort By. Select an attribute shown in the menu—Apple documents options such as person or date, and the available list can vary by macOS version—then choose the order you want.

  1. Open Mail and select the mailbox you want to organize.
  2. Choose View > Sort By.
  3. Choose an attribute, such as sender or size, from the available options.
  4. Choose the desired direction. To return to the most recent messages first, choose the date-based option and newest-first order if shown.

The menu’s available attributes and order labels depend on the Mail version. Sorting changes only the display order; it does not move, delete, or otherwise alter messages. See Apple’s Mail guide to sorting and finding messages.

Filter your inbox temporarily

Filters are useful for a focused pass through a mailbox—for example, reviewing unread mail or finding messages with attachments. Select the mailbox, then click the Filter button above the message list, or choose View > Filter > Enable Message Filter. Pick a condition such as unread, from VIPs, has attachments, or from a particular account. Depending on the interface, you can combine conditions.

To clear the view, choose the active filter again or select View > Filter > Disable Message Filter. The button changes appearance when filters are active, and the active conditions appear above the message list. Apple says filters apply to the active viewer window, so another Mail window may not share the same filter setting. If messages seem to vanish, disable the filter before assuming they were moved. Search for messages across Mail

Use search when you know a word, phrase, sender, or subject detail but do not want to browse a filtered list. Click the search field in the Mail toolbar, enter identifying text, and choose a suggestion if it matches what you need. Mail offers categorized suggestions and may place likely relevant messages under Top Hits. Search can cover the current mailbox or broader mailbox scope, including all mailboxes; check the scope shown in Mail’s search interface before relying on the results.

  1. Click Mail’s search field.
  2. Enter a sender name or address, subject phrase, or other identifying text.
  3. Select an appropriate suggestion or result scope if Mail offers one.
  4. Use the clear button in the field when you are done.

Search is term-driven and helps locate messages; a filter instead narrows the current message list using predefined conditions such as unread or attachment-bearing. Apple describes search scope, suggestions, and Top Hits in its guide to sorting and finding messages.

Create a Smart Mailbox for a reusable view

A Smart Mailbox gathers messages that match criteria into a live view while leaving each message in its original mailbox. For example, you can make one view for invoices from a particular sender or another for messages from selected contacts. Select the Smart Mailbox to see matches; it is not a physical folder.

  1. Choose Mailbox > New Smart Mailbox.
  2. Enter a name, then choose the first condition, such as From or Subject, and complete it.
  3. Click the add button to create additional conditions.
  4. Choose whether messages must meet any or all conditions.
  5. If appropriate, enable the option to include messages from Trash or Sent, then click OK.

Any means a message can match at least one condition, such as mail from Alice or Bob. All means it must meet every condition, such as mail from Alice that also contains “invoice.” This choice is a frequent source of unexpected results.

To change a Smart Mailbox, double-click it or select it and choose Mailbox > Edit Smart Mailbox. To rename, duplicate, group, or delete one, use the available Mailbox menu or its contextual menu. Deleting a Smart Mailbox does not delete the messages it displayed. However, moving or deleting a message while viewing that Smart Mailbox acts on the underlying message in its original mailbox.

Apple says Smart Mailboxes can be available on other Macs when iCloud Drive is enabled and Mail is selected in iCloud Drive settings. That does not mean every Smart Mailbox is available on every device or in every mail app. For conditions, management, and behavior, see Apple’s Smart Mailbox guide.

Automatically sort incoming email with rules

Use a rule only when the same handling should happen automatically. Apple documents rules that can move messages to a mailbox, highlight them, reply to them, or delete them. The current Mac path is Mail > Settings > Rules.

  1. Open Mail and choose Mail > Settings.
  2. Click Rules and add a rule.
  3. Set a specific condition, such as a known sender address or distinctive subject.
  4. Choose an action. Start with highlighting the message or moving it to a review mailbox.
  5. Save the rule and check its results before choosing a more consequential action.

Good first candidates include newsletters from a known sender, order confirmations, or notifications that should be reviewed outside the main inbox. Use precise conditions: a vague subject word can catch unrelated mail. Avoid automatic deletion or replies until you have confirmed the rule behaves as intended. The way a Mail rule behaves can depend on the account type and provider; it is not necessarily the same as a rule configured in that provider’s webmail. Recover from a rule that misfiles messages

  1. Open Mail > Settings > Rules and disable or delete the suspect rule.
  2. Check the rule’s destination mailbox, Archive, Junk, Trash, and other accounts.
  3. Search by sender or subject across mailboxes rather than checking only the Inbox.

Use categories when they are available

Apple’s macOS Tahoe Mail documentation describes four automatic categories: Primary for personal and time-sensitive messages; Transactions for confirmations, receipts, and shipping notices; Updates for newsletters, news, and social updates; and Promotions for coupons and sales messages. A message in Transactions, Updates, or Promotions that contains time-sensitive information may also appear in Primary.

To change a sender’s category, Control-click one of the sender’s messages, choose Categorize Sender, and select the category. Apple says current and future messages from that sender then appear in the chosen category. Categories may not appear for every reader: availability varies by country or region, macOS release, and Mail configuration. Use ordinary mailboxes for permanent storage

Create ordinary mailboxes when you want mail physically filed by project, client, or another lasting system. You can move messages into them manually or use a rule for future mail. Unlike a Smart Mailbox, an ordinary mailbox is a storage location; unlike a rule, it does not automate classification by itself. A simple approach is to use ordinary mailboxes for a few durable filing needs, Smart Mailboxes for cross-cutting views, and rules only for well-defined recurring cases.

Reduce unwanted mail safely

Mail’s junk controls are separate from rules. Open Mail > Settings > Junk Mail to review junk handling, and check the Blocked settings for blocked senders and related filtering. For a legitimate newsletter, use its unsubscribe option rather than layering on increasingly complex rules. Do not click unsubscribe links in obviously malicious messages; mark those as junk or report them through the relevant provider instead. When messages seem to disappear

Before concluding that mail is gone, check the view and location. An active filter, a different mailbox or account, a rule, a category, or mistaking a Smart Mailbox for a physical folder can all make messages hard to see.

  1. Disable the active message filter.
  2. Search all mailboxes using the sender, subject, or another distinctive term.
  3. Inspect Archive, Junk, Trash, Sent, and any mailbox used by a rule.
  4. Check Mail > Settings > Rules for conditions that may have moved or deleted matching messages.
  5. If you use multiple accounts, confirm that the search or mailbox view includes the account where the message arrived.
