Start by deciding what your list needs to do, then choose one place as its source of truth. A personal address book, a group-email list, a shared team directory, a customer relationship management (CRM) database, and a marketing audience are different tools. For a personal list, use the contacts app already tied to your phone or email; for shared customer records or follow-ups, use a CRM. In every case, use consistent fields, clean and back up existing data before importing, and check which account receives new contacts.

Choose the kind of contact list you need

“Contact list” can mean several things. Pick the one that matches the job before adding names:

An Outlook contact list is primarily a collection of addresses for group email; Microsoft 365 groups are a separate collaboration feature that can include conversations, files, and scheduling. Google labels can help address a group from Gmail, but a label in a personal account is not the same as a company-wide shared directory. Microsoft documents an organization-wide shared contacts approach using a security group and shared mailbox rather than a copy of one person’s contacts (Microsoft’s shared contacts guidance).

  • Mostly Gmail or Android: Google Contacts is a natural starting point.
  • Mostly Apple devices: Apple Contacts with iCloud may be simplest.
  • Mostly Outlook or Microsoft 365: Outlook People keeps contacts near your email workflow.
  • Several people managing relationships: Choose a CRM or managed shared directory with explicit ownership and permissions.
  • A small, simple list maintained by one person: A spreadsheet can work, provided you control access and keep backups.

Choose one system of record and say it plainly—for example, “Google Contacts is the master list; my phone and Gmail sync with it.” Connecting several accounts to a phone can be useful, but manually editing separate copies invites conflicts and duplicates. Sync behavior depends on the account, device, app, and settings; synchronization is not itself a backup, because a deletion can sync too.

On iPhone, contacts can come from accounts such as iCloud, Google, Microsoft Exchange, and Yahoo. You can show or hide account lists and select a default account for new contacts; therefore, a contact created on an iPhone is not necessarily saved to iCloud. Decide which fields to keep

For a personal address book, start with first name, last name, at least one reliable way to reach the person, and any useful context. Email, phone, organization or school, relationship, address, and notes are optional according to your needs. For business contacts, consider company, job title, work-versus-personal email, website, lead source, customer or prospect status, record owner, last-contacted date, next action, time zone, and communication preference.

Keep the data consistent:

  • Store first and last names separately; do not put a company name in the last-name field.
  • Use a consistent phone format. Including a country code helps when contacts are international.
  • Use labels or categories for context such as Family, Clients, Vendors, Volunteers, or Emergency.
  • Record where a business contact came from when that matters to your workflow.
  • Collect only fields you genuinely need. Do not put passwords, payment details, government identifiers, or unnecessary health information in ordinary contact notes.

If using a spreadsheet, a simple header row might be:

First name,Last name,Company,Job title,Email,Phone,Address,Category,Source,Consent/status,Last contacted,Next action,Notes

Freeze the header row, use consistent date formats and dropdowns for categories or statuses, and do not rely on color alone to convey meaning. Restrict editing and avoid putting sensitive personal data in an ordinary shared sheet.

Prepare and import existing contacts safely

Before a large import or move, export the existing list and retain an untouched copy. Then clean the working data:

  1. Remove obvious junk and obsolete entries.
  2. Standardize capitalization and phone-number formats.
  3. Check for blank names and malformed email addresses.
  4. Look for likely duplicates using email, phone, and name-plus-company. Decide which record is authoritative when details conflict.
  5. Check the CSV header row, delimiter, character encoding, and whether names are separated into fields. Keep phone numbers as text so a spreadsheet does not remove leading zeros or other characters.
  6. Test the import with a handful of records before loading the full file.

CSV is useful for moving between services; vCard/VCF is another common contact format. Field mapping and duplicate handling vary by product. Outlook’s import guidance warns that duplicate handling affects which information is retained, so review and back up first rather than assuming every field will be merged as intended (Microsoft’s Outlook import and export instructions). Google Contacts supports importing and exporting contacts, including Google CSV, through its contact tools (Google’s Contacts guide).

Set up a contact list: a reliable workflow

  1. Choose the master system. Decide where the authoritative record lives and who owns it.
  2. Make a backup. Export the original data before importing, merging, or changing accounts.
  3. Create a test contact. Confirm where it is saved, whether it appears on the web and phone, and whether edits sync as expected.
  4. Add or import contacts. Enter a few contacts manually; for a larger set, import the cleaned CSV or VCF.
  5. Organize with broad labels. Use a manageable set of categories. A person can belong to more than one group.
  6. Test any group list. Check its membership and send a test message to yourself or a small test group.
  7. Enable sync deliberately. Turn on only the accounts and contact lists needed on each device, and remember that deletions may propagate.
  8. Export a separate backup. Keep an export apart from the live account so a sync mistake or account problem does not leave you with no copy.

Google Contacts: create, label, import, and export

In Google Contacts on the web, select Create contact, then Create a contact; enter the details and select Save. To enter several at once, choose Create contact and then Create multiple contacts, enter the names or addresses, and save.

To import, select Import, then Select file, choose the prepared file, and select Import. To create a group label, use Create label in the left panel, name it, and save. Select the contacts to include, choose Manage labels, select the label, and choose Apply.

To export, select the contacts or all contacts, choose More actions > Export, choose Google CSV for a Google-oriented backup or a suitable format for transfer, and save the file securely. Google notes an important group-email edge case: if a contact has multiple email addresses, only its default address is added to a label group. Check that address before sending. Outlook: contacts and email lists

In Outlook, open People, select New contact, enter the details, then select Save or Create (the label varies by Outlook version). You may also be able to create a contact from an email sender’s profile card using Add to contacts.

To create a contact list in classic Outlook, open People, select the arrow beside New contact, choose New contact list, name it, add names or addresses, and select Create. In Outlook on the web, open People > New > Contact list, enter the details, and select Save. Edit the list later to add or remove addresses, or select contacts and use Add to list. A contact without an email address cannot be added to an email contact list.

These labels and paths can vary across Outlook versions. For current product-specific details, see Microsoft’s Outlook contacts and contact-list guide. Outlook’s CSV workflow is documented separately in its import/export instructions; individual VCF files can be imported using Microsoft’s vCard guide.

iPhone and iCloud: check the account behind the contact

On iPhone, add or enable the accounts you want to use in Contacts settings, and choose a default account for new contacts if more than one is available. The exact screen labels can differ by iOS version. In the Contacts app, account lists can be shown or hidden, so a contact that appears missing may simply belong to a hidden account. Before removing an account, deleting a contact, or changing devices, check which account contains the record and export a backup.

When a spreadsheet is enough—and when to move to a CRM

A spreadsheet is reasonable for a small list with one clear owner and no need for automatic interaction history. It becomes cumbersome when several people edit it, duplicates proliferate, follow-ups get missed, or you need access controls, audit history, reporting, or automation.

A CRM is worth considering when multiple users need shared records, notes and interaction history, tasks and reminders, company-to-person relationships, deal or project stages, or reporting. It is not automatically better for a family address book or a club email list. For example, HubSpot describes CRM features including contact management, imports, deal pipelines, tasks, reporting, and integrations; check the current product and limits before adopting it (HubSpot CRM). A CRM and an email-marketing product are not interchangeable: campaign products may have separate consent, sending, and audience-management features.

For any system, check ownership, export options, sync behavior, duplicate tools, group/segment support, sharing and permissions, interaction history, privacy, mobile access, and the cost model. Be sure you can export your records before investing heavily in a platform.

Create and use group-email lists carefully

A group list is convenient for a committee, class, family, or volunteer team, but inspect it before important messages. Confirm the list name resolves to the intended recipients, remove stale members, and send a test to yourself if the group feature is unfamiliar. If recipients should not see one another’s email addresses, use Bcc for a message where that is appropriate. A label or personal Outlook list may belong only to its creator; it is not necessarily shared with coworkers.

Storing an address in your contacts does not establish permission to send marketing email. Keep a private address book, an operational group announcement list, and a promotional audience distinct. Marketing campaigns require attention to consent, unsubscribe handling, suppression of opted-out recipients, and applicable laws and platform rules; requirements vary by location and message type.

Troubleshoot common problems

Contacts appear twice

Duplicates can result from the same person being in iCloud and Google, importing a file twice, separate phone and email records, slight name differences, or work and personal addresses. Stop importing, export the current list, compare records by email and phone, choose the authoritative record, and consolidate carefully. Recheck notes and labels, then make a fresh backup.

Contacts disappear after removing an account

A phone may display contacts from several accounts together. Removing an account can remove its contacts from the device’s combined view without necessarily deleting cloud copies. Check the account online and export the records before removing an account; do not assume a blank device view means the data is gone or safe.

Sync is not working

  1. Confirm both devices are signed in to the same account.
  2. Check that Contacts sync is enabled for that account.
  3. Verify the contact was saved to the intended account.
  4. Create a test contact, then check the service’s web version.
  5. Update the app and operating system if needed.
  6. Avoid conflicting simultaneous edits, and export before resetting or re-importing.

CSV fields land in the wrong places

Check the delimiter, encoding, header names, name fields, date format, and whether phone numbers were treated as numbers. Keep phone numbers as text, simplify the header row, and test with a few records before repeating a full import.

A group message has the wrong recipients

Check for an outdated list, a similarly named group, a stale label, or a contact whose default email differs from the one you intended. Inspect membership before sending and test the group; use Bcc where recipient privacy requires it. A descriptive name such as Clients—Active—2026 can help distinguish a current list from an old one.

Someone received a list, but it is not staying current

An exported file or emailed contact list is generally a snapshot, not a live shared database. If several people need to maintain the same records, use a shared directory, mailbox arrangement, or CRM with defined permissions and an offboarding process.

Keep the list useful and secure

  • Add useful context soon after meeting someone, while it is still accurate.
  • Review stale contacts and group membership periodically; check recipients before important sends.
  • Export occasionally—before a major device or account change, and on a schedule appropriate to the list’s value and activity.
  • Store exports securely. CSV and VCF files contain personal information and should not be left in a public or broadly shared folder.
  • Use a strong account password and multifactor authentication, limit access and exports, and remove access when employees or volunteers leave.
  • Delete or archive records that are no longer needed, in line with your organization’s policies and applicable requirements.

For a few personal contacts, your existing phone or email address book is usually enough. Add labels when you repeatedly contact groups, and move to a shared directory or CRM only when shared ownership, follow-up history, or workflow needs justify the extra structure.
