Give an embedded editor user access in layers: share the document or project with the user, authenticate them through the editor vendor’s supported flow, then enable only the actions and server-enforced capabilities their job requires. An iframe does not create a separate permission system, and hiding a button is not a substitute for authorization.
How embedded editor permissions work
An embedded editor is usually a different way to reach a document, not a way around the document’s existing access rules. Before configuring the iframe, find out what the vendor uses to authorize edits: an inherited document role, dashboard or template settings, a token’s permission claims, or a combination.
Marq documents that an embedded project uses the user’s existing authentication and access level, and that the project must be shared with that user. Its documentation also says that a user who can open a Marq template or project in a browser can access its corresponding embedded version. Lucid similarly restricts editor mode according to the user’s existing View or Comment permission. In those models, the embed does not itself upgrade a viewer to an editor.
Other products expose additional controls. Templated’s Embed Configuration includes domain allowlisting and individual controls for actions such as saving, renaming, resizing, and editing text or layers. DocSpring distinguishes between displaying interface features and authorizing sensitive operations: its documentation says, “features only control which UI is shown — they are not a security boundary.”

Set permissions in a safe order
- Identify the authorization model. Check whether access comes from the source document’s sharing role, per-embed configuration, token claims, or a mix. Do not assume that a setting called “editor” grants access to the underlying file.
- Share the source with the intended user. Grant the lowest role that still supports the task. A viewer or commenter should not receive edit access merely because the editor is embedded.
- Restrict where the embed can run. If the vendor supports an authorized-domain or origin allowlist, add only the sites that need the embed. Templated documents domain allowlisting as part of Embed Configuration.
- Authenticate through the supported flow. Use the vendor’s user login, SAML, or token/session process as documented. Where a server creates credentials, keep long-lived secrets on the server rather than exposing them in page JavaScript.
- Enable only necessary actions. Turn on the smallest set of controls needed, such as save or rename. Leave higher-risk operations—such as unlocking layers, changing settings, replacing a document, or changing versions—disabled unless the workflow specifically requires them.
- Enforce sensitive operations beyond the interface. Verify that the vendor checks authorization when an operation is requested, not only when it decides which buttons to display.
- Account for session and token rules. Confirm expiry, renewal, revocation, draft-only restrictions, and whether a new session replaces an existing one. Make the application’s behavior match those limits.
- Test with real permission levels. Use representative viewer, commenter, editor, and unauthorized accounts. Check both what the interface shows and whether forbidden operations are rejected by the server.
Choose the permission controls the vendor actually provides

Authenticate users inside an iframe
Use the vendor’s supported identity flow rather than relying on the fact that the editor is embedded. Marq documents user login and SAML. It also warns that some identity providers block login inside an iframe; its documented workaround is to open the login page in a new window when needed. Test this in the browsers and identity-provider configuration used by your audience, because a login page that works as a top-level page may not work when framed.
Some integrations create an editing session on the server and return a short-lived token for the browser to use. PandaDoc documents this pattern with an E-Token. The documented token lifetime input range is 60 to 86,400 seconds. Its API documentation also specifies a maximum of 250 editing sessions per document per week. These are PandaDoc product limits, not general iframe limits. The token-based model can let end users edit without separate PandaDoc accounts, but the documented workflow is sequential rather than simultaneous multi-cursor collaboration.
Floorplanner documents another pattern: initialize with an authenticated user and an explicit permission array, or use project-based authentication with a project access token. Its documentation advises requesting a new token each time because tokens expire. Treat these as product-specific implementation choices, not interchangeable token formats.

Make the authorization real, not cosmetic
A read-only interface can still be insecure if the server accepts an edit request from a user who lacks permission. Conversely, a vendor may hide editing controls while still allowing an authorized API operation through another route. The protection must apply where the operation is performed: in the vendor’s authorization checks, a template capability, or your own server-side gate where applicable.
DocSpring names distinct capabilities for sensitive actions: embed_edit_allow_settings, embed_edit_allow_versioning, and embed_edit_allow_document_replacement. Configure only the capabilities needed for the actual task. A user who can change text in a template may not need to change global settings, version history, or the document itself.
Also review sharing beyond the initial user. A project shared with a group, a public link, or an overly broad embed-domain allowlist can expand access unintentionally. Check which identity the vendor associates with the edit, how access changes when a user is removed from the source project, and whether sessions or tokens need explicit revocation.

Test the complete permission boundary
- Viewer: Can open the embed but cannot save edits or invoke edit operations.
- Commenter: Can perform only the comment-related actions the vendor permits; cannot silently gain full editing authority.
- Editor: Can make and save the intended changes, but cannot access elevated actions unless explicitly granted.
- Unauthorized user: Cannot load the document or perform an operation by changing the page or calling an endpoint directly.
- Expired or replaced session: Fails safely and can be refreshed through the intended authentication flow.
- Unapproved origin: Is rejected if domain restrictions are part of the vendor’s security model.
For each role, inspect both the visible controls and the outcome of attempted operations. Where the vendor offers audit logs or webhooks, determine whether they record the acting identity and relevant changes; availability and behavior depend on the product. Do not infer audit coverage merely from the presence of an embed or session token.

The user sees the editor but cannot save
Check the source document’s share role first. Then inspect the embed’s save setting, explicit permissions, or token claims. Some configurations intentionally expose the editor while disallowing persistence, so a visible editing canvas is not proof that saving is authorized.

Determine whether the identity provider blocks authentication in an iframe. Marq documents opening the login page in a new window as a workaround for providers that do. Recheck the supported SAML or login flow and test after the user returns to the embed.

A button is missing or an action is unexpectedly available
Review both UI feature flags and authorization capabilities. Templated documents action-level defaults, including save and rename enabled and several editing controls disabled. DocSpring explicitly warns that its feature visibility controls are not a security boundary; use the matching capability for sensitive actions.
A token or session stops working
Check expiry, document state, and whether a newly created session replaced the old one. PandaDoc documents that only draft documents can be opened in its editing session flow, and that one active session may exist for a user-document pair; a new session invalidates the previous one. Floorplanner advises obtaining a new project token when needed because tokens expire. Follow the relevant vendor’s renewal behavior rather than reusing a stale credential.
Two users cannot edit at the same time
Check the product’s concurrency model. PandaDoc documents one active session per user-document pair and describes its token-based editing as sequential rather than simultaneous multi-cursor collaboration. Do not promise concurrent editing unless the specific editor documentation supports it.
