Use lowercase ASCII words separated by hyphens, put the identifying subject first, add a date or edition only when it is part of the content’s identity, and keep the correct file extension. A useful pattern is subject-state-context-date.extension: checkout-error-payment-form-2026-09-29.png or travel-policy-2026.pdf. This convention makes files easier to find, safer to link, clearer in file lists and more compatible across operating systems.
The core filename convention
A filename should tell a person what the asset is before they open it. Start with the page, document or task name, then add only the details needed to distinguish this file from its neighbors.
- Use lowercase letters and numbers.
- Separate words with hyphens, not spaces or underscores.
- Use plain ASCII characters; avoid accents and special punctuation.
- Keep the name short enough to scan.
- Use the real extension, such as
.png,.jpgor.pdf. - Put the most identifying words first.
Examples include pricing-page-mobile-menu-open.png, account-settings-password-reset-step-02.png, annual-report-2025.pdf and summary-of-pay-gap-findings.pdf.
Why hyphens beat spaces and underscores
Google’s developer style guidance recommends hyphens rather than underscores for separating words, and Digital.gov gives the same advice for PDFs. Hyphens remain readable when a filename appears in a URL, command line, screen reader output or a file-management tool. Existing systems that already use underscores do not have to be renamed blindly; use hyphens for new conventions and preserve established paths when changing them would break links.

Characters to avoid
Do not use slashes, question marks, ampersands, quotation marks, colons, brackets, emoji or trailing periods. These characters can be interpreted as path separators, query syntax or reserved symbols. Spaces are legal on many systems but create quoting and URL-encoding problems. Accented characters may also be displayed or transferred inconsistently. If a name would contain a slash, replace it with a hyphen: account-security-password-reset.pdf.
How to name website screenshots
Describe the thing a reader needs to locate: the page or feature, its visible state, the device or viewport when that matters, and a sequence number only when there are multiple steps.
A practical screenshot pattern

For example, checkout-error-payment-form-2026-09-29.png identifies the checkout area, the payment-form error and the capture date. pricing-page-mobile-menu-open.png identifies a responsive state without adding irrelevant camera or browser details.

Use the same operating-system treatment, browser chrome policy, scale and crop style throughout a document or article. Crop to the relevant interface. Remove personally identifying information completely or cover it with an opaque replacement; blur and mosaic effects can leave information recoverable. A filename should never contain a customer name, email address, token, session identifier or other private data.

Filename versus alt text
A descriptive filename is not accessibility text. Give the image meaningful alt text that explains its purpose, and use a caption when the surrounding explanation needs more detail. Search systems can use clues from the filename, nearby text, titles, captions and alt text; none of these removes the need for an accurate alternative description.
How to name PDF files
Use the document’s purpose or public title. Digital.gov recommends a pattern such as file-title-or-form-name-and-number.pdf, while government publishing guidance favors plain-English, front-loaded names instead of autogenerated strings.
Current documents
For one current canonical document, use a stable name such as travel-policy.pdf. Replace the file at that URL when appropriate, or manage a redirect if the location must change. Do not add workflow labels such as final, final2 or reallyfinal; they describe an internal process, not the published artifact.

Add a date when the date is part of the content identity: a report, issue, meeting packet, daily capture or dated policy edition. Use YYYY-MM-DD for a full date, YYYY-MM for a month, or YYYY for a year. Examples are board-meeting-2026-09-29.pdf, newsletter-2026-09.pdf and annual-report-2025.pdf. Do not add today’s date merely because you downloaded an unchanged document.
Edition and archive handling
For genuinely different published artifacts, include a controlled edition or period field, such as travel-policy-2026.pdf. Keep an archive index that explains the date or edition. Avoid arbitrary labels such as v3 unless the version is an official public identifier. A stable current filename and separately dated historical files resolve the tension between link stability and traceability.

Filename, PDF metadata and accessibility
The filename is only one part of a usable document. Set a unique PDF title, a plain-language description or subject, and searchable text through OCR when the source is scanned. Use headings, table headers and meaningful link text inside the PDF, then run an accessibility check. HTML is generally the more accessible format when the information does not require a PDF layout; publish essential content as HTML when feasible.
Screen-reader users may navigate by a document title rather than its filename. Set the title metadata to match the public name, not an internal project code. A short filename helps people download and share the file, but it cannot repair an untitled, image-only or poorly structured PDF.

A repeatable naming workflow
- Identify the audience’s search term. Use the user-facing page, feature or document name, not an internal ticket number.
- Choose the artifact’s identity. Decide whether state, device, sequence, date or edition genuinely distinguishes it.
- Write the words in lowercase. Convert spaces and punctuation to single hyphens.
- Remove unnecessary detail. Delete browser names, employee initials, download timestamps and duplicate words.
- Check privacy. Remove names, email addresses, account IDs and secrets from both the image and its filename.
- Apply the correct extension. Do not rename a JPEG as PNG or a PDF as another format.
- Check the complete publication. Confirm the page title, alt text, PDF metadata, OCR and links before distributing the file.

Performance, reliability and cost considerations
- Use deterministic names. The same URL and state should map to the same filename unless the capture is intentionally date-specific.
- Separate canonical and archival files. This prevents a changing screenshot from silently replacing a dated record.
- Choose image format deliberately. PNG is useful for crisp interface text and transparency; JPEG can be smaller for photographic pages; WebP can reduce size when your delivery stack supports it.
- Record capture context elsewhere. Keep viewport, timezone, locale and source URL in a manifest or database rather than making every filename unwieldy.
- Use cache TTLs carefully. A cache is appropriate for repeated unchanged captures; a dated audit capture should bypass or expire it according to the record’s policy.
Troubleshooting filename and publishing problems
The link breaks after renaming
Renaming changes the URL. Restore the old path, add a redirect, or publish a compatibility alias. Update internal links and feeds before removing the old file.
Two files collapse into one on another system
Some filesystems are case-insensitive. Treat names as lowercase and avoid relying on differences such as Report.pdf versus report.pdf.
The screenshot filename exposes private data
Replace personal or secret values in the filename and crop or cover them in the image. Rotate any credential that was captured; do not assume a visual blur is irreversible.
The PDF search finds no words
The file may be a scan without a text layer. Run OCR, verify the extracted text, add document title and subject metadata, and check headings and table structure.
The API output is an error page
Inspect the HTTP status and X-Page-Verdict/X-Billed headers, confirm the target URL is encoded correctly, and check whether the page presents a bot check, timeout or blank response. FAQ
Should I use hyphens or underscores?
Use hyphens for new filenames. Preserve underscores only when an existing directory or integration depends on them.
Should every screenshot include the date?
No. Add a date when each capture is a separate dated record or the date changes the asset’s meaning; omit it for a current reusable image.
Does a descriptive filename improve accessibility?
It helps identification, but accessibility still requires alt text, structured PDF content, metadata and searchable text.
