For a small, one-time group email, put recipients in Gmail’s Bcc field—not To or Cc. In Gmail on the web, click Compose, put your own address in To, click Bcc, add the recipients there, then write and send your message. Use Gmail mail merge for separate personalized copies, or a dedicated email platform for a recurring newsletter or marketing list.
The quickest method: send with Bcc
Bcc (“blind carbon copy”) hides the addresses in that field from the other recipients in the normal received-message view. Putting your own address in To gives the message a visible destination without exposing the group.
- Open Gmail on the web and click Compose.
- Enter your own address, or an appropriate reply-to address, in To.
- Click Bcc at the right of the To line. Gmail’s exact layout and labels can vary by app, account, or interface update.
- Enter or paste the recipient addresses in the Bcc field.
- Check the list, then add a clear subject and message.
- Send a test to an account outside the recipient list and inspect what it displays. If it looks right, send the message to the intended group.
A simple layout looks like this:

Paste and check addresses carefully
A comma-separated list generally works, and Gmail can usually resolve a line-separated list pasted into the field. If you copy from Google Sheets, copy only the email-address column. Remove column headings, duplicate addresses, names without email addresses, and any trailing notes. Wait for Gmail to resolve the entries before sending, and remove any unintended or invalid contacts it highlights. Never paste a whole spreadsheet column containing phone numbers or other personal data.
What recipients can see—and what they cannot

A recipient generally sees the sender’s name or address, subject, and message. Their own address may appear in message details depending on Gmail and the receiving mail client; other Bcc recipients should not be displayed. Bcc does not personalize the content: everyone receives the same body, subject, attachments, and any tracking behavior used.

Replies and forwarding
A normal reply goes to the sender rather than exposing the whole Bcc list. Bcc is not a way to control what recipients do after delivery: someone can forward or disclose the message, and people added manually to a later conversation may see information shared there. If the recipients should not reply to one another, say so plainly—for example, “Please reply directly to me rather than using Reply All.” Bcc is not suitable for a group that needs to collaborate in a visible thread.
Gmail sending limits: personal accounts, Workspace, and mail merge
Google’s published limits depend on the account and sending method. They are not a promise that a particular Bcc list will send successfully: recipient counts, daily message counts, total deliveries, and anti-abuse controls are distinct constraints.

Google says sending may be unavailable for 1 to 24 hours after a limit is reached. Workspace limits can differ for SMTP, IMAP/POP, Gmail API, Gmail mobile, trial accounts, Google Groups, and Apps Script. Check Google’s Gmail sending-limit guidance and the Workspace sending-limits documentation for the account and path you use.
When Gmail mail merge is a better fit
Use Gmail’s built-in mail merge when recipients should receive individual copies, you want to personalize messages, or an unsubscribe link is appropriate. The feature is available with eligible plans: Workspace Individual, Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Standard, and Education Plus. It is not a general feature of every personal Gmail account.

- On a computer, open Gmail and click Compose.
- Add recipients in the To line, or connect an eligible Google Sheet.
- Click Use mail merge beside the To line and turn on Mail Merge.
- Type
@to insert a supported merge tag, such as@firstname,@lastname,@fullname, or@email. Set a default value for missing data, such as “friend” when a first name is absent. - Review the generated message and send a small test batch before sending to the full list.
- After sending, look in Sent for the “Sent with mail merge” indicator.
Mail merge automatically adds an unsubscribe link. It has constraints: it cannot be used for replies, forwards, scheduled send, confidential mode, or plain-text composition; merge tags cannot go in the subject line; and it cannot send from a different domain, secondary domain, or domain alias. A mail-merge message allows only one Cc or Bcc recipient, and that address receives a copy for every outgoing recipient and counts toward the sending limit. Spreadsheet-based mail merge cannot include Cc or Bcc. Any attachment is included in every recipient’s copy, which can use substantial storage. For a real subscriber list, a dedicated platform can provide consent and list-management workflows, unsubscribe processing, bounce and complaint handling, analytics, templates, and segmentation. That does not guarantee inbox placement or legal compliance. A third-party tool is not a way to bypass Gmail quotas or provider rules.

Why a mass email can fail—or reach spam
Sending-limit error
Check whether the account hit a daily or per-message limit and wait if sending has been temporarily disabled; Google says the restriction can last up to 24 hours. Do not repeatedly retry a large list in rapid bursts. If the message is a campaign, use a mailing platform designed for that workflow rather than treating Bcc as an unlimited sending method. Google’s limit guidance explains common errors.
Invalid addresses, bursts, and spam filtering
Remove invalid or outdated addresses, send at a consistent rate, start with recipients who expect and engage with the message, and monitor server responses and spam rates. Google’s sender guidelines cover sending practices and reputation. Bcc protects recipient visibility; it does not guarantee inbox placement or prevent spam classification.
For mail sent to personal Gmail accounts, Google identifies a bulk sender as one delivering close to 5,000 or more messages within 24 hours. Google says a domain classified as a bulk sender retains that status, and noncompliant bulk traffic may be rejected or sent to spam; enforcement has been ramping up since November 2025. Attachments that multiply across recipients
A large attachment sent to many people can consume considerable storage. Google’s example is a 10 MB attachment sent to 500 recipients, which could use about 5 GB of storage. Where appropriate, send a Google Drive link instead, and check that its sharing permissions work for the intended audience.
