Use your browser’s Print command, choose Save to PDF, and verify that the result has selectable text. For a reliable archive, clean the page first, inspect the print preview, preserve the original URL and access date, and run OCR on any image-only PDF. Store the PDF with bibliographic metadata in Zotero or a similar reference manager so you can search across your collection later.
1. Prepare the page before exporting
Open the article in Firefox, Chrome, Edge, or Safari. Wait for the main text and images to finish loading. Dismiss cookie or consent banners, newsletter prompts, expanded comment threads, and video overlays that you do not want in the permanent copy. Dynamic advertising, lazy-loaded images, embedded video, paywalls, comments, and interactive graphics may not survive PDF export, so decide whether the PDF is a reading copy or a record of the page’s appearance.
Keep provenance with the file. Record the author, publication date, canonical URL, date accessed, and useful tags in a companion note or reference manager. A filename such as 2026-09-29_publication_short-title.pdf remains sortable and understandable outside your library software.
2. Save a desktop webpage as a PDF
Firefox
- Open the article and select Menu → Print.
- In the print preview, choose Save to PDF. Mozilla’s instructions describe this as saving the shown preview to a PDF (Firefox Help).
- Set the page range, orientation, paper size, scale, margins, headers and footers, and whether backgrounds print. Firefox also offers a Simplified format for text-focused pages.
- Compare Simplified with the original preview when figures, tables, captions, sidebars, or footnotes matter, then save the file.
Chrome or Edge
- Open the browser menu and choose Print (or press Ctrl/Cmd + P).
- Choose the system’s Save to PDF or PDF destination.
- Review layout, paper size, margins, scale, background graphics, and page range. Use the preview to catch clipped columns, missing images, or an unwanted final page.
- Save with your stable filename and add the URL and access date to your catalog record.
Webpages can print differently from their on-screen appearance, so the preview is part of the capture process rather than a formality.
Safari on Mac
Use File → Print, then select the PDF menu in the print dialog and choose Save as PDF. Safari can also save a Web Archive or Page Source. Those formats preserve webpage resources, but they are less portable than PDF; keep one alongside the PDF only when preserving the original page structure is important (Apple Safari guidance).

3. Save a full article on an iPhone
In Safari, open the page, tap Share → Markup, tap Done, and choose Save File To. The resulting PDF can be stored in Files or shared (Apple’s iPhone printing and sharing guidance). Before using Markup, close banners and expand any section whose text you need. On long pages, wait for images to load; otherwise the PDF may contain empty image areas.
4. Make sure the PDF is searchable
Test the text layer immediately
- Open the saved file in a PDF viewer.
- Use Find for a distinctive phrase, name, or number.
- Drag across a sentence and try to copy it into a text editor.
If both actions work, the PDF contains an embedded text layer. If the page looks correct but Find returns nothing and text cannot be selected, it is probably an image-only PDF.
Run OCR when necessary
Apply optical character recognition (OCR) to scans, screenshots, and image-only exports. Chrome documents automatic OCR for scanned PDFs (Chrome Help). In Acrobat, open the scan workflow, select the document language, and choose the command to recognize text (Adobe Acrobat documentation). OCR can misread names, numbers, tables, and quotations; proofread those elements before relying on the text for research.

Use Zotero for metadata and indexing
Zotero’s Connector can save a webpage item, its available PDF, and a snapshot. Zotero indexes PDF, HTML, and plain-text attachments for full-text search. After importing, check that the attachment shows an Indexed state; reindex it if necessary (Zotero documentation). Zotero describes the Connector as the most convenient and reliable way to add items with high-quality bibliographic metadata (Zotero Connector documentation).

When a browser export lacks good metadata, create the item manually and attach the PDF. Store the author, title, publication date, URL, access date, publication name, and tags. Use tags for subject, project, status, and source type; consistent vocabulary is more useful than a large number of near-duplicates.
Search very large collections
Acrobat can search multiple PDFs and create a catalog index to speed cross-document searches (Adobe search documentation). This is useful when a folder has grown beyond what a normal file search handles comfortably, but it does not replace metadata: a fast index cannot tell you which edition or URL a document came from.

Use browser Print when speed and portability matter, Simplified output when readability matters more than design, a Web Archive when resource preservation matters, Zotero when provenance and discovery matter, and Acrobat when OCR or cross-document indexing is the main problem.

The PDF is blank or missing images
- Wait for lazy-loaded content before printing or capturing.
- Reload after dismissing consent dialogs and check the preview.
- For scripted capture, wait for a selector, a delay, or network idle; block only resources that are genuinely unwanted.
- For a paywalled page, confirm that your account is authorized; exporting cannot bypass access controls.
Columns, tables, or captions are clipped
- Switch orientation to landscape, reduce scale, or increase paper size.
- Compare Firefox Simplified with the original layout; Simplified may remove the very figure or sidebar you need.
- Print a limited page range and inspect each table in the preview.
Find returns no results
- Confirm that you can select and copy a sentence.
- If not, run OCR and choose the correct language.
- Spot-check proper names, dates, decimal values, table cells, and quotations after OCR.
- In Zotero, wait for indexing and verify the attachment’s Indexed state; reindex if it is absent.
The archive contains duplicates
Use the canonical URL plus access date as a deduplication key. Keep a revised article as a new file only when its publication date, version, or content materially differs; otherwise update the existing record and retain the earlier PDF as a clearly labeled snapshot.
9. Preservation checks
- Open a sample of new PDFs on another device or viewer.
- Search for a phrase near the beginning, middle, and end of long articles.
- Compare page count and key figures with the print preview.
- Keep the source URL and access date even when the PDF has perfect text.
- For important research, retain a Zotero snapshot or Safari Web Archive alongside the PDF.
- Back up both the files and the metadata database; an archive is only searchable while its index and attachments remain together.
Frequently Asked Questions
Can I save only selected pages from a webpage?
Yes. In Firefox and most desktop print dialogs, enter a page range in the preview before choosing Save to PDF. Check the resulting file because web print pagination can change when margins or scale change.

Does a searchable PDF preserve the original webpage?
Not completely. A PDF preserves a paginated rendition. Interactive graphics, video, comments, dynamic content, and some lazy-loaded images may be lost, so retain the URL and access date and add a snapshot or Web Archive when provenance requires it.
