Choose the kind of size reduction you need
“Without losing quality” can mean two different things: preserving every decoded pixel, or making the file smaller while keeping it looking acceptable to its audience. The first calls for lossless operations; the second may allow lossy encoding, provided you check the output.
- Lossless optimization: reduces storage without changing the decoded image pixels. It is the safer route for small text, crisp controls, diagrams, and line art.
- Lossy compression: discards some image information to reduce file size. The difference can be less noticeable in photographic, continuous-tone areas than around small text and sharp edges.
- Crop or resize: changes the image area or number of pixels, so it is not pixel-preserving. It can still retain all the detail needed for the image’s actual purpose if you remove only irrelevant content or downsize to the intended display dimensions.
Keep an untouched original or make a duplicate before cropping, resizing, or trying a lossy format. That gives you a clean fallback if the result is too soft, text is hard to read, or a recipient cannot open the new format.
Crop and resize before changing format
Crop unneeded areas
Remove blank margins, unrelated windows, browser chrome, or desktop regions that do not help explain the subject. Cropping reduces the image area and can make the screenshot easier to understand as well as smaller. Mozilla’s guidance for documentation screenshots recommends cropping to highlight relevant interface details; its advice is specific to that documentation context, not a universal size rule. Check the crop for context before saving: retain enough of the surrounding interface for a reader to understand where a setting or error appears. If the screenshot is meant to document a problem, do not crop away a message, label, or visible state that is necessary to reproduce it.
Resize only for a smaller destination
If the screenshot will be displayed smaller than its original dimensions, resizing it to the intended display size can reduce its pixel count and file size. Avoid shrinking it just to reach an arbitrary number: small labels, controls, and fine lines can become difficult to read. There is no universal pixel threshold for every use. Mozilla mentions screenshots under 620 pixels in both height and width for its documentation guidance; that is not a general screenshot standard.
For a page that may be zoomed, a presentation, or an image readers need to inspect closely, retaining more pixels may be worth the larger file. Judge legibility at the size the recipient will actually see, not only in a zoomed-in editor preview.
Pick a format that fits the screenshot

MDN’s image file type and format guide describes PNG as lossless and suitable for screenshots, diagrams, and line art; JPEG as a lossy format often used for photographs; and WebP and AVIF as formats that support both lossy and lossless modes.

Google for Developers reports that lossy WebP images are 25–34% smaller than comparable JPEG images at equivalent SSIM quality. That is Google’s published comparison, not a promise for any particular screenshot. Google also says lossy RGB WebP with transparency typically has file sizes three times smaller than PNG. Treat that as a general format claim, not an expected result for your image. See Google’s WebP comparison and compression techniques.
A reliable step-by-step workflow
- Preserve the original. Duplicate the image or export a working copy, especially before any lossy conversion.
- Crop deliberately. Remove irrelevant margins and UI, but keep the context needed to understand the screenshot. Check for personal information before sharing.
- Set useful dimensions. If the image will appear smaller, resize a copy to the intended display dimensions. Inspect small text and lines at that size.
- Choose a format by content. Keep PNG or choose lossless WebP for exact UI and line art. Try JPEG or lossy WebP for photo-heavy material when some encoding loss is acceptable.
- Compare the exported file. View the original and compressed version at the size a reader will see. Check small type, thin strokes, gradients, and transparency.
- Confirm delivery requirements. Check the destination’s accepted formats and any dimension or file-size limit before replacing the original.
Do not assume a format name guarantees a particular reduction. Results depend on the screenshot’s content, dimensions, encoder settings, and destination requirements.
Check transparency, compatibility, and metadata
Transparency
If the screenshot has transparent areas, do not convert it to JPEG: JPEG does not preserve transparency. PNG is a common lossless choice, and WebP supports transparency. Verify that the exported image still looks right against the background where it will be used.
Destination compatibility
Before conversion, check the upload form, app, or recipient’s accepted formats. Compatibility varies by workflow, and support across every platform is not established here. If the destination requires PNG or JPEG, use that format even if another option could produce a smaller file.

Metadata
Removing unnecessary metadata can help privacy and may reduce file size, but the size benefit for typical screenshots has not been quantified by the cited guidance. Treat it as a possible marginal optimization, not a major or guaranteed saving. Preserve any metadata your workflow needs.
When screenshots are generated by software
If you control screenshot capture in an application or automated workflow, you may be able to choose output dimensions, format, or image quality at capture time instead of converting afterward. Troubleshooting common problems
The file is still too large
Check whether the image still includes unnecessary screen area or more pixels than its display size requires. Crop or resize a working copy, then compare again. If it is photo-heavy, test a lossy format; if it is mostly text and controls, a lossless option may be preferable. There is no fixed reduction amount to expect.
Text looks blurry or edges have artifacts
Lossy compression may be damaging fine detail. Re-export from the untouched original as PNG or lossless WebP, or use less aggressive lossy compression if your tool exposes a quality setting. Inspect at the intended display size before sharing.
The image looks wrong on a background
Transparency may have been lost during conversion, particularly if you chose JPEG. Return to the original and export to a format that preserves transparency, such as PNG or WebP, then check the result in its intended context.
The recipient cannot open the file
The destination may not accept the selected format. Check its supported types and export another copy in an accepted format; do not overwrite the original until the replacement has been checked.

The smaller version has lost useful context
Undo or recrop from the original. Include enough surrounding UI to show where the relevant control, message, or state belongs; reducing file size should not make the screenshot harder to interpret.
