Apple Notes can record audio in a note and generate a searchable transcript. Basic transcription does not require Apple Intelligence, but it does require supported hardware and a supported device language. The feature arrived with iOS 18 and iPadOS 18; the steps below follow Apple’s current guides, so button names or placement may differ on later versions.
Before you start
- iPhone: Apple documents Notes audio transcription for iPhone 12 or later. That is a higher requirement than simply being able to install iOS 18. Apple’s iPhone guide lists the supported hardware.
- iPad: Apple specifies “supported iPad models” but does not list the complete set on its main guide page. An iPad’s ability to install iPadOS 18 does not, by itself, establish that transcription is supported. See Apple’s iPad guide.
- Software and language: The feature was introduced in iOS 18 and iPadOS 18. Apple lists English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, and Traditional Chinese as supported device languages. Availability can also vary by region; consult Apple’s feature-availability page.
- Recording conditions: Keep the microphone unobstructed and aim for clear, close speech. Get any consent required by local law or by a classroom, workplace, meeting, or interview policy before recording other people.
Record and transcribe audio in Notes on iPhone
- Open Notes, then open an existing note or create one.
- Tap the Attachments button and choose Record Audio.
- Tap Record and speak. Notes transcribes speech it recognizes in a supported language.
- Tap Stop when you are finished.
- Tap the Transcription button to display the text associated with the recording.
This is not an always-on caption stream: the documented workflow is to make a recording in Notes and then open its transcription. Apple’s current iPhone instructions are at Record and transcribe audio in Notes.
Record and transcribe audio in Notes on iPad
- Open Notes, then open or create a note.
- Tap Attachments, then Record Audio, and tap Record.
- To write in the note while recording, swipe down from the top of the screen and continue taking notes.
- Tap Pause when finished, then tap the Transcription button to view the text.

Read, search, copy, and keep the transcript
Tap the recording in the note to open it and view its transcript. Tap a sentence or phrase to play the recording from that point, which is useful for checking names, figures, or a passage that sounds unclear.

Open the recording’s More menu for transcript actions. Apple documents Find in Transcript to search the text, Add Transcript to Note to insert it as ordinary note text, and Copy Transcript to copy it elsewhere. The iPad guide also documents renaming the recording. Options can vary with device and software version.
Keep the audio if you may need to verify the wording: deleting the audio recording also deletes its associated transcript. Apple documents the transcript controls and deletion behavior in its iPhone guide and iPad guide.

If the Transcription button is missing
- Check the model. On iPhone, Apple’s requirement is iPhone 12 or later. On iPad, confirm that the particular model supports this feature; the guide does not provide a full model list.
- Check software. The feature was introduced in iOS 18 and iPadOS 18. If using a later release, look for the audio-recording and show-transcript controls even if their placement has changed.
- Check the device language. Set the device to one of Apple’s listed languages. Do not assume that every dialect or a recording that switches between languages will be recognized.
- Make a short test recording. Use clear, close speech in a quiet place. Very short or hard-to-understand speech, background noise, music, distance, and overlapping speakers can prevent useful recognition.
- Open the recording itself. The transcription control belongs to an audio recording created in Notes; it is not the keyboard’s ordinary dictation control.
- Retry the Notes workflow. Close and reopen the note, or restart the device, then test with a new clear recording. If the control is still absent, compare the device and language requirements in Apple’s iPhone guide or iPad guide.
Transcription, Apple Intelligence summaries, and call transcription are different
- Notes transcription converts speech in a Notes audio recording into text. It is separate from Apple Intelligence and can be available without Apple Intelligence when the device, language, and region meet Apple’s requirements.
- Audio summary creates a shorter overview of a recording and uses Apple Intelligence. Its availability depends on supported devices, languages, and regions. As with other generated output, check the summary against the recording. Apple explains this feature in Use Apple Intelligence in Notes. Apple Intelligence first became available with iOS 18.1 and iPadOS 18.1 on October 28, 2024; it was a separate rollout from iOS 18’s Notes recording feature. Apple’s announcement gives the release context.
- Phone or FaceTime call transcription is a different workflow that records a call and saves its result to Notes. Apple documents it as requiring iOS 18.1 or later, with regional and language limits. Participants receive an audio notice when a supported call recording starts, but you should still follow applicable consent laws and policies. Details are in Apple’s call-recording guide.

How accurate is a Notes transcript?
Treat it as a useful draft, not a certified record. Names, specialist vocabulary, numbers, accents, muffled speech, and people speaking over one another are common trouble spots for speech recognition. Replay the relevant passage and correct the text before relying on it for medical, legal, academic, or business-critical work. A generated summary is a separate interpretation and should also be checked against the audio.

When Notes is enough—and when it may not be
Notes is a practical choice when you already keep meeting, class, interview, or voice-note material there and want the audio and transcript together, with basic search and copy tools. Consider a dedicated transcription service if you need capabilities such as speaker identification, team administration, extensive collaboration, non-Apple web access, or specialized export formats. Those requirements are not provided by the basic Notes workflow described here; compare any service’s current features and privacy terms directly before using it.
